1 Overview

You can use the Text File Upload/Download Process (SM9949) to download an existing text file from the HP-UX to your PC, edit the file in Microsoft Word, and then upload the file from the PC back to the HP-UX for use with various student notification programs. This process applies specifically to messages that appear on the Check Release Form, generated when AG906R is run.

You can use this process to make changes to an existing text file. To do this you will need to download the text file from the HP-UX to your PC or network drive in order to access and edit the test file in MS Word. Alternately, you may decide to create the text file directly in MS Word, save the document with a .txt extension, and then upload the file from your PC or network drive to the HP-UX. This will overwrite an existing text file or create a new text file on the HP- UX.

The following basic terminology is used when discussing uploading and downloading files. While you may be acquainted with the terms PC drive (for example, the C:\ drive) and network drive (for example, K:\ drive), you may not be acquainted with the term HP-UX (or HP9000). When you log on to the Financial Aid System (FAS) menu each day, you typically log on from you PC through a “terminal emulator”, which is software that allows you to gain access to the FAS menu from your Windows Desktop. The FAS menu resides on your college’s processor, which is an HP9000 computer. When you transfer a file from the PC or network drive to the HP- UX, it is referred to as “uploading” a file. When you transfer a file from the HP-UX to the PC or network drive, it is referred to as “downloading” a file.

Text files on the HP-UX can either be numbered or unnumbered. A numbered file, when downloaded from the HP-UX and opened in MS Word, will have a series of numbers along the right margin at the end of each text line. There are three ways to handle a numbered file:

• You can delete the numbers in MS Word while editing the file. When the file is uploaded back onto the HP-UX, it will always be saved as an unnumbered file. • If deleting those numbers is too cumbersome, you may create the file from scratch in MS Word. • Call SBCTC-ITD Customer Support and request to have the file converted to an unnumbered file.

An unnumbered file will be downloaded without numbers in the margins and does not require any special intervention for you to edit it in MS Word.

This chapter describes how to upload and download a text from between the HP-UX and your PC or network drive.

2.1 Downloading a text file from the HP-UX

To download a text file (for example, CHKFORM1) from the HP-UX, use the following steps:

1. From the FAS Menu, at the Process ID prompt, enter SM9949. Type in the text file name at the Enter > prompt and press the inside Enter key.

2. On the next screen, indicate whether you want to upload the file or download the file. In this example, you want to download the file from the HP-UX to the PC or network drive; at the prompt, type D

3. At the prompt “Enter PC Filename to Download to”, type the name (for the PC or network drive) and file name you want to download the file to. In this example, H:\CHKFORM1.TXT

4. A box opens and displays the progress of the file download. Once it has completed, the box disappears and you are prompted to press the inside Enter key. You can then download another text file or exit. To exit, type in EXIT at the Enter FILENAME > prompt.

5. Once the file has been downloaded to the PC or network drive, you can access it by using the Windows Explorer Tool. Select the folder you specified in the file path when downloading the text file and double-click the file to it in MS Word. Be sure to save the file with a .txt extension.

To ensure that the file will function properly once it has been uploaded to the HP-UX, there are a few restrictions to note:

a. Use the Courier New, 10 point font. b. Enter no than 72 characters, including spaces, per line. c. Enter a hard character return (press the ENTER key) at the end of each line. d. Save the file as “text only” file with the .txt extension.

2.2 Uploading a text file to the HP-UX

Once you finish editing the text file, you will need to upload the document from your PC back to the HP-UX. In order to successfully upload the file, use the following steps:

1. From the FAS Menu, at the Process ID prompt, enter SM9949.

2. At the “Enter Filename” prompt, enter the name of the file for which you plan to save the text file to. (In this example, CHKFORM1.) Press the inside Enter key to continue.

4. At the “Enter PC Filename to Upload to” prompt, type the path name (for the PC or network drive) and file name where the text file is saved. In this example, H:\CHKFORM1.TXT

5. Once you hit the ENTER key, you will be prompted on whether or not you want to replace the existing text file on your HP-UX with the one being uploaded. Enter “Y” at the prompt. A box opens and displays the progress of the file upload. Once it has completed, the box disappears and you are prompted to press the inside Enter key. You can then download another text file or exit. To exit, type in EXIT at the Enter FILENAME > prompt.
