Ninth Annual Research Student Conference

Friday 19 June 2015, Chelmsford Campus

Guidelines for oral presentations

If you require any of the conference materials in an alternative format (eg Braille, large print, audio, electronic) or have any other special requirements, please email [email protected] or telephone 0845 196 4208

1. If you are planning to make an oral presentation you must be at your Confirmation of Candidature (transfer) stage, or will be at this point by the time of the conference, or have presented a poster at a previous research student conference. If you are registered for an MD(Res) / MPhil / MProf, we appreciate that you will not go through this stage, and therefore you are invited to deliver an oral presentation when you are writing up your thesis. When you apply to make an oral presentation, please indicate one of the following:  the stage you have reached  the stage you will have reached by 19 June 2015  that you presented a poster at a previous annual research student conference.

2. You must have submitted an abstract to [email protected] by Monday 16 February 2015 (by 5pm). Confirmation that the abstract has been accepted will be sent by Friday 27 February 2015.

3. Please direct all queries to the research conference email address: [email protected] .

4. Please visit https://eventbrite.co.uk/event/15273183503/ to book your place at the conference, and follow the online instructions. We plan to arrange transport from the Cambridge campus to the Chelmsford campus. Please indicate whether you would require this.

5. In planning your presentation please take careful note that you may be communicating to a non-specialist audience.

6. Each presentation will be scheduled for 25 minutes. This will comprise 15 minutes for the presentation and 10 minutes for questions from the audience. There will be two judges in the room who will also ensure that you deliver your presentation in the allocated time. You will be notified of the room and time of your presentation nearer the event.

7. If you are using an electronic medium for your presentation (for example, PowerPoint) please bring this on the day of the conference on a memory stick (ideally you should have further back- ups, for example we would advise having your presentation on a second memory stick and as hand-outs). We also strongly advise that you additionally email the presentation to [email protected] beforehand, in order that there is a back- up in the event of any problems on the day. Please can you do this by Friday 5 June 2015 at the latest, to allow time for us to back-up your presentation. 8. If you would like us to copy hand-outs for your talk, please email your document to [email protected] by Friday 5 June 2015 at the latest. We will then provide these for you on the day and take these hand-outs to the room where you are giving your presentation.

9.There will be data projectors in each room. If you require any other equipment (for example, flip charts) please email [email protected] by Friday 5 June 2015 at the latest. We advise that you arrive at the room where you will be presenting at least 15 minutes early to set up your equipment. We will have staff available if there are any technical problems.

10. We ask conference participants to book to attend oral presentation sessions preferably before the conference, and also on the day of the event, if they have not already taken the opportunity to do so. Please email [email protected] or check with the conference reception desk on the day, if you wish to know how many people have booked to attend your session.

11. There will be judges in each session at the conference who will rate each presentation and ensure that each presenter keeps to time. Prizes will be awarded for the best presentations at the end of the conference.
