Update Iteration
Step Action
1. Click on the Programs button and select Iterations.
Note: The program name is Sales Manager Forum Events. You do not need to create a new program, just a new section for this program. In Intelliworks, sections are referred to as Iterations. Values in Red indicate fields that need to be updated for each new iteration.
2. To create a new iteration, search for your most recent event. Click on the Action button to the right of one of the rows and select Clone.
3. Change the iteration name. The Iteration Name. Your events run Fall, Winter, Spring. The iteration name will be YYYY Fall, or YYYY Winter or YYYY Spring.
4. Change the Start and End day and time. Remember to use the 24-hour clock.
5. Change the Registration Cut Off Date if applicable. You will need to include a time, also.
6. Enter the name and dates of the program exactly as you’d like it to appear on the application in the Iteration Name for Form field. (Typically you enter the program title here, but it’s completely up to you).
7. Double-check that the Application Submission email is called SMF Confirmation.
8. Enter the day and time information in the Email Confirmation Text field. You are not limited to date and time information, however. The text that you enter here will display in the email confirmation template a registrant receives, right after the text: We look forward to seeing you on. The Email Confirmation Text should end with a period.
9. Click on Save at either the top or bottom of the page. The URL is automatically generated when you click on Save. This is the URL you will use to update your website and invitation email template.
Create Email Reminder Campaign
Step Action
1. Create the target for your registrant list by locating the similar target for your most recent event. Targets can be found under the Marketing tab. Target name should be: SMF [Season] [Year] Yes.
Click on the Action button to the right of the target name to clone the target. Change the target name, and edit the iteration name in the criteria builder to reflect the current iteration.
Click on Marketing and select Campaigns. Click on the New Campaign button and enter the campaign name. Campaign name should be SMF Reminder1 [Season] [YYYY]. Click Save.
Select Target tab and add the target you just created.
Select View & Edit Message tab. Select the email template: SMF Reminder.
I created an email template that sort-of serves as a generic reminder. You should import the email template SMF Reminder into a campaign for your first reminder, then update the speaker name, date, and parking validation code if needed. The directions link is already in the email template. as is the name of the program (inserted from the "Iteration Name for Form field). Then you can clone that first campaign for all follow-up reminders for that specific program. When it's time to create the first reminder campaign for your next program, you just start the process over.
