Laureate Fellowships for 2015 – Notifying the ARC of PDRAs and PGRs

As a requirement of the Conditions of Award of the Laureate Fellowships for 2015, ANU need to advise the ARC in writing (email notification), within three months of awarding, the name and commencement date of each Postdoctoral Research Associate (PDRA) and each Postgraduate Researcher (PGR) funded under this Project.

The Conditions of Award request that:  An email notification must be sent to ARC as soon as practicable:  In the Conditions of Award for each of the above Projects, researchers were informed that they must notify the ARC of the commencement date of each postdoctoral research associate (PDRA) and/or postgraduate researcher (PGR) funded on the Project;  This email notification must be addressed to Ms Liz Visher, Director, Program Evaluation and Reporting, Australian Research Council. The email must contain the names of each PDRA and PGR, and their commencement dates. It should be noted that although one PGR in each project is scheduled to start in Year 2 of the Project (rather than Year 1), that reference to this deferred start also needs to be acknowledged in the notification email;  Although the Conditions of Award request the email notification be submitted “as soon as practicable”, this email needs to be received before 30 September, 2015. The reason for this is that should a deferred start be required for any of the PDRAs or PGRs, then the paperwork for a ‘Variation of Funding Agreement: Request for Deferred Start’ needs to be completed, and received and approved by the ARC before 31 December 2015 (please see notes below).  COLLEGE RESEARCH OFFICE ACTION: Please arrange for the email Notification, together with a letter from the Fellow of the names and dates of the commencing PDRAs and PGRs.

 Request for Deferred start of Project and/or PDRA/PGR – Please note that the email notification and a ‘ Variation of Funding Agreement: Request for Deferred Start ’ are considered by the ARC to be two different elements of the acceptance procedure: The Australian Laureate Fellowships project may be deferred to a date later that the commencement date of the project/fellowship as outlined in clause B5 of the Funding Agreement (FA) between ANU and the ARC, with written approval from the ARC, as per clause B6 of the FA. The deferral must be applied for in writing by submitting a ‘Variation of Funding Agreement: Request to Defer Commencement of Project’. As noted above, the VFA needs to be received and approved by the ARC before 31 December 2015.  Please note: Administering Organisations only need to submit a VFA if the deferral is a variation to the FA between the Admin Org and the ARC is being varied – so if the PGR is supposed to commence in January of second funding year of the project according to the FA, a VFA need not be submitted unless the PGR will be commencing later than January of that year;  COLLEGE RESEARCH OFFICE ACTION: Please arrange for a VFA if appropriate. The VFA must contain: 1. a letter from the Fellow 2. an email or letter of support from the appropriate Delegated Authority of the College.  Important: A VFA must be completed for each PDRA or PGR who requires a deferred start.  Please also note: The ARC’s VFA as it stands does not allow for great detail in respect to deferrals for researchers on Laureate Fellowships. In the case of PDRAs and PGRs, please change the appropriate section of the proforma to indicate that the deferral request is for either a PDRA or a PGR, and then type in both their name and their deferral date. The end date of the Project will remain the same as that of the Fellowship, as a deferred start date for a researcher funded by the grant (not the Fellow) will not extend the end date of the Project. The term of the PDRA or PGR must end with the Fellowship completion date.

Please also note that the names of the PDGRs and PGRs should also be uploaded onto ARIES in the INVESTIGATORS tab, as their salaries are funded by the grant. Please also note their commencement dates in the PROGRESS STEPS and NOTES tab.
