Dear Fellow Town Clerks:

It is with pleasure that I extend a personal invitation to the 38th Annual State Town Clerks Association Conference being held in the newly renovated Desmond Resort and Conference Center, in Albany, New York, on April 26‐29, 2020. There are so many exciting events planned I hope you will be there.

Get out your cowboy boots and saddle up for our Sunday Night Mixer. You’ll be entering the Wild Wild West! Make sure not to dilly dally on your way into Town. We’ve had some reports of bandits robbing the stagecoaches. Dress in your finest and meet us at the local watering hole for dinner, dancing and more!

This is the only conference designed exclusively for the education and professional growth of Town Clerks and their Deputies. Between State agencies being available to share the latest, up‐to‐date information, topical speak‐ ers during breakout sessions, vendor specialty classes, and one of a kind offerings, the education line‐up is ex‐ ceptional. There will be something for both brand‐new and seasoned clerks.

New this year is our dedication to think of others who struggle in different ways. Help us to show love to chil‐ dren around the State with our Build‐A‐Bear partnership, decorating bears to give to children’s hospitals to put a smile on suffering children’s faces. You can also participate in creating an individual quilt square that will even‐ tually be put with other squares to make beautiful baby quilts donated to Alpha Pregnancy Care Center in Albany New York. Alpha Pregnancy Care Center is a welcoming refuge where those dealing with pregnancy issues can find unconditional love, acceptance, and truthful counsel. Booths will be set up Sunday afternoon by registration for those wishing to help.

I’m sure the Monday Night Excursion will be a sold‐out event! Tours of the NYS Capitol Building have been set up, with a time to actually be “on the floor” where it all takes place! Afterwards, enjoy dinner at the Corning Tower, the tallest building in New York State outside of Manhattan. The views will be spectacular from our ob‐ servation deck vantage point! Submit your conference registration early as this event is limited to the first 120 people.

Register on­line OR by mail

Introducing On­line Registration! Simply open the NYSTCA website, www.nystca.com, and click the button titled "NYSTCA An‐ nual Conference" which will have a link for the 2020 Conference Registration. Enter the name of your town and the address should populate the appropriate fields. Please update information if necessary. You will be asked to check a box with your title. Upon clicking the “Town Clerk” box, your name, phone number and email address should populate the fields. Again, please update information if necessary. Deputy Town Clerks and others will be required to key in their name, phone number and email address before continuing. Multiple people may register at the same time using the on­line form.

You will be asked a series of questions as you move through the registration process for each person registering. Before you know it, you will be prompted to SUBMIT REGISTRATION! You will be given the opportunity to choose to PAY NOW with a credit card or PAY LATER with a check. Either way, the Registration Program will generate and email a confirmation of your registration and a copy of your registration that you can print for your records. On‐line registrations will be considered pending until payment is received.

OR you can complete and mail a paper Conference Registration Form (page 12 of this booklet) and payment to Linda Laird, Registration Chair, 40 Mill Road, Eastchester, NY 10709. Registration Forms will not be accepted without payment. A confirma‐ tion email will be mailed to you when your registration is received.

Credit card payments are accepted on‐line only. A service fee of 2.45% or a minimum of $1.95, whichever is greater, will be charged by our provider.

Payments by check are to be mailed with a copy of the Conference Registration Form OR the copy of the on‐line registration form.

A Registration will not be considered complete until payment is received.

Registration Deadlines/Cancellation/Refunds

Conference registration forms and payment must be received by April 11, 2020. A late registration fee of $35.00 will be added af‐ ter that date.

All requests for conference cancellation must be received via email prior to April 6th to receive a full refund. A $50 cancellation charge will be imposed after that date. Refunds will be processed within 30 days following the end of Conference. No Refunds will be made after Monday, April 29th. Contact The Desmond Hotel directly for guidelines in cancelling hotel accommodations.
