Welcome ______

“To create an environment where excellence can breed.”

Welcome to Garioch Amateur Club (GASC). This pack has been put together to provide information to Members, New Members and First Time Competitors. We really hope that you will enjoy being part of this team as your child progresses with their athletic career!

GASC is first and foremost a competitive club, and our ethos is to create an environment where excellence can breed. We have a wealth of experience in our coaching team, along with some of the best talent in the country. GASC is frequently ranked in the top ten in as a non-composite club (when two or more clubs merge together to form one large entity and can call upon a larger selection of swimmers), and we pride ourselves in being a club that punches far above its weight. GASC is also a non-profit club, run fully by a dedicated volunteer team, relying on donations and sponsorship.

HISTORY

Inverurie Swimming Pool was officially opened on 23rd May 1970, and a group of local business men decided to form and start a swimming club. The Club’s first President was Pat Mitchell and it held its first session on Friday 18th September 1970 followed by its first gala on 21st June 1971. The club decided to take Gordon colours for their badge - blue and yellow - and while fashions have changed the colours remain the same. The Club blossomed and in 1973 it appointed Andy Robb, who had produced several Scottish record holders, a Commonwealth Gold medalist and an Olympic finalist, as coach. When Harry Burnett took over numbers swelled to 200 with a permanent waiting list. In 1990 Patrick Miley became Head Coach and progressed the Club to International and World Class level. He is now a High Performance Swim Coach with the University of .

In April 2016 Eavan Adams took over as Head Coach of GASC. As well as coaching alongside Patrick Miley for over 10 years she has gained experience both nationally and internationally by working with coaches of Olympic standard. Eavan has coached swimmers at district, national, international, Commonwealth and Olympic standard, and has experience of altitude training and oversees camps. Under Eavan the club continues to produce swimmers ranked highly at both Scottish and British National levels. We currently have around 100 swimmers of varying ages. We are fortunate to have a strong pedigree in producing excellent swimmers - our most famous being Hannah Miley, Olympic finalist and Commonwealth Gold medallist - but also have a significant number of successful younger swimmers including a number that are ranked top 3 in the UK.

Garioch Amateur Swimming Club is swiMark Plus accredited. Accreditation aims to:

● provide a nationally recognised standard that will enable our club to develop a safe, effective and child friendly environment based on good practice ● improve our swimmers experience through well trained teachers and volunteers ● encourage lifelong participation through sustainable swimming development pathways

Training Sessions ______

Times of training sessions are in your offer of membership, session or squad move letter. Current training times can be seen on our website: h ttp://www.gasc.co.uk/club-info/training-info. Most swimmers start in Session 1, before moving onwards to Session 2 and Development. These training sessions will enable you to learn ‘the ropes’ of competitive swimming. You will then progress onwards to Squad 1 and 2 where the routine of early morning swims are embedded before progressing to Squads 3-5.

Please arrive in good time for your training session and remember to bring:

POOL BASED LANDTRAINING

● Club swim cap ● PE sportswear ● Swimming costume / trunks ● Water bottle (no kneeskins or jammers) ● £2 - there is an additional charge for ● Goggles Landtraining ● Towel ● Water bottle ● Spare cap and goggles if possible (goggles can snap and caps may tear)

Progression of swimmers through the club structure - from Sessions through Development to Squads - is reviewed on a regular basis by the coaches. The swimmer will be informed of their move by their respective coach, with an accompanying letter should it involve a change of session or squad. Moves are on an initial 3 month trial basis.

If for any reason you cannot make it to a training session, please let your coach know. A register is taken and persistent unexplained absence may, unfortunately, result in the loss of your place in GASC.

The swimmer must always listen to their coach. If you do have any questions or do not understand, wait until he or she has finished speaking before you ask your question - but do ask. However, please remember that if you wish to discuss anything with your child’s coach, be prepared to wait or arrange a convenient time. The coach can not leave their swimmers unattended during a session or be distracted from their coaching on poolside.

GASC strongly encourage a coach / swimmer relationship and swimmer ownership and independence.

There will also be opportunities for parents to get involved with the club. Please speak to the club’s Parent Representative or a member of the Management Committee (MCM) for further information.

On a more practical note, we rely on p arents to:

1. Escort their child in to the pool building and ensure they are able to train - this is for health and safety reasons and means that if the session has to be cancelled for any reason, the child is not left for the full duration of the training session. 2. Come in and set up the diving blocks - this is a really simple but extremely vital role! 3. Vacate the observation area within 20 minutes of the start of the session when Squads only are training (early morning sessions Monday to Friday, and Thursday evening) - this increases the swimmers ownership and independence, and ensures neither swimmers nor coaches are distracted.

Training Equipment ______

After your initial 3-month probationary period with the club, it is important to get your own swimming kit together. Please see Appendix 1 for the full list and examples of kit. Please ask your coach for advice if you are unsure of the training equipment or of the most suitable types. Squad swimmers should have all the basic kit by the time they start squad training.

The Club runs a Swim Shop where you can order GASC caps, named caps, club t-shirts, bags and other items. Please keep an eye on the noticeboard and contact s [email protected] for more information. All other equipment is available online from ProSwimwear, SimplySwim, Allen of Kingsbury, Scubastore, Amazon etc.

Fees ______

Club fees are determined by the Club Committee and may be subject to change each year. Fees are fixed and no reduction can be given for non attendance or as a result of coaches’ decisions. Queries regarding payment should be directed to the Club Treasurer at t [email protected].

There are four different types of fees that are required to be paid by club members:

Annual Club Membership Paid upon joining the club and thereafter in May each year. This fee covers the general club running costs - admin, training for technical officials, miscellaneous expenses and the costs of the Club Championships, Schools Gala etc. It is non-refundable.

Annual SASA Membership Paid in March each year. This is the cost of membership of the Scottish (Scottish Amateur Swimming Amateur Swimming Association, the sport’s governing body, and includes Association) insurance. Membership is compulsory for all club members, for one parent per swimmers, and is non-refundable.

Swimming Fees Paid either annually in full or by monthly standing order. This fee simply covers the cost of water time (pool hire). Swimmers promoted to the next squad during the year will have the difference in Session/Squad fees applied on a prorated basis.

