Employment Opportunity - Bilingual Secretary- Benedict the , in Lebanon, is accepting applications for the position of Secretary. This position includes benefits, $12per hour, 30 hours per week. Working Hours: Mondays, Wednesdays and Fridays from 8:00am to 6:00pm with 30 minutes paid lunch break, one paid 15 minute mid-morning break and one paid 15 minute mid-afternoon break.

Breaks cannot be accumulated, cannot cover for late arrival to work, extended lunch hours, or early departure from work.

This salary offered is established in keeping with the social teachings of the Church with regard to just compensation for human work. Vacations are granted based on parish policy.

Qualified person must possess excellent written and verbal communication skills in both English and Spanish.

General Description: The Parish Secretary for Saint Benedict the Abbot will often be providing information or other assistance to Parishioners, Pastoral & Finance Councils, the Diocesan Offices and the General Public, but will be directly accountable to the .

An Employment Agreement shall be established and shall be a written agreement. This employment agreement shall remain in place for a one-year period and shall be reviewed and/or renewed annually. This Employment Agreement shall follow the guidelines established by the of Harrisburg.

1. Duties may include any or all of the following: Ø Assist parishioners in any way possible. Ø Take & get mail from the Post Office (when needed it). Ø Represents the parish to telephone callers, and visitors. Ø Receives and routes incoming telephone calls. Ø Provides general parish information, receives visitors, and directs to appropriate person, or location. Ø Follow up with the emails sent to the church office. Ø Maintain the parish calendar. Ø Prepare Sunday bulletin weekly. Ø Coordinates appointments for the Pastor. Ø Schedules parish facilities. Ø Develops and maintains a calendar that identifies the time, date, and name of organization as well as room scheduled for use. Ø Coordinates the keys for facilities. Ø Oversees the timely opening and secure closing of the office. Ø Maintain all files and records for the parish and its employees. Ø Prepare Prayer of the Faithful and Pulpit Announcements for weekend Masses, and other special Masses under the direction of the Pastor. Ø Prepare correspondence for the Pastor. Ø Schedule Masses, , Weddings and Funerals. Ø Keep track of the Intentions. Ø Assist and coordinate funerals with Funeral Home. Ø Record and update all records including Baptisms, First Reconciliation, First Communion, Confirmation, Wedding & Funerals. Ø Maintain the parishioner records and mailing list up to date. Ø Send Confirmation & Wedding notification to church of . Ø Schedule Pre-Baptism classes in consultation with the Pastor. Ø Prepare Baptism, Confirmation & Wedding certificates. Ø Prepare tamper proof bags for weekend collection. Ø Put devotional booklets, bulletins and other informational articles in the back of the church. Ø Keep registration forms updated and send out registration forms for new parishioners. Ø Maintain an adequate inventory of office supplies. Ø Bring to the attention of the Pastor the supplies to be purchased. Ø Order supplies at the direction of the Pastor. Ø Order palms, ashes, candles, hosts, missals, hymnals, etc. for the church. Ø Maintain Inventory of fixed assets and equipment. Ø Keep informed of and comply with diocesan and local policies. Ø Preparing, typing, editing and translating a variety of correspondences, documents and forms. Ø Filing correspondence, documents, forms and related materials. Ø Keep financial records in an organized filing system. Ø Preparing cash receipt forms to be sent to HCAS (Harrisburg Catholic Administrative Services). Ø Preparing end of year financial statements for parishioners as requested. Ø Recording all collection envelopes received in PDS. Ø Preparing invoices for payment by HCAS (Harrisburg Catholic Administrative Services). Ø Reconciling and distributing funds from the Petty Cash Account. Ø Reconciling parish checking and savings accounts. Ø Completing employee time reports to HCAS. (Harrisburg Catholic Administrative Services). Ø Reviewing monthly General Ledger History Listing and financial statements and rectifying any errors. Ø Reviewing and interpreting monthly financial statements. Ø Keeping records for memorial donations, sending out acknowledgement cards to families of deceased parishioners, thank you cards to donors. Ø Record keeping of Mass Intentions received. Ø Assisting with any other projects or duties when needed. Ø Perform other tasks as will be assigned by the Pastor. Ø Arrange for work to be done when away for vacation, training events, or leave of any kind. Ø Inform Pastor at least two weeks to taking vacation or personal leave.

2. Skills: Ø Excellent communication skills and the ability required to interact in person or by telephone with a broad range of individuals. Ø Ability to work with minimum of direct supervision. Ø Be a person who enjoys working with people. Ø Good knowledge of the teachings and practices of the . Ø An ability to work collaboratively with parish staff members and volunteers. Ø The ability to understand the importance of confidentiality of church records and conversations.

3. Professional Qualifications: Ø Have strong computer skills (Microsoft Word, Outlook, Excel and Publisher). Ø Have minimum of a high school diploma. Ø Have excellent command of both English and Spanish Composition. Ø Some secretarial experience is preferred. Ø Ability to take initiative in fulfilling tasks in a professional manner. Ø Be sensitive to the needs of people and able to make sound judgments. Ø Must work sitting for extended periods of time with frequent interruptions.
