SAISA Meeting October 22, 2010, Kathmandu Minutes

Present: Rich Boerner (Dhaka), Craig Johnson (Mumbai), Phil Clinton (Kathmandu), Areta Williams (Colombo), Kathryn Cochrane (Lahore), Barry Clough (Chennai), Peter Pelosi (Karachi), Rose Puffer, (ISOI)

1) Meeting the new SAISA heads New SAISA heads were introduced and returning SAISA heads introduced themselves. A warm welcome was extended to: a.i) Richard Boerner in Dhaka, a.ii) Craig Johnson in Mumbai, and a.iii) Phil Clinton in Kathmandu. 2) Possible implications of Delhi’s withdrawal from SAISA A discussion was held as there will now be one less site for hosting conferences. The suggestion was made by Phil Clinton that we pare back the SAISA calendar.  Phil Clinton moved that given the expense and strain on limited facilities, the Leadership Conference, SAISA art, SAISA Math, SAISA cricket, SAISA music, SAISA MUN and the badminton invitational be removed from the SAISA events calendar, and if not already invitational events be deemed invitational events for 2011-2012 school year. The above events will no longer be sponsored by SAISA and are open for schools to organize on an invitational basis; Areta Williams seconded the motion, which was passed unanimously.

 Barry Clough moved to amend the SAISA charter and bylaws to reflect the intent of the above motion; Kathryn Cochrane seconded the motion, which was approved unanimously. Rose Puffer will take responsibility for amending the SAISA Charter and Bylaws. Changes will be voted upon at the February Heads meeting.

3) New schools Interested in Joining SAISA and Present Acceptance Guidelines Adequacy The rules for membership were reviewed. Rose Puffer will provide more information about the Woodstock School, which has asked about membership. The discussion led to the decision that SAISA should remain as is for the 2011-2012 year, so that we can better judge the effects of New Delhi’s withdrawal before a decision about new schools is contemplated.

4) San Francisco Heads Meeting Date Rose Puffer will circulate possible dates once the recruiting fair schedules and the AAIE Schedule have been examined. DRAFT

5) March 2010 AD Meeting Feedback Rose Puffer provided the heads an overview of the AD’s meeting held in Bangkok on March 19th and 20th, 2010. The heads agreed that the same format should be followed this year with Jaunice Ansell facilitating and Sky Riber taking notes. It was determined that it was essential for one representative of the SAISA heads to be present at the AD’s planning meeting. This year’s meeting will be April 9th and 10th at Center Point Silom, in Bangkok, once again hosted by ISOI as per decisions at the February 2010 Heads meeting. Rose Puffer will organize the meeting and represent the Heads.

6) Three Season Proposal  Kathryn Cochrane moved that the SAISA seasons be reduced from four (4) seasons to three (3) seasons; Peter Pelosi seconded the motion, which was passed unanimously. It was noted that these three seasons no longer include math, music, and art.

 Areta Williams moved that the proposed start and end dates for the three seasons be: . Season one end October 2nd weekend . Season two end 1st weekend in December . Season three begin/end Mid-January to Mid-March Rich Boerner seconded the motion, which was approved unanimously.

After lengthy discussion of the season realignment proposal, the SAISA heads felt that it would be best for the ADs to reconsider the proposed options now that the three seasons and the start and end dates had been officially approved. The heads will vote on which option to adopt at the February meeting. Therefore, the alignment or realignment of the SAISA sports schedule should be discussed and presented to the Heads for consideration prior to the February Heads meeting. All proposals should be copied to Rose Puffer so that she can include this item in the February 2011 SAISA Heads meeting agenda.

7) Indian Visa issues Given the new restrictions and forms for Indian visas, the SAISA Heads agreed that this was something beyond their control. It was noted that the three season SAISA format should limit the Indian visa issues for the 2011-2012 year. DRAFT