Swim Meet Fees Every swim that is highlighted on the eligibility report will incur a fee. This is normal practice for the meet organisers to charge per swim. The entry fee must be paid in advance before the closing date of the competition entry or you will not be entered into the meet. Fees may be paid on a per-competition basis through a bank transfer or monthly standing order. Fees for rejected entries and unconverted reserve swims will be credited back to your competition account on receipt of the funds from the meet organisers.

Please note: If you withdraw from a competition or events in a competition you will normally have to forfeit your fees. Only for medical reasons (supported by a Medical Certificate) or for another emergency may the competition fees be refunded. Additionally, please ensure all fees are up to date and paid. Failure to do so may result in the swimmer being refused training until resolved.

Volunteers and Expectations on Parents ______

Although the swimmers do all the training and competing, the parents’ support is a vital part of the Club’s success. Parents should support their children by being positive towards their training and competition results and ensuring the swimmers follow a healthy lifestyle. Adequate sleep and correct nutrition are vital for optimum performance.

GASC is run by unpaid volunteer coaches, teachers, technical officials, committee members etc. and it is only with these volunteers that the club is able to function. Swimmers’ parents / guardians are expected to help in some capacity, be it assisting with fundraising, being a member of the Management Committee, helping with administrative tasks, organising or providing support in whatever capacity. Any support in whatever form is greatly appreciated by the club and its members, and you will be asked to sign our Parent Participation Policy when your child joins the club.

POOLSIDE

If you wish to help poolside during training session or competitions, please speak to one of the coaches and they will give you guidance on what steps you have to take. Anyone wishing to go poolside must be SASA members, have undergone appropriate PVG checks and have completed a Safeguarding and Protecting Children course (available through ).

SWIMMING TECHNICAL OFFICIALS (STO)

At swim meets, technical officials (STOs) are required as timekeepers, recorders, judges, starters and referees. There is training for these roles and all parents are invited to become a technical official - put simply, it’s the best view of the swimmers you’ll get! When a swimmer joins Squad 1 upwards, we would ideally want one parent to be on the path to obtaining their Judge 1 certificate.

At North District competitions, it is a North District regulation that the Club provides a minimum number of officials, related to the number of Club swimmers racing - if these requirements are not met the club receives a fine. It is club policy that all parents must be willing to officiate at these competitions, or find a replacement official.

PARENT HELPER GROUP (PHG)

The PHG was set up to assist the Management Committee with the day to day running of the club, but especially with the organisation of Garioch’s swimming meets, fundraising and other events. Every single role in the swimming club is voluntary and you do not need to have any knowledge of swimming or how the club works to volunteer or be part of the Parent Helper Group. The PHG meets once a month in the Garioch Community Centre to share information about the running of the club and help the management committee if and when needed. You can contact the PHG on [email protected] and dates of all upcoming meetings are on the pool noticeboard.

The principle GASC act on is “If everyone contributes a little, then no one has to do a lot [unless they want to!]”

Child Protection ______

As a club we adhere to the Scottish Swimming’s National Child Protection Policy, which can be found here: https://www.scottishswimming.com/media/1914664/Child-Protection-Policy-2016.pdf. It provides current best practice which has been sought from Child Protection in Sport Unit, sportscotland, Disclosure Scotland, and other Scottish Sports Governing Bodies.

It is the policy of Scottish Swimming to ensure that every child, young person or vulnerable adult who takes part in the sports of swimming, diving, synchronised swimming and water polo should be able to participate in an enjoyable and safe environment. In addition they should be protected from neglect, bullying, physical, emotional and sexual abuse. Any actions and comments made whilst dealing with young people should always be well considered and should never give rise to misinterpretations.

GASC is committed to promoting the wellbeing of swimmers within our club to allow them to enjoy a positive experience of swimming and to encourage lifetimes participation.

In order to comply with the Scottish Swimming Child Protection Policy and current legislation, we have two dedicated Child Protection Officers (CPOs) in our club. They ensure that swimmers and volunteers can train, compete and work within a safe environment, and are committed to providing continuous support, training and guidance to our volunteers within this area. Remember, it is not just the swimmers that we want to protect, it is ourselves too, and common sense should always prevail.

Communication ______

Always check the Club notice board in the pool foyer to keep up to date with what is going on. Forthcoming competitions, sign-up sheets for meets, acceptance information and general information is posted here.

The club website www.gasc.co.uk is an excellent source of information with links to other useful websites. You will also receive emails from the club regarding changes to training times, reminders, or other points of interest.

Please ensure that at all times the club has up to date contact details, including two emergency contact phone numbers and an email contact address.

Guidelines and Rules ______

GASC has an excellent athletic reputation and in order to maintain our high standards, we have the following guidelines and rules. These are expected to be followed by both the swimmers and parents / guardians.

GUIDELINES

These guidelines provide general information about the running of and communication with the club.

1. Any concerns relating to Swimmers’ welfare and protection is dealt with by the Child Protection Officers. 2. Swimming information can be found on the Club noticeboard and on our website: www.gasc.co.uk. It is the responsibility of swimmers / parents to check this after each training session for changes / updates. 3. If there is an issue which needs addressing, please inform the Management Committee. All Committee members are volunteers and elected by the Club members at the AGM to run the Club on their behalf. Please support the Head Coach and Committee and raise any concerns you have in an appropriate manner. To contact the Committee, please email the Club Secretary on G [email protected]. 4. You are responsible for your child until they are poolside with a coach. Please come into the building every time you bring your child to a training session in case the session has to be cancelled at the last minute. 5. Parents of Squad 1-5 swimmers are strongly discouraged from entering the changing room before, during or after training. This is to encourage swimmers to take responsibility for their own changing and behaviour. 6. It is the expectation of the committee that both the swimmers and the parents / guardians do not take actions to bring the club into disrepute. It is not possible to list every eventuality but if you have any queries about what is acceptable behaviour, please refer to the Athlete and Parents Code of Conduct in the Appendix.

