Office Manager

POSITION SUMMARY:

Anglicare Australia seeks to promote a just and caring society. The Anglicare Australia national office supports and coordinates the joint social policy, research, advocacy and network development activities of the diverse Anglicare Australia network.

The Office Manager is the hub of this small but busy office and provides general administrative support, office management, systems management, financial administration and communications relating to the national office.

DUTIES:

 Provide general administrative support to the national office team including reception duties, opening and processing of mail and preparation of mail-outs, ordering of supplies, ensuring equipment is maintained, maintaining files and managing the information flow, and general correspondence.

 Maintain the national contact directories, data bases and electronic mailing lists.

 Assist the Executive Director to provide secretariat support to the Anglicare Australia Council and other groups.

 Be responsible for the logistics of meetings, teleconferences and events; including collation and distribution of papers and reports, travel and accommodation arrangements for Council members and guests, and venue and catering as necessary.

 Provide coordination, record keeping and communications support for national office projects, in particular the national Conference and AGM, the CEO forum, the Anglicare Australia Awards, Telstra’s Bill Assistance Program, and in-house reports and publications. This may include some desk top publishing and liaison with designers, suppliers, printers and couriers as relevant.

 Provide executive support to the Executive Director including the preparation of correspondence and reports, as well as travel arrangement and diary management.

 Provide other administrative and communication support as required.

 Preparation of accounts for payments and reconciliation of petty cash, including liaising with external bookkeepers, maintaining financial records, annual audit preparation, reconciling conference payments, archiving and secure destruction. SELECTION CRITERIA:

ESSENTIAL

 High proficiency in the Microsoft Office suite.

 High level organisational skills and demonstrated experience in office management procedures and administration.

 Ability to provide a high level of customer service and assistance where required or to escalate using discretion and initiative.

 Good oral and written communication skills and demonstrated ability to communicate confidently with a range of people.

 Ability to handle competing demands, coordinate events and respond to deadlines.

 Ability to work as part of a small team, with minimal supervision.

 Problem solving skills and “can do” attitude.

 Experience in document management at an Executive/Board level.

 Strong work ethic, personal integrity, and ability to maintain confidentiality.

 An appreciation of and willingness to work with the values of Anglicare Australia.

SALARY AND CONDITIONS

 The position is available from January 2018 and is currently based in Ainslie, ACT.

 A salary of $50,000 - $62,000 is offered dependent upon the skills and experience of the successful applicant.

 Anglicare Australia is a public benevolent institution and employees are eligible to significant taxation benefits on top of the salary.

 Superannuation of 9.5% is paid in addition to salary.

The salary will be negotiated with the successful candidate. The range is $50,000 - $62,000. In addition Anglicare Australia has PBI status and salary packaging is offered in line with the ATO’s rules. The following is copied from the ATO’s website on 30 October 2017.

FBT exemption - subject to capping

Subject to certain conditions, some organisations are exempt from FBT. These organisations include:

 Registered public benevolent institutions (other than hospitals) endorsed by the ATO  Registered health promotion charities endorsed by the ATO  Public and non-profit hospitals  Public ambulance services

Benefits provided by these organisations may be exempt where the total grossed-up value of certain benefits (which are benefits not otherwise exempt) provided to each employee during the FBT year is equal to, or less than, the capping threshold. If the total grossed-up value of fringe benefits provided to an employee is more than that capping threshold, your organisation will need to pay FBT on the excess.
