Notice to Vacate Acknowledgement – Notice to Enter for Pre Move Out Inspection

Dear ______,

This letter is to confirm receipt of your notice to vacate dated _____ and effective______. We are sorry to hear that you are moving. If there is anything we can do to keep you as a resident of ______Apartments please let us know. We will be entering you apartment for a pre-move out inspection on ______between the hours of 9am and 4pm. We are looking to assess the condition of your carpet, counters, blinds, vinyl and major appliances. Please ensure they are fully visible and uncovered for our viewing. On your last day of residency we will also be conducting a final move out inspection. This should be done by all Lease Signing Residents and the Resident Manager. This will determine the final move out costs on your apartment. It is very important that you obtain a copy of your move in inspection prior to this date as we will be comparing the condition of move in vs. the condition at move out. All items that are determined to be in excess of normal wear and tear will be charged to you. Please note that the following are NOT considered normal wear and tear:

1. Dirt

2. Garbage / Debris

3. Stains in the bathtub and all sinks

4. Toilet stains

5. Any damages

6. Excess holes from hanging large objects on the wall

7. Holes / scratches in doors

8. Bent blinds / other blind damage

This does not cover the entire list of items that would not be considered normal wear and tear. This is merely a sample of the most frequently missed items. All items not returned to their original condition less normal wear and tear will be held against your security deposit first and then due by you if any balances remain. Please also note that the management team will be viewing the apartment to take note of any large furniture items. Any of those items left at the dumpster areas when moving will result in a disposal fee.

The management team would be happy to view your apartment upon request and provide an estimated move out cost prior to move out. We can provide item numbers of replacement items so you can purchase them directly from the vendor (they must be the exact items). If you would prefer, we offer the ability to pay for the damages prior to move out. This will eliminate much of the hassle on move out day. Please contact the Resident Manager for more details on this program.
