DAYFORCE HCM SOP Title BRANCH HR REP: Terminating an Employee Section 2 operations

SOP Purpose: Instruction for the person responsible for HR administration at the Branch to terminate employment.

Applicability: Policy: Employment with YMCA Buffalo Niagara is employment-at-will, which means that either the YMCA or the employee can terminate the employment relationship at any time for any reason or for no reason. Termination may be voluntary or involuntary.

The appropriate documentation must be included in the employee's file. The termination form is completed by the HR representative at the branch on the last day worked or on the first business day following the last day worked.

Procedures: 1. Manager is responsible to notify the HR representative (Director of Administration, Business Manager or Office Manager) of a termination of employment.  All terminations require supporting documentation. Managers are responsible to submit all approved documentation to the HR representative. (Per progressive discipline policy) 2. HR Representative ensures that the appropriate documentation has been received. 3. In Dayforce, using the Branch HR role, go to MY HR. 4. Click on filter and enter the name of the terminating employee. 5. Check work assignments - both current and history - to determine if the employee works or may be starting work in the future in another location. If so, contact the other branch manager to determine if you are terminating employment or transferring the employee. Continue if you are terminating. 6. Click on Forms, select Termination/Leave, click on Terminate an Employee. 7. Enter all fields except last pay date. 8. Click on Add File(s) to upload supporting documents. For seasonal employees, include the following documents:  Performance Camp Staff Assessment Form  Employment Opportunities Form 9. Comments are required when:  If an employee is not eligible for rehire, enter a brief comment in the comment section and check the box to include the comment in the employee's file.  Seasonal employment - enter "End of Seasonal Employment - refer to work & training schedule form in personnel file". 10. Click submit.

Terminations require approval by Association HR. The submitter will receive notification of acceptance or rejection. If the termination is rejected, the supporting documents may be insufficient or information may be missing. Verify all steps and resubmit. If necessary, call HR for guidance.
