9/19/16 BWVC Committee Meeting Minutes: Commenced 7:35 pm

In Attendance: Walt Borders, Denis O'Regan, Toby Ridings, Randy Hoopes, Debbi Sheiker, Pat Toman, and Dave Claney.

Aug Minutes will be addressed in Oct meeting.

Manager Report- Beverley Fleming: Rentals-Inquiries: 4 web-12 voicemail-5 other All inquiries except one are confirmed or pending. All Sundays in Nov are booked.

We also have a new repeat renter, a small group drum circle, starting in Nov. Rental once a month on Tuesdays in Rm 3.

Sundays continue to be a popular rental choice. Considering changing Sundays from off peak to peak rates.

The Gild Hall has a conflict with the Young Actors Workshop and a wedding planned in Jan 2018. Interested in using Buzz for the workshop on Saturday 9-3 pm-swap space? Vote by Committee-Approved

Mailperson, Jenny Montgomery's retirement party planned for saturday, Nov 5 from 5-9. App submitted. Committee took a Vote--Approved the usage of Buzz for Jenny's party as a community event. Toby notified Bev.

Financial Report-Walt Borders: Handouts: Past 13 month Buzz Ware Room Use Report Profit & Loss for Buzz Operating Budget/Prev. Year Comparison Profit & Loss for Renovation/Prev. Year Comparison Summary of BWVC Program Events Mention of phone expense in Buzz-landline versus wireless.

Building Report-Walt Borders: Buzz exterior work is now done! Need to keep a document file-warranties of contractors, agreements etc in safebox in office. Dave C. mentioned there is condensation on outside A/C unit on the new stucco. Maintenance-Randy Hoopes: None Toby mentioned the stage leak-Ken M. thinks he knows where its coming from and will take care of it and give estimate.

Programming Report-Toby Ridings: Friday Night Programming: Art on the Town-- None this month. Coffee House------No Coffee House.

On Going Monthly Programming for Summer: Mobility Class -- Cecilia Vore, organizer, Tuesdays and Thursdays 2-3 pm Art studio -- Jeanne Orr, organizer. Monday nights 6:30- 9:00. Will switch to 7-9 for summer. Jeanne will print promo flyers & post on bulletin boards to renew interest. Yoga -- Barb McAnany , Saturday at 8:30 AM. Group motion -- Megan King, organizer. 1x/mo Sept-Dec, on 2nd OR 4th Sunday from 3-5:00 pm. Plan to combine these motion workshops with Arden residents/groups: Art-Johanna Rucker confirmed, Drumming-Allan Kleban confirmed, possibly poetry gild and Bill Clarke-Fields. They would be donation only. Megan will be leading the group with the Phil. group possibly observing. OCT 9-Group Motion with the Arden Drum Circle.

Megan needs to attend the BWVC meetings to discuss Group Motion plans/schedule. It is preferable for Group Motion be held on the same Sunday of the month. The Sound system is available for all community events.

New Events: None PPP: Earned $6,900 for 2016 PPP is largest fund raiser for the Buzz. It is important for all committee members to be involved with this event. Will also look into getting curtain rods for the Buzz-would help when decorating for PPP and can use whenever.

Communications & Publicity-Walt Borders: Web report emailed.

Old Business: None

New Business: Committee Vote-Denis O'Regan as co-chair of BWVC committee-Approved. Beverley Fleming as Bldg Mgr-Village of Arden employee. Civic committee contacted Walt regarding trees outside of Rm 3/4 at Buzz interfering with the solar panels. Committee Vote- cutting down the 2 maples only, not the 2 red leaf (name?)- Approved cutting down 2 maples. A certified letter went out to resident who caused a disturbance at a Buzz rental. With future rentals-a renter can call 911 for a disturbance. It was mentioned that there was smoking by some renters/their guests within the Buzz. No smoking Signs need to be posted in Buzz as well as stated in rental contract.

Discussion on solar panels and a new needed solar meter. A new smart meter is ~$500/install, ~$500/parts and sign a 5 yr contract. Committee Vote-Getting new smart meter- Approved.

Discussed-re-new 2 yr Liquor License for Buzz. Cost $200. License for sale or have liquor on premises. Coffee House no longer sells-BYOB now.

Dave Claney brought up that he would like to be added to the Action Hardware Acct. so he is able to get supplies when needed for maintenance.
