PURPOSE OF THE ROLE

The Alumni and Events Coordinator (LAW) is accountable for building and maintaining alumni engagement with the Faculty and wider University involving planning, implementing and reviewing of alumni projects, activities and services to Law alumni. They also manage all marketing events for the Faculty of Law.

WORKING ENVIRONMENT The Faculty of Law in which this position is based is one of seven faculties at UTS and is located at its City campus. Although the position is located in the Faculty of Law it is part of the UTS Marketing and Communication Unit (MCU), which reports to the Deputy Vice-Chancellor (Corporate Services) and is responsible for effectively promoting and enhancing the image of the university through the development and implementation of marketing plans, media and course promotions activities, internal communication and corporate identity strategy. MCU has both internal and external customers and delivers services to support them and to promote the overall strategic development of the university. The University continues to place increasing importance on the need to develop a unique position for itself in the market place. To that extent the unit takes the lead in developing strategies and relationships to build the UTS brand. Furthermore, the unit develops collaborative policies associated with aspects of communication, marketing and corporate identity. It is also charged with managing the implementation of those policies.

REPORTING RELATIONSHIPS This position reports to the Marketing and Communication Manager (LAW) and is one of three positions that constitute the Law Marketing Team. Under a Service Level Agreement (SLA) agreement with MCU, the incumbent is also a member of the University’s corporate marketing team. The Alumni and Events Coordinator (LAW) directly supervises up to 5 casual staff on a yearly basis.

D:\Docs\2018-04-20\0ff5b415d70392c5867ad35b5b79afb2.doc MAJOR ACCOUNTABILITIES The Alumni and Events Coordinator (LAW) is accountable for the assessment, initiation, development and proactive management of alumni projects, activities and services that engender a sense of affiliation, identification and support for the Faculty of Law. The incumbent is also accountable for the management of the Faculty of Law’s marketing events for student recruitment and reputation building.

MAJOR FUNCTIONS OF THIS JOB ALUMNI . Provide strategic advice and facilitate the implementation of strategies to the Law Alumni Network and Law Alumni Foundation;

. Develop, implement and manage an annual action plan for the Law Alumni Network and Law Alumni Foundation of activities, projects and events in order to engage and build relationships with, attract membership to, and fundraise amongst, Law alumni;

. Manage effective and efficient communication channels with Law alumni via (but not restricted to) Law alumni webpages, e-newsletters, and hard copy publications. This involves the planning, writing and selection of text and photographs, liaising with designers and meeting production deadlines;

. Identify new alumni promotional opportunities by ongoing researching, analysing and reporting on market intelligence;

. Maximise internal and external publicity of the achievements of Law alumni;

. Maintain Law alumni and donor records stored with the UTS:Alumni and Development Office to ensure records are accessible for activities, services and events organised by either the Faculty or the Alumni and Development Office and that record management appear seamless to alumni members;

. Develop and maintain effective knowledge sharing with the Law Alumni Network, Law Alumni Foundation and UTS:Alumni staff by establishing an ongoing and open line of communication; and

. Leverage UTS:Alumni activities and events to maximise the benefits to UTS:LAW and Law alumni.

MARKETING: . Develop a project management framework for marketing events with regard to needs and risk assessment, resource tracking, decision impacts and outcomes, ensuring all events are professionally managed and reinforce the UTS brand and UTS:LAW sub-brand; . Organise, implement and review the following annual University-wide events on behalf of the Faculty of Law: UTS Info Day, UTS Advisory Day, UTS Careers Advisors Day, UTS International Student Information Day (biannual), U@UTS Day, Year 10 & 11 Preparing for Uni Session, Parent and Family Information Afternoon, UTSpeaks, careers markets and school visits; . Manage annual Faculty of Law events: Law Awards Ceremony, Year 11 Outreach Program, UTS Law Review launch, Public Space launch, Top Law Student event, Law Orientation Camp, Annual Lawyers and Ethics Eminent Speakers’ Series, Faculty Welcome (biannual) and the Postgraduate Information Evening (2-3 per year). Ad hoc events as appropriate. . Proactively coordinate the publicity of these events (online and in print) both internally and externally; . Developing and managing relationships with current and prospective award donors, striving for maximisation of law subject awards sponsorship; and . Managing administrative processes for development and maintenance of law subject award sponsorship to ensure appropriate recognition at the Faculty’s preeminent annual Law Awards Ceremony.

CHALLENGES AND PROBLEM SOLVING To build and maintain effectual relationships with the Law Alumni Network and Law Alumni Foundation and ensure they work collaboratively. The two bodies complement each other, where the Network is the ‘friend-raising’ frontage

D:\Docs\2018-04-20\0ff5b415d70392c5867ad35b5b79afb2.doc of the Faculty, responsible for developing relations with Law alumni and provide professional networking opportunities, and the Foundation is the ‘fund-raising’ frontage, responsible for distribution of scholarships and awards and development opportunities. To build and maintain effective relationships with the UTS:Alumni and Development Office to ensure the activities and image of the Law alumni function are complimentary to the function of the UTS:Alumni and Development Office. To be flexible in approach to activities and be prepared to operate in an environment that is characterised by ongoing change. To prioritise the varying and often competing demands of the position which require an ability to plan the workflow and develop procedures to manage competing deadlines. This may involve contracting casual suport staff on authorisation of the Marketing and Communication Manager (LAW) to assist with promotional activites. To keep abreast of changes to the polices, procedures and rules of the Faculty and the University in particular as it relates to alumni. To set a high standard of quality service orientation at all times and work effectively in a team environment to promote the Faculty in a professional and consistent manner, particularly during times of peak demand and when dealing with difficult people.

AUTHORITY TO ACT The Alumni and Events Coordinator (LAW) works under general direction of the Marketing and Communication Manager (LAW). The incumbent is expected to act autonomously in prioritising their tasks, requirining an ability to plan workflow and develop appropriate procedures to balance competing demands. The incumbent operates within the Universtiy’s policy and guidelines and Faculty operational directives.

CONTACTS AND CRITICAL RELATIONSHIPS Internally the incumbent liaises closely with the Marketing and Communication Manager (LAW), the Web Coordinator (LAW), and the Dean and Associate Deans, and the Faculty Manager. The incumbent will liase more generally with all Faculty support and academic staff. Participation as a member of the Law Marketing Team and the support staff team of the wider Faculty is a requirement of the position. Within the wider University the incumbent liaises extensively with the Executive Committee of the Law Alumni Network, Board of Trustees of the Law Alumni Foundation, UTS:Alumni and Development Office and MCU. The incumbent will also be expected to liaise with other staff of the University that have similar roles and represent the Faculty in relevant University and Faculty forum. Externally the incumbent liaises with Law alumni, Law graduands and graduates, awards donors, the general public, and casual support staff when requried.

SKILLS AND ATTIRBUTES . Demonstrated project management skills to facilitate activities from project initiation, planning, implementation, review and assessment. . Demonstrated organisation skills, including the ability to balance competing priorities and meet conflicting deadlines.