RULES

The rules must be complied with and are for the welfare and safety of the swimmers and club officials. Breach of a rule may result in the disciplinary process (including the possibility of expulsion of the swimmer).

1. It is mandatory for both swimmers and parents to show respect for the coaches and their decisions. Confrontation with the coaches is not permitted at any time. 2. Swimmers are expected to attend all of their training sessions unless they have a valid reason (e.g. illness, family holiday). Failure to adhere to this may result in the swimmer dropping to their previous squad or not moving up as fast as they might have. This is to protect the welfare of the swimmer. 3. Parents are not allowed poolside during Squads 1-5 only training following the first 20 minutes of the session unless specifically requested. This is to ensure that the swimmers and coaches are not distracted by advice / requests / noise / etc. from individuals watching. Parents are allowed poolside during Session and Development training (except when Development are asked to train with squads). 4. It is a membership requirement and expectation that all parents / guardians contribute time and effort towards the daily running of the Club. This includes: a. Parent Helper Group and / or b. Fundraising and / or c. Swimming Officials and / or d. Coaching You will be asked to sign the club’s Parent Participation Policy when you join the club. 5. All club Policies, signed when joining or as part of the club and found in the Appendix, must be observed.

Meet Entry Requirements ______

Garioch Amateur Swim Club (GASC) are first and foremost a competitive club. The submittal of meet entries and information for GASC is a pivotal function ensuring the club submits the correct entry information of the swimmers, Swimming Technical Officials (STOs) and coaches for each meet. This is all coordinated between the Meet Secretary and STO Coordinator.

The meet entry process can be complicated and not altogether intuitive to new members and their parents. To provide clarity, the steps to this process are laid out below:

STAGE 1 The Swimming Sub Committee (SSC) agree the up and coming meets for the club to attend. This is done as much in advance as possible. For each meet the SSC will indicate who the meet is applicable for (e.g. Sessions, Development, Squads, 10+ etc.), and who the coach at the meet will be. Each meet will have its own date that all information has to be returned by which is determined by the organising club.

STAGE 2 As soon as the meets are agreed the Meet Secretary will attain all the ‘meet information’ and run an eligibility report. Eligibility is based on age and swim times. This report is sent to the relevant coach(es) in the first instance.

STAGE 3 The coach(es) have 5-7 days (or in a time agreed with the Meet Secretary) in which to highlight the swims they determine should be entered for each swimmer and then to place this highlighted eligibility report on the club noticeboard.

STAGE 4 Once the highlighted eligibility report goes up onto the club noticeboard the Meet Secretary will write on the report the pool location and the date the report needs to be initialled by. Each swimmer is then to initial against their name, which will acknowledge entry to the meet. If a swimmer is entered and selected to swim, a parent / guardian is also required to make themselves available to volunteer as a Swimming Technical Official (STO) during that meet. I f no parent / guardian volunteers, the swimmer may not be entered.

Please note: ● Swimmers / parents / guardians are NOT to alter the highlighted swims, cross, or tick the swims, or amend the eligibility report in any way. ● If a swimmer wishes to change the highlighted list in any way the swimmer MUST confirm with their coach first. Only once the coach has agreed any changes will the coach either cross “X” out a swim or tick “✓“ an additional non highlighted or highlighted swim(s), and initial the change. ● A swimmer can not choose to compete in only one session per day or on only one day of a two-day meet if they have swims in every session or on both days. By initialing their name they agree to attend the whole meet. ● If a swimmer does not initial their swims they WILL NOT be entered.

STAGE 5 As soon as the sign up date arrives the eligibility report will be withdrawn from the noticeboard by the Meet Secretary in preparation for submittal.

Please note: When the eligibility report is removed from the noticeboard (by the Meet Secretary only) NO further alterations can be made unless under extenuating circumstances. If a change is to be made, ultimately this will have to be approved by the Head Coach.

STAGE 6 The Meet Secretary will then collate the information into an approved file format and submit this to the Meet Secretary of the organising club. Once the information has been sent, the GASC Meet Secretary will post the meet fees that are due on to the noticeboard.

Please note: As soon as the meet fees have been placed onto the noticeboard they have to be paid immediately. If they are not you could be at risk of being withdrawn from the meet. See noticeboard or end of Meet Fees statement for details of how to pay.

STAGE 7 When the Meet Secretary receives the acceptance sheet from the organising club it will immediately be posted on the website www.gasc.co.uk/club-info/swimmer-info and pinned on the club noticeboard. Being an STO will be an automatic default and if parents / guardians are unable to provide support they need to advise the STO Coordinator. If GASC are unable to provide the correct amount of STOs, which is determined by the number of GASC swimmers entered into a meet, the club could be subject to a fine.

WITHDRAWALS As soon as the Meet Secretary removes the signed eligibility sheet from the noticeboard ready for submission to the receiving Meet Secretary, withdrawals can not be made. The exceptions are for medical reasons supported by an appropriate doctor’s note or under exceptional circumstances e.g. family bereavement, however, you will still be responsible for paying any applicable meet fees.

If after receipt of the acceptances from the event’s Meet Secretary a withdrawal is being considered, the swimmer / parent / guardian must contact the swimmer’s coach. Withdrawals should not be submitted by the swimmer / parent / guardian direct to the Meet Secretary or to the Meet Secretary of the organising club. As before, any fees incurred will be the responsibility of the withdrawing swimmer.

At all times, the relevant training coach or coach attending the meet should be informed of a withdrawal. Medical letters or doctor’s notes are to be submitted to the Meet Secretary no later than 5 days after the event.

RELAYS Relays will be considered on a meet by meet basis and will be determined by the meet information criteria and if enough eligible swimmers are available at submission. If on receipt of the acceptance list the list excludes swimmers that were potential relay candidates, then the relay teams will have to be reassessed for eligibility or if a withdrawal as to be made.

Please note: All relays are paid for by the club.

IF AT ANY STAGE THROUGH THE MEET ENTRY PROCESS THE MEET SECRETARY HAS ANY QUERIES, THESE WILL BE DEFERRED TO THE HEAD COACH AND THE HEAD COACH’S DECISION IS FINAL

First Time Competitors Pack Information for Swimmers ______

All meets that the Club enter are announced on our club notice board and displayed on our online Events Calendar: www.gasc.co.uk/club-info/notices-events. It is the responsibility of swimmers and parents to check the noticeboard after each training session for new meet signup sheets. The entry criteria for each meet can also be found on the website under w ww.gasc.co.uk/club-info/swimmer-info.

