Job Title: Secretariat for

Based at: Doughty Street Chambers,

Position reports to: Head of People and Business Management

Job Purpose: The primary focus of this role is to provide excellent secretariat support to the CEO, Management Board and Deputy Heads of Chambers in ensuring the smooth functioning of Chambers (80%). You will also provide additional support to the Head of People and Business Management relating to administrative HR tasks (20%).

About us Doughty Street Chambers is a multi-disciplinary set of with a truly national and international reputation for excellence, particularly for work involving issues of human rights and civil liberties. Our team comprises over 150 barristers, many of whom are recognised by the industry directories as leaders in their fields, supported by around 40 staff. We have offices in London, Manchester, Bristol and The Hague, but our barristers work internationally, undertaking cases on behalf of individuals and companies in proceedings before the UK Courts, the European Court of Human Rights, almost all the international tribunals, overseas courts, and arbitration tribunals. As well as litigation work our members train judges, prosecutors and security forces around the world, as well as advising on policy work.

Key Responsibilities:

Meetings and Diary Management You will ensure meetings attended by the CEO, Management Board & Deputy Head of Chambers (including the Management Board meetings) are effectively organised and minuted, including to:

• Liaise with the CEO and/or Deputy Heads of Chambers to plan and schedule meetings, using Outlook and or MLC, including to book rooms • Receive agenda items from committee/board members • Circulate agendas and reports and prepare the necessary papers needed per meeting • Take minutes • Circulate approved minutes • Proactively monitor that agreed actions are carried out.

Record-keeping and Administration You will be responsible for maintaining effective records and administration for information relating to the meetings attended by the CEO & Deputy Head of Chambers, including to:

• File minutes and reports • Keep a record of the activities • Keep a diary of future activities

Policies and Governance Ownership You will also ensure that any policies or governance relating to each meeting is abided to, by: • Acting as custodian of Chamber’s governing documents • Ensuring effective documentation of new policies • Ensuring elections are in line with stipulated procedures

Ad Hoc Projects You will assist in carrying out relevant ad hoc projects as and when they arise.

Human Resources Working closely with the Head of People and Business Management, you will support the running of the HR function and provide administrative support as needed. Specifically:

Day to Day HR Issues - Process personnel administration including keeping up to date files of contracts and appraisals, pay review documents, training activities and disciplinary actions on both the HR Drive and Croner (HR management system), as appropriate. - Holiday and sickness absence reporting management.

Recruitment and employment - Assist with administration relating to advertising vacancies, interviews, pre-employment checks, contracts, onboarding and integration, the probation review process and appraisals.

Training - Help organise appropriate staff training.

Barrister Recruitment, Welfare and Support - Ensure all internal processes are complied with including , third Six and FTT making sure that the required reviews are undertaken, targets set, etc. - Assist in the preparation of monthly reports tracking the following in relation to barristers; mentoring relationships, pupil supervisors, probation review dates, fixed term tenancy expiry dates. - Help organise barrister induction processes.

Pupillage - Assist with the administration of pupillage recruitment.

Person Specification:

Qualifications Educated to Degree Level desirable but not essential. A HR qualification desirable but not essential. Experience We are looking for someone with experience of committee servicing, including taking accurate minutes. While not essential, prior experience in a governance, administration or HR role within a law firm or chambers would be an advantage. Experience working with the Croner Simplify package is a plus.

Remuneration: c.£25-35,000 (dependent upon experience)

Working hours: 9:00am – 6:00pm, Monday – Friday (40 hours). These are Doughty Street’s standard working hours, but we are also happy to consider applicants who may be interested in working on a part-time or flexible-hours basis.
