Position: Administrative Assistant for First Presbyterian Church Child Development Center

Description: First Presbyterian Church Child Development Center is a full day year-round child development center for children 8 weeks old to five years old. Our school operates from 7:30-5:30 Monday thru Friday. Located in Uptown Charlotte, the Child Development Center has nurtured the growth of children and their families in the heart of Charlotte since 1947. Position Summary: The Administrative Assistant of First Presbyterian Church Child Development Center, reporting to the Program Director, will work closely with the Program Director to collaborate to help facilitate the teachers and the overall programming of the First Presbyterian Church Child Development Center. The Administrative Assistant will be responsible for processing billing, utilizing and updating the school’s Procare database, managing the wait list and working closely with the Program Director to support staff and families.

The Child Development Center should above all bear witness to God’s grace and love through the nurturing of growth in every child and family enrolled in each school. The Administrative Assistant will help ensure the school’s commitment to providing a Christian environment for children to learn and grow.

Responsibilities: Specific responsibilities include, but may not be necessarily limited to, the following:

 Develop and maintain a strong working relationship with Child Development Center teachers, staff, parents, First Presbyterian Church Schools team, and church staff.  Utilize and update the school’s Procare database.  Manage attendance records for staff and children.  Maintain all student and family files.  Create and maintain daily attendance records for all classrooms.  Maintain and manage wait list for the Child Development Center.  Update student files on yearly bases and as needed.  Process registration, enrollment, and withdrawal paperwork.  Communicate directly with staff and parents in a timely fashion.  Assist teachers in classrooms when needed.  Work closely with the Program Director to oversee the implementation of the Employee and Family Handbooks.  Support planning for events by processing checks, maintaining records and working with parent volunteers to coordinate schedules.

[email protected] 704.376.8302 cdc.firstpres-charlotte.org  Manage collection of funds for various staff and school functions.  Drive the bus on field trips when necessary.  Facilitate monthly billing and tuition.  Collaborate with Program Director to facilitate curriculum implementation.  Support Program Director in creating schedules for classroom placements and extracurricular activities.  Implement daily closing for the facility by supporting staff and managing closing tasks.  Collaborate with Program Director to support staff and parents with concerns and celebrations.

Qualifications  Bachelor’s degree required, preferably in business, accounting or economics.  Knowledge of licensing regulations and/ or experience in a child development center.  Strategic thinker with strong analytical and problem solving skills.  Detail-oriented and organized with attention to accuracy.  Advanced proficiency with technology.  Ability to prioritize tasks and communicate progress and delays.  Procare experience preferred, but not required.  High energy; displays warmth and enthusiasm.  Excellent communication and interpersonal skills to work effectively with people from diverse professional and cultural backgrounds.  Transparent, approachable, and flexible. Self-starter and ability to work independently.  2 year minimum experience preferred as an administrative assistant, secretary, or bookkeeper.  Maintain confidentiality and respond in a timely manner to emails and phone calls.  Expert technical knowledge of operating computer systems.  Willingness to serve and perform all school duties as warranted, a true team player.  Maintain regulatory files and documents, including those required by Department of Health and Human Services and the Child and Adult Care Food Program.

Hours This is a full-time position with the hours of 11:00am -6:00pm Monday-Friday.