TIME TRIALS These occur at any time throughout the year during training sessions. It gives the swimmers a chance to update their times to gain entry to swimming meets.

CLUB GALAS GASC Annual Gala is held in Inverurie Swimming Pool at the end of the year. All members of GASC participate and it is a fantastic opportunity for new and younger swimmers to gain competition experience.

MINI MEETS These are aimed at our younger and more inexperienced swimmers, usually aged 11 years old and under. They are normally accredited / licensed meets where a full complement of Technical Officials will be present.

GRADED MEETS These are completed under full swimming rules and regulation and will be accredited / licensed meets. Swimmers that have been entered into these meets must have times slower than the times stated in the entry information. ‘Speeding tickets’ are issued to swimmers faster than the time stated in the entry information. Getting a speeding ticket is a good thing!

OPEN MEETS Any affiliated Club, organisation or individual may enter these accredited / licensed competitions. They have no time restrictions, however, the swimmer must be a member of SASA (Scottish Amateur Swimming Association).

DISTRICT MEETS SASA is divided into districts, and GASC is part of North District which covers the North of Scotland and the Islands. These are also accredited / licensed meets.

NATIONAL MEETS These are for all swimmers who make the qualifying standard within Scotland. These determine the best swimmers in Scotland.

WHAT TO BRING

● 2 towels (at least) ● Club swimming cap ● Swimming costume / trunks ● Goggles ● Water bottle ● Spare costume / trunks, cap and goggles if possible (goggles can snap, caps may tear and a dry costume after your race is more comfortable) ● T-shirt, shorts / tracksuit bottoms / socks for poolside ● Suitable shoes for poolside ● Healthy snacks (cereal bars, fresh or dried fruit, digestive biscuits etc) and drinks (water, diluting squash, fruit juice, sports drinks) but n o chocolate, crisps or fizzy drinks and no glass bottles or containers ● If you are competing in more than one session, remember to bring a packed lunch (pasta, rice, sandwiches, salads, yoghurt, jelly, fruit etc)

TIMETABLE

You must arrive in plenty of time - at least 30 minutes before the warm-up time - and report to the appointed poolside coaches / team manager. If for any reason you cannot make it to the competition, please let the poolside coaches know as soon as possible by contacting the club mobile. You will be given this number before the meet.

If you do not arrive at least 30 minutes before the start of the warm-up you risk being withdrawn from all of your races in that session. Try to let the poolside coach know if you are delayed for any reason on your way to the competition.

All swimmers do a warm-up at the time allocated by the organisers at the beginning of the sessions, regardless of the time of their first race. Information about competitions, including warm-up and start times, is available on the GASC website: w ww.gasc.co.uk/club-info/swimmer-info.

Normally the host club will allocate time slots and lanes within the warm-up period to clubs. Competitors will be supervised and instructed in what to do during the warm-up by the poolside coaches and helpers appointed by GASC prior to the Meet.

After the warm up, swimmers should dry off, have a drink, eat a small snack, change into a dry costume if they like, put on their poolside clothes, socks and shoes and report back to the poolside coach or team manager.

Swimmers only stay with their poolside coaches / team managers during the competition and must ask their permission to leave poolside for any reason. Coaches need to know where their swimmers are in order to be able to prepare them for their race and to make sure they report to marshalling in good time. Swimmers will not be permitted to leave the competition until the session is over and their coach has dismissed them. Swimmers are expected to stay and support their teammates in Finals unless there are extenuating circumstances and agreement has been given by the Head Coach prior to the event.

The team manager or poolside coach will send swimmers to the marshalling area several heats before their event. Competitors will be supervised and directed to the start of their event by a host club official (marshal).

Swimmers should report back to their coach immediately after each race for a de-briefing on how the race went.

The people on poolside dressed all in white are the technical officials - timekeepers, judges, starters and referees. Swimmers must follow their instructions.

Parents are not permitted on poolside with swimmers unless they are the poolside helpers / coaches appointed by GASC for that competition and they are not allowed to enter the changing rooms of any pool while it is hosting a meet. Parents must refrain from communicating with their child until the swimmers have been dismissed by the coach at the end of the session.

SWIMMING TIPS

If you do not wish to dive from the blocks you must tell the marshall or officials on your lane before you line up for the race. Be sure you know which stroke you will be swimming and how many lengths you need to do. Your coach or team manager and the marshal will have told you, but if you are not sure you can ask the judge or timekeepers on your lane while you are waiting - they won’t mind!

STARTS

At the start of each race the referee will give 3 or more short whistles - this tells the swimmers in that heat to get ready (a nd everyone else to be quiet) . The referee will then give one long whistle telling the competitors to get up on the blocks for butterfly, breaststroke and front crawl events or into the water for backstroke events.

For backstroke the referee will give a second long whistle telling the swimmers to get into position for the backstroke start.

The starter will then say “Take your marks”. You must take up your starting position and then stay completely still until the starting signal (usually an electronic beep or horn) is given. The starter cannot give the signal until all the competitors are completely still.

FRONT CRAWL Swim all the way up and touch the wall, then turn. You do not need to do a tumble turn so long as you touch the wall.

BACKSTROKE You must touch the wall with your hand whilst still on your back - you cannot turn onto your side to touch. This includes touching at the turn unless doing a tumble turn. Swim on your back all the way to the finish except for tumble turns. Remember to look forward at the start of your swim.

BREASTROKE You must touch with both hands at the same time for turning and finishing. Hands must not pull behind your hip-line except for the one long pull at the start and at turns. No flutter kick between breastroke kicks. Your head must break the surface with each arm stroke.

BUTTERFLY Again you must touch with both hands at the same time when turning and finishing. No flutter or breastroke kick at any time. Both arms must move forward at the same time o ver the water.

