General Parameters: 1. Dates are within 1-8 dates from previous year calendar Examples: Start date: January 5, 2015 New start date: January 8, 2016 Dates meet parameters since they under 8 days
Start date: January 5, 2015 New start date: January 15, 2016 Dates do not meet parameters
Options: Contact healthcare organization to see if this is an issue Requests may need to be entered as new requests
2. Beginning date is first date on unit floor
3. Frozen time – during this designated time education partners cannot submit or change due to clinical
partners reviewing all of the requests
4. Timeline An agreed upon timeline is established prior to each semester and is expected to be followed to ensure there is adequate review time for the clinical partners and their units
5. Temporary Releases (TR)
Temporary release will be used for educational partners when they are not requesting the site for that particular semester
TR are not rolled over if it was TRed for two semesters (ie: fall 2015 and fall 2016)
When entering requests: 1. Review requests for accuracy prior to forwarding for upload a. Do start/end dates match days of week?
b. Is start date the date they start on unit (not semester start date)? (if they will be on the unit for only a portion of the start date, please place that in the comment box so the unit knows what hours students are expected)
c. Rollover requests equal the same or less number of students than previous year
d. Units, etc. match the previous year (unless one no longer needs a unit)
e. Refer to code sheet (case sensitive)
f. Correct rotation type is selected
For example: “Observation 1 student” – means there will be one student per week, each week a different student
g. Unit name means…. i. POCU/OR/PACU – one student in one of these three areas for one day ii. POCU/OR/PACU FT – one student follow the patient through from start to finish (FT = follow through)
h. When adding new requests refer to code sheet for appropriate codes
i. Mayo 7th Medical is a DEU unit only – no capstone during DEU timeframe (capstone allowed after DEU is completed for the semester)
j Review experiences so they match the unit experience codes
k. “Capstone” is used for all senior clinicals (even if the school has a different name)
l. Temporary release – keep previous dates , do not update to current year dates if TRed.
m. Once spreadsheet is updated, complete a quality check i. Save updated spreadsheet ii. Export semester data from Student Link, highlight spreadsheet – save iii. Open updated spreadsheet iv. Open highlighted spreadsheet, copy all, paste into updated spreadsheet v. Sort all by ID# in updated spreadsheet vi. Compare each ID# to ensure information matches and dates, etc. have been changed vii. Make any corrections needed viii. Once quality check is completed, submit updated spreadsheet (with only current data)
Reminder: One can sort by any column in Excel to pull together the information that is needed.
n. If schools have more than one person updating spreadsheets, all spreadsheets should be combined into one submittal for the respective organization
2. When a clinical unit states “accepting 3 students” do not request more – even if in previous year more students were taken
3. Comment Column
a. Date comment prior to writing out comments (example: 9-25-16 will be on unit at 9:45am)
b. Do not use any commas in the comments (this will not allow for upload)
c. If last session a school had 7 students (but the clinical site had approved 8 and a student dropped) and next fall they need a spot for 8 they should change the request and add in the comments “one student was added” vs. making a new request. However, if they always had 4 students and want to add a student, it would then be a new request since 4 was the max approved previously.
During Semester: 1. Update any changes that occurred during semester for future rollovers
2. Provide respective units with a copy of student outcomes for the students on that unit. Staff nurses have said this would be very helpful to see what outcomes the students need to meet since they have different levels of students on a daily basis. In addition, students should be speaking up as to what their abilities currently are.
