Department of Internal Medicine TRAVEL AWARD TO PRESENT SCHOLARLY ACTIVITY

GUIDELINES AND PROCEDURES

1 Department of Internal Medicine Travel Award to Present Scholarly Activity

Purpose of the Travel Award The Travel Award to Present Scholarly Activity is intended to provide a means for Internal Medicine and Medicine-Pediatrics residents to attend conferences for presentation of scholarly activity. This award is for travel related expenses.

Administration The resident’s program is responsible for approving trips for scholarly activity. The resident is expected to follow all policies and procedures of his/her program in requesting education leave. If a trip is approved, a travel award application (Appendix A) must be submitted to the house officer’s coordinator and the Internal Medicine Education Administrator.

Eligibility Residents are eligible to apply for the Award if an abstract, poster or other research-related endeavor has been accepted for presentation at a meeting. This award is intended for one trip per academic year per resident. A second trip may be approved in rare situations and will require further justification from the resident. The resident should first seek funding support from a mentor or sponsoring division before seeking a travel award for a 2nd trip.

Allowable Activities and Expenses The resident must follow all policies and procedures of UNMC Travel, https://info.unmc.edu/procurement/travel/index.html. The maximum amount awarded is $2000 per academic year. The resident is encouraged to seek any additional funding support from a faculty mentor.

Application Deadlines The trainee should submit an award request (Appendix A) at least 30 days prior to the scheduled trip in order to ensure a Travel Authorization is completed in a timely manner. The resident’s coordinator will complete the travel authorization according to UNMC Travel Policies and Procedures.

Notice of Award The resident must follow all policies and procedures of the training program to request education leave to present at a meeting. If leave is granted for presentation of scholarly activity, the resident must complete the Travel Award application (Appendix A). After review of the application, the award will be granted if the house officer meets eligibility requirements. The Education Administrator will notify both coordinator and trainee if the Award is approved.

Award Administration The program in which the resident is housed will be notified of approved funding and is responsible for following UNMC Travel policies and procedures. Coordinators should contact the Education Administrator for appropriate cost center and route approvals to the Education Administrator. Individual Divisions are expected to keep records of travel (e.g. receipts) according to Travel Guidelines.

A copy of this completed form should go to the house officer’s coordinator for travel arrangements. A copy should also be sent to the Education Administrator for budget management.