RELAYS You must wait until the swimmer coming towards you touches the wall before you dive from the blocks (or leave the wall if you are starting in the water). You must also swim in the order you have been given and, in medley relays, you must swim with the correct stroke.

After each race you must report back to your poolside coach for feedback - make sure you have enough to drink, dry off quickly, put on your poolside clothes and have a small snack. Swimmers will normally be expected to stay with and support their team-mates until the end of the session, including medal presentations.

DISQUALIFICATIONS

It can be upsetting for swimmers (and their parents!) to be disqualified and it happens to every swimmer at some point. It will help if you remember:

1. A disqualification just means you have made a mistake - it doesn’t mean you are a failure or a bad person or that the judge/referee doesn’t like you. You are still learning and it takes a lot of practice to get it right. As you improve your technique, get stronger and gain experience in racing you will make fewer and fewer mistakes until you rarely make any at all.

2. The first person you go to when you have been disqualified is your poolside coach. The referee should have told you what your mistake was but, if necessary, the poolside coach will check with them to find out exactly what happened so that you and your coach can work on correcting the fault for next time.

3. It is understandable and ok to be upset but that swim is done. Learn from it, then “throw it away” and focus on how you will excel at your next swim.

4. Even Olympic and world-class swimmers get DQ’d so you are in great company!

IN GENERAL

● You must be quiet for the start of each race so that the swimmers can hear the starting signal. Once the starting signal has been given you can (and should!) be as noisy as you like in supporting your team.

● Programmes, start sheets and results sheets are usually made available for sale at the competition. The host club often has swimming items (costumes, caps, goggles, water bottles etc) for sale too and there is often a raffle or some other form of fundraising.

● If you wish to take photographs and / or video recordings you must apply for permission from the competition organisers by filling in a form which is usually available at the programme sales table. You will then be issued with a wristband or card which must be attached to your camera or video recorder so that is is plainly visible.

● Mobile phones must be switched off - their use is not permitted in the pool hall, spectators’ area or changing rooms.

● Parents - please be aware that poolside coaches and team managers are only responsible for your child during the warm-ups and competition sessions. If you are not going to be present yourself, please arrange for another adult to supervise your child during the breaks and ensure that the coach or team manager has a contact number in case of emergencies. Please also note that parents are not allowed in the changing areas during competitions and galas.

First Time Competitors Pack Information for Parents ______

SWIMMING COSTUMES

Standard training / competition swimwear such as Speedo, Maru, TYR, Arena, Funkita etc are all that is required for developing swimmers - a one-piece costume for the girls and briefs, swim shorts (close fitting) or jammers (above knee length) for the boys. Costumes should be well fitting, not too tight or loose.

There is no need to pay a lot for swimwear. Suitable training / competition swimwear contains Lycra which eventually degrades through contact with chlorine, causing the fabric (even expensive fabric!) to lose elasticity and become transparent. You can extend the life of the costume by rinsing well and drying properly in between uses (but don’t tumble-dry!). Keep a look out for bargains at online shops, swim shops at competitions and even, especially for younger/smaller swimmers, supermarkets and chain stores.

There is a confusing array of racing costumes available to the competitive swimmer but this type of performance-enhancing swimwear is designed for the elite athlete and is not appropriate for young, developing swimmers. They are extremely expensive, need to be a perfect fit and provide absolutely no benefit for young swimmers. In accordance with GASC policy, developing swimmers will not be permitted to wear performance swimwear (kneeskins or jammers) in training or competitions. This type of swimwear is easily identified by its price - in excess of £50 for men’s jammers and over £100 for ladies kneeskins. If in doubt, consult your child’s coach before purchasing swimwear.

SWIMMING CAPS

We recommend silicone rather than latex swimming caps, and all GASC caps are silicone. Silicone caps fit better, are longer lasting and allow the scalp to ‘breathe’ while protecting the hair from the effects of chlorine. The club Swimshop can provide club logo caps and named caps - contact [email protected] for more info. Please note, GASC swim caps are only to be worn at club training and competitions. Please do not wear them during public sessions.

GOGGLES

Many children have problems finding goggles that fit well. Goggles with adjustable or interchangeable nose bridge may be the answer if you are having difficulty finding a good fit e.g. Speedo Mariner Junior etc for younger swimmer. Ask your coach for advice.

MEDICAL INFORMATION AND EMERGENCY CONTACTS

Coaches must have ready access to medical, allergy and emergency contact details for all swimmers present at training sessions, competitions, training camps etc. It is the parent/guardian’s responsibility to advise GASC whenever there is any change in the swimmers health or medication, and a new Medical Declaration form MUST be completed.

TAKING PHOTOGRAPHS AND VIDEOS

At most swim meets you will be allowed to take photographs or videos of your child, so long as you read the Photography Policy and sign the hosting club’s permission slip at every meet. This is usually available at the programme sales table. You will then be issues with a wristband or card which must be attached to your camera so that it is plainly visible. GASC’s Policy and Consent form (for use at our own meets) can be found in the Appendix, and most clubs will have something similar to these.

III. Athlete Code of Conduct ______

AIM

To ensure that all athletes involved within the sport participate within the agreed philosophy and set of standards of Garioch Amateur Swimming Club (GASC).

PURPOSE

To establish a minimum standard of behaviour required of swimmers both on and off poolside: this applies to all training sessions, galas and meets. In order to maintain the Club’s reputation as a friendly and disciplined organisation and above all for the safety and wellbeing of swimmers, all members must agree to abide by the Rules of the Club and in particular the rules contained in this Code of Conduct.

GENERAL

GASC will not tolerate bullying in any of its many forms - see GASC Equality Policy.

● Members should behave in a polite, safe and responsible manner at any time they are representing or associated with GASC, whether in training, and when travelling to or from a gala or meet. ● Members should respect the rights and dignity of others, behave without discrimination and treat other with due consideration. ● Members should not use abusive language or act in an aggressive manner at any time. ● Members should respect, at all times, the swimming facilities they are using and behave in a courteous way towards pool staff.

