 This is the HMIS ART Report the 0640. All CoC projects are listed, and this is turned into HUD. Please make sure your agency has cleaned up all data especially questions 2, 3, 4 and 5. This information is reviewed by HUD and does count in our COC scoring. Question # 6 is specific to entering and exiting client data within 24 hours. HUD is requesting the HMIS is added within 5 days. Making sure the data is complete is the main priority.

 SPM are due this month. If you enter data into make sure the data is cleaned up. Due May 31 st, Melisa will be working on them between the 15 th and 25th of May.

 If you have an ESG or CoC Grant, as of April 2017 you will use the CoC APR for reporting from now on instead of ART as it has been updated since April 2017. If you have a CoC grant, once you have your Sage log in established it would be best to start uploading this report into Sage. APR is due in Sage rather than in Esnaps. Denise Jack requested assistance with the Sage log in. Both agreed to set a date to meet to establish the Sage access for SRN.

 Point in time the numbers are up, the YWCA of Enid didn’t participate the prior years. We are on track, the Veteran’s numbers have decreased.

Sage

The Sage documentation was sent out with the May CoC meeting Agenda. This document is based from a HUD email which explains the purpose of Sage, who needs to be familiarized with the Sage Reporting Repository and the upcoming training. Each CoC grant provider is responsible for unloading their agencies information into Sage. Sage is a user friendly data reporting tool.

ESG Appeals Document

The finial ESG Appeals Document was reviewed, suggested dates were agreed upon and the ESG Appeals Document was approved, pending any recommended corrections sent prior to the ESG Grant applications were written,

Teresa Benson suggested that the ESG Appeals document be formally approved during this meeting in case there were any concerns or questions about the timing and the CoC members input.

Teresa Benson Terri Hill All in favor, none apposed Agency Reports Youth and Family Services Enid- Janna reported 4 in Transitional Living Program, all participants in TLP are employed! The shelter currently has 4 youth in shelter. The shelter recently completed renovations, had new furniture donated, new carpeting and all of the rooms were repainted.

Mission of Hope- Tammy reported that the men’s dorms has remained full. Ladies dorm has 3 beds open , 3 have moved into Transitional housing, 2 recently moved into permanent housing. Jana reported they have a 1 bedroom apartment available, must be chronically homeless and disabled.

Payne County Youth Services- Stephanie reported the youth shelter currently has 3 residents. They have been averaging between 3 and 5 youth daily. PCYS is currently hiring for shelter staff. The Transitional Living Program currently has 5 residents. This has been the highest during one time historically. They also have one resident entering very soon. The fundraiser in April was a huge of success! One of the PCYS participants spoke at the fundraiser, it was a great experience for her. She received amazing supportive feedback from those in attendance for sharing her story.

Northern Oklahoma Youth Services- Jennifer reported that the shelter currently has 8 youth residents. ESG is doing well. The ESG applicants that have prior felonies are having difficulty locating housing. Jennifer Haney completed the Managing Aggressive Behavior Certified Training over the last month. She is now a Certified Trainer, this is a required training for licensing. NOYS is a non-hold facility, this training assists staff to best serve youth with high behavioral difficulties.

HMIS- Melisa reported she has been catching up on training through this month. Working on reports and 2 out of town conferences this month.

Salvation Army of Enid- Nathan reported 8 homeless individuals checked in since Sunday, 5 have already left the Salvation Army. The Officers with Salvation army will be relocated on June 18 th.

CDSA- Marilyn reported they have just renovated a new home, 3 bedroom, it will rent for $600 month. They also have 2 bedroom apartments available for $415 a month. All tenants must have an income, they cannot have prior evictions, or felonies to rent from them. These are affordable programs, they are required to be able to pay 30% of the rent. The weatherization program is starting for Grant and Garfield Counties. Enid also has an emergency repair program for home owners. Earlene reported she has been getting a lot of calls from DV clients. The shelter is full, Transitional housing is full and all of the ESG funding has been spent. Marilyn did ask the CoC members for suggestions or recommendations for families that are getting into re to own housing that does not meet safety standards. Wings of Hope Family Crisis- Ruth reported that 2 ladies moved into permanent housing recently, there are 3 working and another is preparing to move into permanent housing with in the month! Congratulations!

BRRX4vets- Reynelda reported 10 families housed during April. She shared from intake to move in the average has been 94days. Year to date 17 families have been housed in North Central Oklahoma. Great job!

First Christian Church of Ponca City- Teresa reported the Community Garden will be starting very soon. They are making progress with the partnership with Cimmoron Transit to utilize the Church Buses for transportation services within the Ponca City areas. The next project that they hope to be working on soon, will be working with the city and a local business owner to establish a Bike Ministry. Survivors Resource Network- Denise reported she has had 2 graduating from Transition. One client graduated from CAN. She has 13 that have entered services, 3 left the program and returned to their abuser. They will participating in the Herb Festival. The shelter currently has 2 residents.

Peachtree Landing- Terri reported they completed the annual fundraiser. It was a huge success, sold out of tickets before the event. 4 residents in shelter now. Getting ready for the Post Office Food drive.

New Business

Audra asked the CoC members if there is New Business-

Jana from Mission of Hope said that she wants to get the participation letter for the ESG grant ASAP, as it has to be presented to City Counsel. Earlene said she call James Carter for a letter yesterday. Denise requested a Letter of Support for SRN.

This opened questions from the group for questions regarding the ESG grant. A brief discussion was held about the ESG application, the grant total funding and the providers that did attend the ESG Mandatory Workshop.

Melisa passed out the updated meeting dates for the Statewide CoC meetings.
