COMMONWEALTH GAMES ENGLAND YOUTH GAMES COORDINATOR – (FIXED TERM CONTRACT UNTIL SEPTEMBER 2021) THE COMMONWEALTH GAMES The Commonwealth Games is a multi-national, multi-sport event. Held every four years, it involves the elite athletes of the Commonwealth of Nations. Attendance at the Commonwealth Games is typically around 5,400 athletes. The Commonwealth Games Federation (CGF) is the organisation responsible for the direction and control of the Commonwealth Games. Individual participating countries have Commonwealth Games Associations, responsible for the national team’s attendance and performance at the Games. The first Games, then known as the British Empire Games, were held in 1930 in Hamilton, Ontario, in Canada. The name changed to British Empire and Commonwealth Games in 1954, to British Commonwealth Games in 1970 and to the current name of the Commonwealth Games in 1974. As well as many Olympic sports, the Games also include some sports that are played mainly in Commonwealth countries, such as lawn bowls, netball and squash. There are currently 53 members of the Commonwealth of Nations, and 71 teams participate in the Games. The four constituent countries of the United Kingdom - England, Scotland, Wales and Northern Ireland - send separate teams, and individual teams are also sent by Guernsey, Jersey and the Isle of Man. Birmingham 2022 will be the third addition of the Games hosted in England. The previous two additions were in London in 1934 and in Manchester in 2002. The Commonwealth Youth Games are also held every four years with the current format, and the first version of the Games was held in Edinburgh, Scotland. More recently, the last Commonwealth Youth Games was held in Bahamas in 2017, where Team England topped the medal table. The next Youth Commonwealth Games will take place in Trinidad and Tobago from the 1st – 7th August 2021. COMMONWEALTH GAMES ENGLAND Commonwealth Games England is responsible for preparing and delivering the England Team at the Commonwealth Games and Commonwealth Youth Games. Our core purposes are to lead and manage the participation of Team England and to deliver excellent performance and support environments. Commonwealth Games England also aim to represent England effectively within the CGF, and to raise the profile and reinforce the value, reputation and future of this great sporting event. JOB DESCRIPTION ROLE PURPOSE To work closely with and provide administrative support to the Chef de Mission and Sport Manager on the key Games delivery projects for the 2021 Commonwealth Youth Games in Trinidad and Tobago. The role is also responsible for coordinating the day-to-day operations in Team England’s preparations for the Youth Games ensuring the best preparation for the team. ACCOUNTABILITIES Some of the projects and key responsibilities include: Work closely with the Chef de Mission and Sport Manager to coordinate sport and performance planning meetings with nominated NGB Team Leaders to create the best possible performance environment for the team. Play a key support role in the organisation of the Team Leader Workshops, including planning, venue and delivery logistics. Organise a programme of internal management team meetings to support the internal preparations and management of the Youth Games across key functional areas. Provide project coordination support to the Chef de Mission ensuring the management team are working effectively and on time to the key event milestones. Act as a Commonwealth Games England point of contact to the Organising Committee receiving communications and providing regular updates as required throughout the cycle. Coordinate and manage the logistics for the team flights, visas and excess baggage requirements in and out of Trinidad and Tobago. Work closely with the Kit Manager and NGBs to compile kit orders and coordinate the logistics for the kit distribution pre-Games. Coordinate flights, accommodation and the logistics for a Chef team recce in early 2021. Lead on the procurement of all consumables for Games time, including transport, IT, equipment for performance spaces, athlete lounges and team offices. Coordinate key documentation and provide support for the day to day logistics at Games time offering administration support to the wider project as required including, sport entries, bed space planning, 3 and daily competition and activity run sheets. Coordinate and manage the logistics for the Team Orientation to take place ahead of the team flight to Trinidad and Tobago. Work closely with the Sport Manager and UK Anti-Doping to coordinate Team England’s engagement and compliance in the Clean Games Policy, supporting NGBs to ensure nominated and selected team members are appropriately educated and a true record is kept. Work with the Chef de Mission and Head of Finance to manage elements of the budget for the Youth Games where required. General Be a key member of the Trinidad and Tobago 2021 Commonwealth Games delivery team. Undertake other duties and responsibilities as required to support the Sport and Performance teams throughout the cycle. ROLE DETAILS This role is accountable to the Head of Performance and Sport Engagement (2021 Youth Games Chef de Mission), based in London. The role is on a fixed term full-time contract of 35 hours per week until the end of September 2021. National and international travel will be required therefore the individual must hold a valid passport. The successful candidate will receive a salary of circa £23,000 - £27,000 per annum plus benefits. PERSON SPECIFICATION Criteria Essential Desirable Experience An understanding of sport in England, the UK and internationally, particularly the objectives of the Commonwealth Games Have previous national or international experience working or volunteering within high performance sport Experience of operational delivery within an Olympic, Paralympic or Commonwealth Games environment Event organisation / administration ideally in sports events Ability to work under pressure, whilst balancing conflicting demands and managing deadlines Skills Project management and organisational skills with a high attention to detail Excellent verbal and written communication skills Ability to resolve issues / problems swiftly and at the lowest level both informally and formally Ability to handle pressure, manage unexpected events in a stressful situation including crisis management Excellent IT skills including Word, Excel, PowerPoint, use of Outlook and other communications devices Behaviours/ Competencies 3 Passion for sport and the Commonwealth Games Resilience and focus on achieving results through consultation and collaboration with others Personable and engaging Ability to work under pressure Sound judgment RECRUITMENT PROCESS AND APPLICATION INSTRUCTIONS Please send your CV and a covering letter outlining your suitability for the role to [email protected] The closing date for applications is 5pm on Wednesday 11th March.