PRINCIPLE STATEMENT ON ETHICS

Sporting integrity is based on the acceptance of rules, fairness, equality, respect for others, moral conduct and a sense of what is right. Scottish Sport’s goal is to create a sporting environment where violence, breaking the rules, the abuse of drugs and alcohol, the lack of fair play and other unethical behaviour are automatically rejected as being irrelevant to the true purpose of sport.

IN WATER AND ON POOLSIDE

Swimmers must:

● Obey promptly all instructions from the coaches*. This also applies to obeying instructions at galas and meets from officials on duty. ● Behave in a safe and responsible manner at all times. ● Never change lanes unless instructed to do so by the coach*. ● Not use abusive language or act in an aggressive manner. ● Not be on poolside until a GASC adult representative is present. ● Always listen to the coach* and think about what they are doing during training. ● Always adhere to the lane etiquette. ● Behave in a ‘sporting’ manner in all races, support and encourage their team. ● Treat competitors and teams with respect at all times. ● Before and after their race, report to the coach*, not to their parents, to receive feedback on their race. ● Always wear club kit when representing the club. ● Treat competitors and teams with respect at all times.

● Refrain from inappropriate conduct towards others including physical, verbal written or emotional in person or through use of social media platforms. ● Be focused and prepared for all training sessions and competitions. ● Set a good example at all times in aspect of dress, punctuality, language, behaviour and respect of equipment and others. ● Always communicate with their coach* as it is essential. ● Keep logbooks maintained and up to date at all times. ● The possession and consumption of alcohol while representing the club is prohibited. ● Misuse of legal, illegal drugs or other possession of illegal drugs is prohibited.

*Please Note: From time to time GASC may not be able to provide a coach poolside, however a Poolside Assistant, Parent Helper or person allocated by GASC will always be in attendance abiding to Head Coach directive.

CHANGING ROOMS

Swimmers must:

● Behave in a responsible, orderly and appropriate manner in the shower area and the changing rooms and change as quickly as possible. ● Respect the property of other swimmers and any of the facilities and equipment provided. ● Obey any instructions from changing room staff, whom will also help if you have a problem. ● Change in the relevant changing area provided at all locations and behave in a courteous and respectful manner. ● Never use a mobile phone in the changing rooms - see GASC Mobile Phone Usage Policy

COACHES / TRANSPORT TO AWAY GALAS / MEETS

Swimmers must:

● Remain seated throughout the journey. ● Not interfere with any safety equipment including alarm buttons, switches, handles etc. ● Use the seat belts at all times when provided. ● Respect the condition of the coach/transportation and place any rubbish into bags that may be provided. ● Comply with any instruction from the Coach Driver, Swimming Coach* or Team Manager.

SANCTIONS

Breeches of the Athlete's’ Code of Conduct will be dealt with in accordance with the clubs disciplinary procedures, but could include the following:

● Parent(s)/Guardian(s) will be informed of the athlete(s) offending behaviour. ● Parent(s)/Guardian(s) will be asked to remove the athlete escorting him/her home if necessary ● The athlete(s) will be withdrawn from the event or session. ● Parent(s)/Guardian(s) may be requested to make independent travel and accommodation arrangements for future events. ● The Management Committee will reserve the right to refuse to chaperon the offending athlete(s) at future events. ● The athlete(s) may be excluded from attending future events.

IV. Parent Code of Conduct ______

Parents / Guardians and Spectators should comply with the principles of good ethical practice listed below. Parents / Guardians must at all times:

● Promote the positive aspects of the sport. ● Support and encourage their swimmer wherever possible in all their efforts for the club and in complying with the Athlete Code of Conduct ● Encourage swimmers to value the performance and not just results. ● Do not ridicule or shout at a child for making mistakes or losing a race. Never use physical or emotional punishment with respect to a swimmer’s performance. ● Support all efforts to remove verbal and physical abuse from sporting activities. ● Encourage and guide swimmers to accept responsibility for their own performance and behaviour. ● Always remember that the involvement in the sports is for the child, not you - do not impose any personal ambition on your child. ● Resist the temptation to provide coaching advice to a swimmer during a club session or meet. ● Never condone rule violations or use of prohibited substances. ● Behave responsibly and do not use inappropriate language whilst involved in or spectating at club activities, and treat athletes, coaches, volunteers, officials and parents of yours and other clubs with due respect. ● Be responsible for your child’s behaviour in the showers, changing rooms and all areas of the swimming centre. The coaches are responsible only on poolside. ● Check all club communication mediums regularly for information on club activities. Parents are responsible for checking entry and acceptance to swim in galas. ● If you wish to speak to a coach do not approach them on poolside, please wait until they are off poolside. ● Never get into a public argument with a coach which undermines their authority poolside. ● Respect the aims and objectives of GASC and support your child by allowing them to turn up on time for practice and competitions. ● If your child is unable to attend training, please ensure that you inform the child’s coach at the first available opportunity. ● Any changes in the state of your swimmer’s health should be reported to the coach prior to coaching sessions. Ensure the club has up to date contact details for you. ● Always ensure a coach is present before leaving your child at the pool and ensure your swimmer is collected promptly at the end of each session. ● The club is a voluntary organisation and it takes a great deal of work from many people on an unpaid basis to make it work. We would ask that all parents volunteer in some capacity on that basis. ● Abide by Scottish Swimming Social Media Guidelines and GASC Mobile Phone Policy.

All parents / guardians and spectators are expected to respect direction of pool staff who have overall authority for activities held at venues.

All participants (swimmers, coaches, volunteers), family and spectators are expected to promote a positive and encouraging atmosphere at all training and competitive events, thus promoting the positive coaching principals.

VI. Equality Procedure ______

KEY DEFINITIONS

Protected Characteristics are outlined in the Equality Act 2010 of which there are nine in total - sex, race, disability, age, gender reassignment, sexual orientation, marriage and civil partnership, pregnancy and maternity, religion and belief.

Equality is fairness. All people are respected and treated without discrimination between persons because of their Protected Characteristics.

Equal Opportunity is the prevention, elimination or regulation of discrimination between persons because of their Protected Characteristics.

Direct Discrimination means treating someone less favourable than you would treat others in the same circumstances because of their Protected Characteristics.

