2006 Master List Procedure

MASTER LIST PROCEDURE

No later than 9:00 p.m. the evening that counties arrive for their County Rotation at the NYS Fair, individual counties must submit to the Youth Building 4-H Office, TWO copies of a complete and accurate COUNTY MASTER LIST representing the list of county exhibits to be evaluated. Individual counties should make a 3rd copy of this list for the County Booth.

MASTER LISTS ARE MANDATORY IF EXHIBITS WITHIN THE COUNTY BOOTH ARE TO BE EVALUATED. Please make sure that a 3rd copy of the Master List is accessible within the county display.

Please use the following format in preparing Master Lists for New York State Fair: a) At top of page: ______

County Name of person at Time Period the fair that may be contacted concerning the list. b) List each Section in alphabetical order with each section on a separate sheet of paper.

Sect. B - Special /Unique Exhibits Sect. C – Communications & Expressive Arts Sect. D - Consumer & Family Science Sect. E - Visual Arts Sect. F - Horticulture Sect. G - Environmental Education Sect. H - Plant Pathology Sect. I - Entomology Sect. J – Science, Technology & Engineering c) Within each Section, please list exhibits by classes in numerical order:

Class No. Exhibitor's Name Brief Description of Exhibit (pantsuit, carrots, lamp, etc.) d) If there are no exhibits in a particular Section, list the Section and state: “No Exhibits”

Social Security Numbers are required of all youth expected to receive premium for their exhibits. If an exhibitor has exhibited before, you do not need to submit SS #, as their number is already on file. BUT, if an exhibitor is a NEW exhibitor, we need their SS#. Extension Educators, please create a list of all new exhibitors with Name, County and SS# clearly noted. Please submit this list in sealed envelop marked with Extension Educator Name and County, to 4-H Office at NYS Fair upon your arrival at State Fair. We will get this information to Mary Ellen Daino in the Exhibit Entry Office. If you have questions or concerns about this process, please ask.
