Pre-Arrival

First email (Initial Contact) sent to prospective Volunteer Coordinator volunteers with information about BCNY’s history, programs, hours of operation, and list of potential volunteer roles. Enter volunteer information gathered from Volunteer Coordinator response to initial contact into the Volunteer Spreadsheet/Database.

Discuss and determine with the volunteer Volunteer Coordinator his/her interests and potential roles within programs (using the recruitment plan that clubhouse staff helped create) and designate volunteer’s responsibilities. Send NYS forms (CRDC and Fingerprint Scan) to Volunteer Coordinator prospective volunteers along with instructions (see Volunteer Handbook). After receipt of the NYS forms, schedule the Volunteer Coordinator volunteers for the Common Volunteer Onboarding at a designated clubhouse. Also, schedule the volunteer’s First Day at their assigned clubhouse’s onboarding.

Send email to CH Director and Operations Volunteer Coordinator Manager at the clubhouse in question confirming the new volunteers’ start date/time, and designating a BCNY Staff (preferably the CH Director and/or Operations Manager) who will be present for the first meeting.

Send an email to the directors of the Volunteer Coordinator departments in which the new volunteers will serve informing them of their volunteers’ details prior to the volunteers’ First Day.

Common/Central Onboarding Day – 1 week before cycle begins

Hold volunteer onboarding/orientation with all Volunteer Coordinator new volunteers. Cover the following topics: - BCNY History, mission, vision, core values, and program buckets - BCNY structure - Expectations when working with members (including behavior management, appropriate interactions with members and families, child abuse/maltreatment identification, FAQs, etc) - Review Volunteer Conduct Agreement - Present packet of information regarding their placement and contact information Discuss BCNY’s Volunteer Conduct Agreement Volunteer Coordinator & guidelines with new volunteers, and have CH Operations Manager them sign it. A Coordinator / BCNY Representative must also sign this document as a witness. Present new volunteers with their Volunteer Coordinator & personalized information packets which have CH Operations Manager their schedules for volunteering, as well as contact information for the BCNY Department Directors under whom they will be serving.

First Day

Meet the new volunteers in person, and give a CH Director and/or brief tour of the clubhouse with introductions Operations Manager to pertinent personnel as well as the staff they will be serving with. Collect the completed CRDC forms, and CH Operations Manager Fingerprint Scan receipts from the new volunteers to be given to the CH Operations Manager for their records Present new volunteers with BCNY’s green CH Operations Manager volunteer t-shirt in their size to be worn at all times when serving at the clubhouse. Meet with volunteer one-on-one and discuss Clubhouse Staff his/her role in the department and the supervisor’s expectations of their role. Lead a brief session to provide accounts of the specific clubhouse’s history, and culture detailing what the org stands for using anecdotes from past experiences.

First Week

Follow up with new volunteers in person Volunteer Coordinator & after their first week of service to ask about CH Operations Manager impressions and feedback regarding:  the experience of the recruitment and onboarding process  their first week at BCNY  their volunteer role

Also, provide the volunteer with a brief questionnaire that they can complete individually [This would be online or in paper form. Should check with Rashida.]

Get feedback from the Program Directors as Volunteer Coordinator & well as from Department Staff to re-confirm CH Department the volunteer’s fit with the volunteer role Director/Department Staff expectations and description.

First Month