Indirect Discrimination occurs when a person imposes, or proposes to impose, a requirement, condition or practice that has, or is likely to have, the effect of disadvantaging people with a Protected Characteristic, and that is not reasonable.

Harassment is described as inappropriate actions, behaviour, comments or physical contact that is objectionable or causes offence to the recipient. It may be directed towards people because of a Protected Characteristic or because of some other reason.

Victimisation is defined as when someone is treated less favourably than others because he or she has complained about discrimination or helped someone else to complain or done anything to uphold their own or someone else’s equality law rights.

Disability Discrimination includes direct and indirect discrimination, any unjustified less favourable treatment because of the effects of a disability, and failure to make reasonable adjustments to alleviate disadvantages caused by a disability.

PURPOSE OF THIS POLICY

Garioch Amateur Swim Club (GASC) has adopted this Policy to prevent/tackle any potential or current discrimination or unfair treatment, whether intentional or unintentional, direct or indirect, against members or employees of GASC.

GASC will endeavour to provide open access to all those who wish to participate in swimming within the competitive environment.

STATEMENT OF COMMITMENT

GASC is committed to the principles and practice of Equality and Equal Opportunity and is responsible for ensuring that no job applicant, employee, or member receives less favourable treatment on the grounds of a Protected Characteristic.

DISABILITIES

A person is defined for the purposes of the Equality Act 2010 as being disabled if they have a physical or mental impairment that has a substantial and long term adverse effect on their ability to carry out normal day to day activities. This would be if the physical impairment affects one or more of the following: mobility, manual dexterity, coordination, continence, ability to lift, carry or move everyday objects, speech, hearing, eyesight (not corrected by glasses), memory, ability to concentrate, learn or understand or perception of risk or physical danger.

A person will be deemed to have a long-term effect if it has or is likely to have a substantial effect for a period of at least 12 months or the rest of the affected person’s life. This would include someone suffering from a severe disfigurement.

DISCRIMINATION ARISING FROM DISABILITY

If a member or employee becomes disabled, they are encouraged to tell GASC about their condition so that GASC can support them as appropriate. The Equality Act 2010 allows for members and employees to be protected where an individual is treated unfavourably because of something connected to their disability. GASC will always have regard to the particular requirements which those suffering from disability may have and, in particular, to the need on occasion to make appropriate adjustment to eradicate any discriminatory effect.

DISCRIMINATION, HARASSMENT AND VICTIMISATION

GASC is committed to everyone having the right to enjoy their sport in an environment free from threat of discrimination, harassment, victimisation, intimidation and abuse.

When decisions are made about an individual, the only personal characteristics taken into account will be those which, as well as being consistent with the relevant legislations, are necessary to the proper performance of the work, task or issue involved.

All GASC members have a responsibility to respect, act in accordance with and thereby support and promote the spirit and intentions of this Policy.

GASC will deal with any incidence of discriminatory behaviour seriously, and regards discrimination, harassment, victimisation, intimidation and/or abuse as serious misconduct. Any members or employee who is deemed to have violated this Policy or Scottish Swimming’s Equality Policy will be liable to disciplinary action under GASC Disciplinary Policy and/or Scottish Swimming’s Complaints and Grievances Procedure.

COMPLAINTS AND DISCIPLINARY PROCEDURE

Any member who believes that he or she has suffered inequitable treatment within the scope of this Policy may raise the matter through the Club Grievance and Complaints Policy.

VII. Child Protection Policy ______

We, the club, believe that Good Practice at Garioch Amateur Swimming Club is as follows:

1. The safeguarding of children is everyone’s responsibility, particularly when it comes to protecting children from abuse. Everyone in swimming - administrator, Club official, coach, parent, friend, children themselves, everyone - can help. Children and young people have a lot to gain from swimming. Their natural sense of fun and spontaneity can blossom in positive sporting environments. Swimming provides an excellent opportunity for children to learn new skills, become more confident and maximise their own unique potential. The Club will place the needs of the child first and winning and competition second.

2. The underlying principles with respect to Child Protection are that:

a. The child’s well-being is the first consideration. b. All children, regardless of age, any disability they have, gender, racial origin, religious belief and sexual identity have a right to be protected from abuse. c. Children and young people must be treated with integrity and respect. d. Children and young people's programmes and competitions will be relevant to their ages and stages of development.

3. We are committed to following the current Scottish Swimming’s Child Protection guidelines. All our volunteers / staff are members of Scottish Swimming.

4. The Club:

a. Aims to create an enjoyable environment, where young people have the right to be safe, secure and free from threat. b. Acknowledges that young people have the right to be treated with respect and for their concerns to be listened to and acted upon. c. Will aim to ensure that junior members have specific programmes designated for them, with adequate supervision. d. Is committed to ensuring that all helpers, whatever their role, complete a Club Membership Form and sign a Code of Conduct. e. Is committed to ensure that all regulated positions are PVG Scheme Members and complete a Self Declaration Form in relation to Child Protection. f. Provides clear, comprehensive, easily understood procedures for dealing with: i. Allegations of abuse ii. Requests for help and support on a confidential basis. g. Is committed to an equitable recruitment selection policy for coaches. h. Will always emphasise fair play.

If you are dissatisfied with any matter affecting the club, i.e. the coaching programme provided by the Club, your role within the club (if any), the swimming programme, general supervision within the club, or any other matter directly affecting the Club's activities, then you should in the first instance:

● Raise the matter informally with the Club Coach or in his/her absence the President, if it relates to any coaching or training swimming programme or supervision matter. ● If it relates to any other matter affecting the club's activities raise it informally with any member of the Club Management Committee.

If you are dissatisfied with the response given or decision made you should raise the matter with the Club Management Committee by writing to the Club Secretary giving details of your concerns and why you are unhappy with the response or decision given.

The Management Committee will normally consider your letter at the first available meeting and will investigate and discuss the matter as required and will undertake to consider and determine all matters as quickly, fairly and as reasonably as possible.

The Management Committee will normally advise you of their decision in writing within 14 days of the meeting and will endeavour also to advise you in writing of any further developments in relation to the grievance raised.

If you are dissatisfied with the Management Committee’s decision, you will have the right to appeal within 14 days of notification and should do this in writing to the Club President.

