Nomination Form MSA’16 Circular Economy Award (Greenhorn / Elite)

Dear MDBC Members,

In nature, everything is fully utilized; nothing is wasted and each organism plays a role in recycling, or repurposing resources. Humans however, have created a linear approach where resources are taken or made, used and / or disposed of. Humans are the only species on this planet that consume resources without replenishing them, actively generate waste, and create a source of materials that cannot be utilized by other organisms in the environment. Many of the ‘used’ products that we throw away are still valuable and can be recycled or repurposed to help eliminate waste and significantly reduce our use of natural resources. By bringing these products back into the cycle, we can build capital, reduce waste, and in the end, create a ‘circular economy’. Have you, as a company, made any strides towards making the circular economy a reality? Then regardless of whether you’re taking tentative first steps in this direction, or are a major player, we invite you (and challenge you!) to compete in MSA ’16! This year’s participants will be competing for either the Greenhorn Award (Best Circular Economy Related Initiative), or the Elite Award (Best Overall Circular Economy Drive). If your company contributes to the circular economy, fill in the nomination form below and help inspire others to join the effort.

Guidelines, Rules & Regulations

Please note that products, services or projects will hereafter be referred to as “project(s)”.

 Participation in MDBC Sustainability Awards constitutes the entrant's full and unconditional agreement to, and acceptance of these rules and the decisions of Judges which are final and binding.

 Entry must be the original work of entrant and must be owned by the entrant. Modifying, enhancing or altering a third party’s pre – existing work does not quality as an entrant’s original creation. Entries cannot defame, invade or violate the publicity rights or privacy rights of any person, living or deceased, or otherwise infringe upon any person’s personal, moral, or proprietary rights of any kind whatsoever. Any entrant whose entry includes a third party’s name, likeness, trademarks, trade names, logos or any other elements not owned by the entrants must be able to provide a legal release for such use, including MDBC’s use of such entry, in a form satisfactory to MDBC.

 Judges may decide that the company is required to submit further details, or decide that they (the judges) want to visit any (shortlisted) company or project in order to make a well-informed judgment on the company/project on site.

 Judges will shortlist maximum three nominations per category. These shortlisted companies are required to conduct a presentation on their submission to the judges, which will also be open for attendance by other MDBC members and guests. This presentation will take place on the actual day of the MDBC Sustainability Awards and will serve as a sharing of all best practices, in line with the objective of these awards and this event. The company's presentation will also allow the judges to make their final decisions. Besides the presentation, shortlisted companies will be required to participate in a Q&A session and a round-table discussion.

 It is understood that the panel of judges consists of highly regarded and expert individuals who are fully independent. The announcement on the winning submissions will be solely based on the judges’ decision. The MDBC will not assist in providing further explanations on the final results in order to maintain its objectivity. MDBC reserves the right to select less than 3 shortlisted companies if, in MDBC’s and/or the judges’ opinion, an insufficient number of quality entries have been received. Decisions of judges are final and binding on all matters related to this contest.

 Shortlisted companies may also be required to submit a one minute video about their organization/project for the MSA’16.

3 | P a g e  For the MSA Awards evening ceremony (where the winners will be announced), shortlisted companies are committed to purchase a minimum of 2 seats for the event. Additional representatives are more than welcome, e.g. by means of the purchase of a table.

Judges Criteria: The following criteria or guidelines, based on the extended topic of Circular Economy, may be used by the judges to evaluate your MSA submission. Please note that the following criteria are provided to help steer the company towards an aligned submission, covering at least some of the criteria.

 How deeply embedded and overlapping is the Project within the organization’s core business and strategy, and how does it contribute to the organization’s Malaysian operations (and if applicable, to the regional and global operations)?

 Uniqueness, innovativeness and originality of the Project, resulting in measurable evidence for sustainable change.

 Efficiency and effectiveness of the Project and Project Management (planning, control, assurance, improvement).

 Impact of the Project on stakeholders (qualitative/quantitative, short-term/long-term) and to what extent life cycle analysis is conducted.

 How and to what extent is the project being communicated and reported (internally and externally)?

 Since we aim for a global circular economy, all companies must head in this direction. To what extent can other organizations replicate the project?

To submit your nomination, kindly fill in the items below with the above criteria/ guidelines in mind. Please uphold the maximum number of words as indicated. For more elaborate descriptions, additional pages may be attached. Companies may also provide the secretariat with additional information which they wish to make available either by sending us a soft copy (via We Transfer, YouSendIt or Dropbox) or CD ROM. You may also submit links to websites which carry additional information or pictures.

Please note that this is the submission for The Greenhorn Award OR The Elite Award. If you wish to participate in both, you will have to fill out this form separately for each application. The Greenhorn Award will be presented to the participant with the Best Circular Economy Related Initiative and The Elite Award will be presented to the participant with the Best Overall Circular Economy Drive.

MSA Judges have the right to move a participant from one category to another (Greenhorn to Elite, or vice versa) if the judges believe that the other category is more appropriate / applicable. The following questions are the entry requirement for the MSA’16 Circular Economy Awards.

1. Please provide us with a brief description of how your organization used to be (pre circular economy). Do include information on the type and amount of waste created before the project started. If relevant, please provide the necessary quantitative data. (200-300 words):

2. Please provide us with a brief description of how the principle of a circular economy has been initiated or integrated into your organization’s core business and strategy (1500 – 2000 words). Do consider the following: a. Timeline with starting dates b. Initial goals c. Information about progress d. How do you define success? e. Measurable evidence

3. If the initial goal has been achieved, what further steps do you plan to undertake to continue to develop the project? (450-550 words).

5 | P a g e 4. How can a comparable project be implemented by other organizations? Which learning experiences can you share? (+/- 350 words)

Reviewing & Shortlisting

Our panel of judges will review all submissions received by the deadline. Participants that do not comply with the entry requirements and guidelines will be notified in advance (provided there is sufficient time between submission of the nomination form and the deadline), allowing them the chance to rectify any missing components of their submission.

The panel of judges, all experienced in elements related to the subject matter, will make the decision on which submissions will be shortlisted. Shortlisted companies will be notified at least two weeks before the MSA event date. These shortlisted companies are then obligated to participate in the day program of the MSA’16 and provide a presentation on their shortlisted submission. Shortlisted companies are also obligated to send at least two (2) representatives to the evening program of the MSA.

MSA’16

For the MSA’16 day program, shortlisted companies will have to: 1. Conduct a presentation on their company’s submission (10 minutes), 2. Answer direct questions from the panel of judges as well as from the floor (20 minutes) and participate in a roundtable discussion (10 minutes). (Timing is subject to change but shortlisted companies will be notified beforehand).

For the MSA’16 evening program, shortlisted companies will have to: 1. Send at least two (2) representatives to receive the acknowledgement for all shortlisted companies and to receive the award in case the company is the winner.
