ES001.01 Employee Self Service/ Manager Self Service Frequently Asked Questions

OneUSG Connect Self Service

1. How long before the system times-out and automatically logs off the user? The system times out after 20 minutes of inactivity within self service and automatically logs off the user. If the user is a practitioner accessing the core system, the system times out after 60 minutes of inactivity. 2. How, specifically, does the system create less paperwork? Are there specific examples that we can cite? Many situations are institution specific. One common situation is when an employee has to record leave taken during a pay period after the final timecard approval has taken place. Currently, employees download the 20YY Monthly Leave Report form, report the exceptions for the submitted time card in ADP’s eTIME, have their supervisor sign the form, and submit to their HR office for submission to Shared Services Center. With OneUSG Connect, employees can record leave taken within the application, even if the pay period has ended. Other institutions require leave requests to be submitted via a paper form. Absence Management in OneUSG Connect enables all leave requests to be submitted electronically and approved electronically. 3. How effective/correct is the Work Schedule component? Will it reflect an accurate work schedule for all employees, including those who are off- cycle and different than the typical 8-5:30 work day (campus police, plant operations, etc.)? All employees are assigned a default schedule during cutover (or when hired). Once the schedule is in place, managers have the responsibility and ability to manage their team’s schedules. There is a selection of predefined schedules to select from within the system that reflect both exempt and non-exempt employees. If an additional schedule is needed for an individual, institutions may contact Shared Services Center to create a new personal schedule. 4. Do they have recommended language to explain what a VPN is? VPN stands for Virtual Private Network. VPN is a technology that creates a secure and encrypted connection between an Internet user and the websites he or she visits. 5. How far back can employees access their previous pay statements once OneUSG is implemented? What’s the default for the Previous Pay function? Once OneUSG Connect is implemented, employees will only be able to access previous pay statements that were actually produced within OneUSG Connect. Page 1 ©2017 University System of Georgia.
