Welcome to the Rio Run 2016

This is to confirm that your child/ren has a place in the 2016 Rio Run and we look forward to a very enjoyable morning on Sunday 19th June - fingers crossed for the sunshine but not the rain!

To help with the smooth running of the event on the day, we hope you will take a few moments to read through the following instructions and information. If you have any queries or questions not covered in this race pack or on the website, please let us know by contacting us on [email protected] and we’ll find the answer!

Location / Getting to the event The event is located in the Chew Valley, an area between Bath, and Wells in the village of . Race HQ is located at – Bishop Sutton Village Hall, Wick Road Bishop Sutton Bristol BS39 5XD

The event is accessible from various directions, but please note that if you are planning to come early and watch the 10k event (starting at 09:30), that the main road through the village will be closed from 09:00 until 10:00. This means that from 09:00 until 10:00, car parking will only be available at the second Car Park, Walley Road, BS40 8TF (the one without Salt & Malt Café) and the Fruit Farm, Bonhill Road, BS39 5TS. The car park at the lake is about a 25-30 minute walk via the Lake footpath from the Village Hall and the start of the 10k, so please allow plenty of time and if possible, please car share.

From Bristol – On the A37 Wells Road leave Bristol via Whitchurch and . At the roundabout approximately 1.5 miles after Pensford take the 3rd exit onto the A368 signposted for Bishop Sutton and Weston Super Mare. After 3 miles you enter the village of Bishop Sutton passing the Tennis Club on your right hand side. The Village Hall is located on the right hand side, approximately 400m after The Red Lion Pub.

From Bath – Follow the Bristol Road (A4) to The Globe Pub at the end of a dual carriageway. Take the second exit signposted Weston-Super-Mare (A39). At traffic lights continue straight on the A368 and follow the road to Chelwood roundabout. Take the second exit for Bishop Sutton, Chew Valley Lake and Weston-Super-Mare (A368) and after 3 miles you enter the village of Bishop Sutton passing the Tennis Club on your right hand side. The Village Hall is located on the right hand side, approximately 400m after The Red Lion Pub.

From Wells – Take the A368 headed out of Wells until reaching . Take the left hand turn after the Bread shop signposted B3114 and continue until reaching . At the T junction turn right on the A368 for Bishop Sutton and enter the village after approximately 2.5 miles. The Village Hall is located on the left hand side about 100m after Sutton Spice Restaurant.

Car Parking

There is free parking at 6 different locations within and around the village, the furthest being a 25-30 minute walk from the Race HQ at the Village Hall. Each car park is marshalled and we ask you to follow their instructions as space is limited and request you lift share wherever possible. See the attached map for car park sites.

We ask, that if you are not planning on watching the 10k, you do not arrive at the car parks before 10:15 so that we can give our marshals a break from their duties!

Registration Registration for the Rio Run will be open from 10:15 until 11:15 and is located inside the Village Hall. Everyone taking part will have a personalised envelope to collect which contains a race number and safety pins. Please ensure your child’s details are clearly filled in on the back of their race number before pinning this to their clothes and then they are ready to go! If you have any questions or queries, there will be helpers available at Registration or you can visit the enquiries desk just behind the Village Hall.

Before the Start There will be plenty to occupy the Rio Runners on the field behind the Village Hall until the mass warm up at approximately 11:30. If it’s food to fuel them around the 1k track, then try the Pre School’s amazing cakes and refreshments, or the Rugby Club’s barbeque, or Chew Moos award winning ice creams. If it’s action they like, then try the Tennis Club’s mini tennis games, the inflatable assault course, or watch the children’s dance demonstrations take place (10:55). There will also be face painting to enjoy and a stall selling brightly coloured tutus and other fun items to help you get into the carnival spirit. Or if it’s inspiration they seek then head up to the 10k Finish on High Mead Gardens and watch the runners arrive from 10:00 onwards.

The Start

The participants for the Rio Run will be invited to take part in a mass warm up immediately after the 10k prize giving at approximately 11:30.

They will then be directed to the start pens located on the inside of the 1k running track. The pen will be marshalled at all times by adults who can provide all the encouragement and reassurance necessary to make the run good fun. Once the children are in the start pens, the runners taking part in the race for Key Stage 2 and above will be lined up on the track. Those taking part in the Key Stage 1 race will remain in the pens whilst the older children run.

Each Rio runner will complete three laps of the track (1km) at their own pace, as there are no prizes for being the fastest this year and the emphasis of the event is on fun.

When the KS2 runners finish their laps, they will be directed back to the start pens to wait there until the KS1 run has taken place and to provide encouragement and cheer on the younger runners.

The KS1 runners will then be lined up on the track ready for the second run.

The Finish

When our last runner has completed their three laps, the participants will receive their goody bag and medal and can be collected from the Finish pen.

Please note that KS2 children will not be released from the Finish pen until the KS1 run has been completed.

When the runners are released we would be very appreciative if you could collect your child/ren promptly so we can begin the clearing up process.

Goody Bags

We have been very fortunate to have been given Eat Natural bars for all the runners. These will be handed out to the children with their goody bags.

Some of these bars may contain nuts so if your child has a nut allergy ensure that you check the contents of the bar your child receives.

First Aid

Throughout the morning there will be a permanently manned First Aid post at Race HQ and during the Rio Run there will be a medical team present to deal with any injuries, scrapes, knocks or bumps.

And finally getting into the Carnival Spirit…

As you know this year we are celebrating the Rio Olympics with our carnival theme and would ask that the children come dressed in bright colours and any other carnival costume that they can run in!

There will be brightly coloured tutus, sweatbands and other merchandise on sale on the day to help with the party atmosphere, should they take your fancy.

We would also like your help as supporters to generate the sounds of the carnival! Please bring drums, whistles, shakers and anything else you think would help encourage the children around the track. There will be plenty of space to watch around the whole perimeter of the track so the more the merrier!
