CAREER FAIR VOLUNTEER JOB DESCRIPTION

During the morning hours from 7:30 a.m. to 12:00 p.m. help is needed in taking display cases to their proper tables and assisting employers to find those tables (the employers will set up their own display). Handcarts and/or dollies will be used to transport the cases. There will be two check-in desks, one for the employers and one for students when they arrive; these will be central meeting places for all volunteers.

From 10:30 a.m. to 4:00 p.m. we need help at the check-in desk, in facilitating the flow of students, and answering questions. There will be other small duties assigned throughout the day.

From 4:00 pm to 5:00 pm, we need help assisting the employers with dismantling and loading their displays.

Volunteers should possess the following:

 Have the ability to effectively communicate verbally with a variety of people, and assist them with directions or referral to Career Services’ Staff.  Ability to lift items weighing up to 50 pounds. (Assistance is available).  Be able to sit and stand for extended periods of time.  Should be able to write clearly, and read well.  Good customer service skills.

EMPLOYER CHECK-IN

1. Assist employers when they pull into the covered area by helping them unload items, or by holding the door open for them and greeting them. Show them to the employer check in table. 2. Wait while they check in, then assist them with their displays and materials and escort them to their assigned table. 3. Inform them of the following: A. Thank them for coming B. Food (La Sells Stewart Center): continental breakfast ‘til 9, then brunch from 9-2 C. Restrooms: in the hallway near the employer entryway D. Door prizes will be given away every hour on the hour, including at 4 p.m.! E. Remind them to leave the table number sign & display provided by Career Services on the table at the end of the day, and please do not write on or alter them. Ask them to notify the employer services table person if a change is needed in their signage. F. Come to the Employer Services table with any questions

If they need to make copies or gain access to wireless internet, direct them to the Alumni Center’s guest services/reception desk, which is located in the foyer. During the fairs, if employers have questions or other needs, refer them to the Employer Services table where they checked in.

STUDENT CHECK-IN

1. Greet students and ask them to sign in on the student sign in sheets. 2. Have them fill out a name tag and put it on their right side chest 3. Provide them with a booklet and evaluation, explaining how to use the booklet, and where to drop off the completed evaluation, with all the room stamps filled in, when they are done (so they can enter the door prize drawing) 4. Let them know that there are employers in the side rooms as well as the ballroom and hallways

STUDENT CHECK-OUT

1. Remind students as they are preparing to leave to fill out and turn in the evaluation. 2. Once the evaluation is turned in, complete with passport stamps, give them a blank drawing entry form to fill out & put in the box. 3. If they possess the special drawing slips from employers, have them fill it out and deposit as well. (no passport requirement for these) 4. If students have questions about interviews or career services, or want to do a “drop-in” advising session, notify the Career Services staff person at the Student Services table.
