Change to IRIS Reporting on Employee and Position Financial Data

Please distribute this alert to any users within your agency who are responsible for reporting via IRIS or the budget/financial reporting views in Oracle.

 Information regarding revisions/additions to the IRIS fields that impact cost distribution and complement control.

Overview

Effective July 1, 2014, the fiscal year fund will no longer be present in the SAP Fund field. A new field, Budget Period, will be present on the complement control and cost distribution infotypes and will denote the fiscal year.

This change will impact the PPI.SAP_AGENCY_INTERFACE_IRIS view on or after July 7, 2014.

Impacts to the PPI.SAP_POS_COST_DIST_IRIS and PPI.SAP_EMP_COST_DIST_IRIS views will occur on or after July 2, 2014.

PPI.SAP_AGENCY_INTERFACE_IRIS (PPI.SAP_AIF_BUDGET_HR for Budget/Financial reporting users)

Changes will be made to the fields listed below. These fields will no longer contain values and will be zero-filled.

APPROP: Values replaced with “000” FUND_FY: Values replaced with “00” LDGR: Values replaced with “00”

The following fields from the position complement control infotype (IT9104) will be added to the agency interface view:

FUND_COMP: 10-digit fund found on the position complement control infotype; combines values from the former APPROP, FUND_FY, and LDGR fields FUND_NAME_COMP: Fund description found on the complement control BUDGET_PD: New 4-digit field in SAP that replaces the fiscal year in the fund Example: 2014, 2015, 0000.

PPI.SAP_POS_COST_DIST_IRIS

The following field from the position cost distribution infotype (IT1018) will be added to this view:

BUDGET_PD: New 4-digit field in SAP that replaces the fiscal year in the fund Example: 2014, 2015, 0000.

PPI.SAP_EMP_COST_DIST_IRIS

The following field from the employee cost distribution infotype (IT0027) will be added to this view:

BUDGET_PD: New 4-digit field in SAP that replaces the fiscal year in the fund Example: 2014, 2015, 0000.

Refreshing Linked Views

Existing queries or reports using the old fields will be impacted and report users will need to modify the design of the queries/reports to use the new fields. Any links to the affected views within existing MS Access databases will first need to be updated in order to make the new fields available.

The following steps should be followed for Microsoft Access 2007-2010 users:

Select ‘Linked Table Manager’ under the ‘External Data’ tab:

The ‘Linked Table Manager’ pop-up window will appear. Check the tables that need updated in order for the new fields to appear. Select ‘OK’.

A pop-up box will appear confirming that the linked tables were updated:

Close the ‘Linked Table Manager’ pop-up by selecting ‘OK’.

Under ‘Tables’ in the left navigation, right-click the linked view/table that was just updated select ‘Design’. Verify that the new fields are now available and present in the list of fields.
