The QOH Keeps Changing and Currently It Is Not Possible to Easily Check Which S/Os We Can Fill

REQUIREMENTS:

We need a means of identifying the AVAILABILITY of a line item per sales order, and then issue stock to that sales order (=issue the stock BEFORE the S/O hits the shipping department and gets picked, enabling the user to ensure item availability.

The QOH keeps changing and currently it is not possible to easily check which S/Os we can fill.

At the same time the shipping department needs a way to scan the individual items as a means of double checking the Qty picked/shipped. This item scanning into the shipping container has worked very well for us and really limited shortages and overages in shipments.

The solution would be to allow the user to issue inventory to a S/O, and then have the user in shipping scan the items as a final check. This means scanning the items will not commit the inventory, but just fills a column called “Scanned Qty” in the “Issue Stock to Shipping” screen. The column “At Shipping” should be renamed “Stock Issued” and should be next to the “Scanned Qty” column. There should be one more button: “Scanned Qty is Issued Qty” This last button will change the column quantities in “Stock Issued” to reflect the “Scanned Qty” column.

If the user forgets to click “Scanned Qty is Issued Qty”, and there is a difference between the scanned Qty and the Issued Qty columns, the system should inform the user of this when clicking “Ship Order”.

The user can still use the “Issue Stock to Shipping” screen to issue the stock if he chooses to. But he can also issue stock beforehand in this screen, or in the new display that I will lay out below.

OUR NEW STOCK AVAILABILITY PER CUSTOMER DISPLAY:

The display needs to allow the user to select a CUSTOMER TYPE, or a CUSTOMER #. This display would then show each open S/O with the open line items on them.

The buttons on the RH top: “Close” – “Return Line Item Stock” - “Issue Line Item Stock” - “Send to Packing List Batch”.

The GREEN color indicates that stock is available for this S/O line item. The nice thing about this screen is that it gives excellent overview on stock availability for open S/Os.

The situation changes as soon as you click on a line item and click the button “Issue Line Item Stock”. If you do this in the above mentioned example for the first line item 2111-2563 the following would happen:

Note that the item that just had stock issued changes to BLACK. QOH drops by 2, the order balance remains open for now, Stock issued goes to 2, and total availability stays at -8

The same item number 2111-2563 in S/O 50156 will change color to black because of lack of QOH.

If you then do the same for the third line item (2112-7896) in S/O 50123: Open Order (=At Shipping?) If you have selected any of the line items on S/O 50123 you can click “Send to Packing List Batch”. The display would change to:

BLUE is to indicate that the S/O is sitting in the Packing List Batch.

Note: if the user does not click on “Send to Packing List Batch” but instead just clicks “Close”, the Stock Issued remains issued to the S/O line item.

The user can always select to “Return Line Item Stock”. If done for both 2111-2563 and 2112-7896 on S/O 50123 his would then show as: Open Order (=At Shipping?) Note that the order has no stock assigned, but is still sitting in the Packing List Batch, which makes it show as BLUE. And on S/O 50156 line item 2111-2563 now shows GREEN again, meaning there is stock available to ship on it.

Changing color of S/Os that are sitting in the Packing list batch seems superfluous, but it will help give an overview of which S/Os are to be shipped today from this new display screen. Deleting the S/O from the Packing List batch (in the Packing List Batch screen) would make S/O 50123 show up as in the first table. (with items 2111-2563 and 2112-7896 showing in GREEN)