The Club President will consider the whole matter anew including your letter of appeal and may carry out further investigation or discussion at his/her discretion and will determine the matter by one of the following:

● By upholding the original decision. ● By upholding your letter of appeal ● By substituting his own decision in the matter.

The President will advise you of his decision in writing within 14 days of receiving your letter of appeal.

IX. Disciplinary Procedure ______

AIM

To ensure all athletes involved within the sport participate within the agreed philosophy and set of standards of Garioch Amateur Swimming Club (GASC).

PURPOSE

To establish a minimum standard of behaviour required of swimmers / members both on and off poolside. This applies to training sessions, galas, meets, camps and any associated GASC activity. In order to maintain the Club’s reputation as a friendly and disciplined organisation and above all for the safety and wellbeing of swimmers, all members must agree to abide by the Rules of the Club and in particular the rules contained in this procedure.

GENERAL

GASC will not tolerate bullying in any of its many forms:

● Members should behave in a polite, safe and responsible manner at any time they are representing or associated with GASC, whether in training, and when travelling to or from a gala or meet. ● Members should respect the right and dignity of others, behave without discrimination and treat others with due consideration. ● Members should not use abusive language or act in an aggressive manner in any time. ● Members should respect at all times the swimming facilities they are using and behave in a courteous way towards pool staff.

PRINCIPLE STATEMENT ON ETHICS

Sporting integrity is based on the acceptance of rules, fairness, equality, respect for others, moral conduct and a sense of what is right. Scottish Swimming’s goal is to create a sporting environment where violence, breaking the rules, the abuse of drugs, the lack of fair play and other unethical behaviour are automatically rejected as being irrelevant to the true purpose of sport.

SANCTIONS / PUNISHMENT

In the unfortunate, and hopefully unlikely, event that the behaviour of a swimmer, member of the coaching team or Management, or a parent volunteer contravenes the club codes of conduct, or their actions / behaviour are deemed inappropriate, the appropriate disciplinary action will occur.

GASC operate a three-tier system and the following action will be taken:

1. The President / Head Coach or a deputising club official will in the first instance give the person concerned a formal verbal warning. 2. Should further action be necessary, this will take the form of a formal written warning which will set out the Club’s concerns and specify what response the Club requires. The person concerned may submit a written response within 14 days of the correspondence having been received. If no response is received it will be deemed that the formal written warning was understood and accepted. 3. If neither the verbal nor written warning adequately address the Club’s concerns or have been ineffective, the following actions may follow:

a. Temporary exclusion b. Suspension c. Membership withdrawal d. Any sanction deemed appropriate by the Head Coach / Management

The person against whom the disciplinary action is taken will have a right of appeal. The appeal must be made in writing and must arrive with the Club Secretary within 14 days of exclusion. The Management will consider the appeal and will, at its discretion, agree to a formal disciplinary hearing. A written response will be provided within 14 days of the appeal having been received. Should the appeal be rejected, the matter will be considered closed and there will be no further right to appeal.

Ultimately in whatever form the disciplinary action is taken, it will be decided by the Management Committee. In accordance with the Club’s constitution, only the Committee can ultimately withdraw the Membership of a swimmer, a decision not taken lightly, but taken in the interests of the safety and well-being of the swimmers and Club as a whole. Each stage of the disciplinary procedure taken by the Management will be noted in its minutes so that an accurate record of events and decisions is maintained. In the event that the disciplinary matter concerns a member of the Management, the person concerned will be asked to leave the room during the discussion.

Serious incidents will be reported to the Scottish Amateur Swimming Association (SASA) in accordance with SASA guidelines, and any other relevant authorities.

X. Photography Policy ______

It is the camera users own responsibility to be aware of the Facility’s Normal Operating Procedures. Permission from the Garioch Amateur Swimming Club (GASC) does not necessarily infer permission from the facility owners / operators.

NOTIFICATION

● From time to time, parents / guardians and children will be asked for permission to be photographed or filmed whilst participating in swimming. This could be for one of the following reasons: ○ Video footage for performance development. ○ Media coverage of an event or achievement. ○ Promotional purposes e.g. website or publication. ● In order for photographing / filming to take place the following forms will need to be completed and submitted to the club: ○ Photography and Video Consent Form (GEN.05) ○ Request for use of Camera and Video Equipment (GEN.06 ● Materials promoting events will state, where relevant, that photography and filming will take place. ● Those who have sought and obtained permission to photograph or film will be formally identifiable e.g. a badge or sticker will be issued. ● Registration of intention to photograph will be required on the day (Request for Permission to Use Camera & Video Equipment). This enables tracking of the equipment and the operator, should concerns arise in the future. ● Information about what to do if concerned about photography and filming will be available at all events.

USE OF IMAGES & INFORMATION

● All images and accompanying information will comply with Scottish Swimming’s Child Protection Policy & Procedures. ● No photographing or filming will be permitted in changing areas, toilets or showers. ● No unsupervised access or one-to-one sessions will be allowed unless this has been explicitly agreed with the child and parents / guardians. ● GASC will ensure that all negatives, copies of video and digital photograph files in our control are stored in a secure place. These will not be kept for longer than is necessary having regard to the purposes for which they were taken. ● All material must be used for the purpose stated on the application and must not be altered in any way without the prior approval in writing of the person(s) photographed or their parent / guardian. ● Images will not be shared with external agencies unless express permission is obtained from the child and parent / guardians. ● Athletes modesty will be protected at all times. To this end: ○ Action shots should be a celebration of the sporting activity and not a sexualised image in a sporting context. ○ Action shots should not be taken or retained where the photograph reveals a torn or displaced swimming costume. ○ Poolside shots of children should normally be above the waist only in a swimming costume, though full club kit shots are approved. ○ Athletes should only be photographed in swimwear during action shots.

CONCERNS

● Anyone behaving in a way which could reasonably be viewed as inappropriate in relation to filming or photographing should be reported to the gala convenor. ● Where appropriate the gala convenor should report concerns to the facility manager and / or the police / social work.

Application forms for permission to use photographic or video equipment are available from the pool reception area at every gala.
