JOB DESCRIPTION

Recruitment and Training

 Identifying the Faculty’s personnel capacity needs, arranging for advertisements of vacant positions and processing the applicants’ papers.  Planning and setting up appointment committees and servicing them. Advising on technical issues particularly those touching on establishment.

 Inducing newly appointed staff working under me.  Supervising, overseeing, evaluating and appraising staff working under me (clerks, secretaries, drivers, messengers) on day to day job performance.  Assessing training needs and co-ordinating training of staff on Grades (I) – (IV) and (A-F) in the Faculty.  Handling matters related to promotion of staff in Grades (I) – (IV) and (A- F) in the Faculty.  Liasing with the Central Administration on matters related to promotion of Academic Staff from Lecturer to Professor Level.

Registry  Ensuring good maintenance of and accessibility to records and statistics on Faculty Personnel and Establishment in Personnel and General Registry.

Staff Discipline

 Ensuring that the staff under me adhere to the code of conduct as laid down in their terms of appointment.  Scheduling and servicing disciplinary committees of staff on grades (I- IV) and (A-F).  Liaising with the College and the Central Administration on issues touching on senior staff Disciplinary Committees.  Liaising with the Central Administration on appeals by staff on grades (I-IV) and (A-F).

Union Matters

 Handling all union matters other than Collective Bargaining, Industrial Court cases/disputes being handled by Ministry of Labour.  Interpretation and implementation of Collective Agreements.  Handling and advising on complaints on personnel matters raised by unionizable staff.  Liaising with the Central Administration on union matters as need be.

Academic Matters

 Ensuring that there are enough copies of both undergraduate and postgraduate studies prospectus for the Faculty.  Liaising with the Central Administration and College Management in processing registration of new and continuing students.  Liaising with the Director, Board of Postgraduate Studies in processing applications for admission into postgraduate studies programmes.  Co-ordinating and allocating teaching office space in the Faculty.  Co-ordinating and servicing Faculty Academic and Management Boards.  Co-ordinating with the Dean and servicing Faculty standing committees (time-table, examination, etc.)  Liaising with the Chairman, Examinations Committee and the Dean to compile teaching and examination time-table.  Liaising with the Dean in preparing course and exam registration.  Compiling and maintaining Faculty undergraduate and postgraduate statistics.  Maintaining records of students progress and supervision.  Advising staff and students about changes in the academic programmes and related academic issues.  Preparing examination rooms and working with the Faculty Examination Officer to process examination results to the extent stipulated in the University Calender.  Arranging notification of exam results after the Faculty Academic Board’s approval.  Assist the College Registrar in co-ordinating activities that lead to preparation for graduation. Fixed Assets

 Liaising with the Faculty Maintenance Officer to ensure that the fixed assets of the Faculty are kept in good functioning conditions (minor repairs, decoration and painting).  Identifying and reporting faults/damage to the Faculty Maintenance Officer, supervising and verifying faults/damages correction/repair.

Telephone Services

 Dealing with all matters relating to telephone services in the Faculty i.e. ensure that telephone bills are paid for promptly.

Printing Services

 Supervising use of printing facilities and ensuring good maintenance of the facilities in the Faculty.  Ensuring that requests for procurement of spares, toners are handled expeditiously.

Equipment

 Monitoring and regulating use of equipment on professional, legal and economic basis.  Maintaining an inventory of and being custodian to all equipment and assets in the Faculty.

Transport

 Making an inventory of vehicles  Seeking services of an experienced mechanic Faculty vehicles in proper working condition.  Assigning drivers vehicles and supervising their handling of the vehicles.  Receiving and processing transport requests for travels within Nairobi Province.  Assist the Dean in processing transport requests for travels outside Nairobi Province by seeking an authority from Deputy Vice-Chancellor’s (A&F) office.  Maintaining a record of the vehicles movements (work tickets) and monitoring their expenses and performance.

Cleanliness

 Supervising Caretaker Department and ensuring that cleanliness in building is maintained.  Supervising Caretaker Department and ensuring that the grounds, flower gardens and lawns are maintained.

Security

 Liaising with Campus Security Officer in mobilizing security personnel assigned duties in the Faculty to maintain security of faculty properties.  Liaising with the Chief Security Officer on all matters concerning security.

Public Relations and Information

 Portraying the good image of the Faculty and the University by guiding new students and their parents/or visitors.  Liaising with the Central Administration on all policy matters and advise the Dean accordingly.  Liaising with the Central Administration on issues concerning participation in University functions (graduation, public lectures, students activities, and national ceremonies.  Liaising with the Central Administration on developing estimates and plans for University Development and Planning Committee.

Finances

 Liaising with the College Bursar to collate Faculty Estimates and Budgeting.  Liaising with the Finance Officer/College Bursar in maintaining Faculty Accounts.

Contracts

 Liaising with the Central Administration on Contract and Grant agreements.

Land  Liasing with the Central Administration on all matters concerning land development and implementation of environmental conservation projects.  Ensure the right and interest of Council on land including authority on trees, alternation to buildings, utilization of space, change of physical appearance e.g. damping or excavation etc is preserved.

Stationery

 Placing requests for consumables in the Faculty at the appropriate re- order levels.
