1 VALUE STATEMENT AND ADMINISTRATIVE RULE

Value Statement

Austin Community College believes that part of its mission is to provide counseling and advising services that support the College’s mission and enable students to meet their educational and career goals.

Administrative Rule

Faculty will be available to advise students who declare a major and who either complete the Texas Success Initiative (TSI) requirements or who are referred by an advisor or counselor.

1. The first faculty advising session will occur before the second semester of enrollment. Faculty advising sessions may include group advising.

2. The final advising session will occur when the student has completed 75% of credit hours of his or her transfer plan, ACC credit certificate, or ACC degree.

3. Undeclared majors and General Studies majors will be advised by counselors and advisors.

ROLES AND RESPONSIBILITIES

Faculty Roles and Responsibilities

Full-time faculty members will advise students who have completed the Texas Success Initiative (TSI) and who have declared a major in the faculty member’s academic discipline. Academic advising by faculty members includes:

 Providing students with information in the academic discipline about career possibilities that are available to graduates with degrees in the major  Assisting students in preparing an educational plan that is consistent with their career and life goals  Assisting students with the selection and sequencing of courses at ACC and, for students who plan to transfer to a four-year college or university, with the selection of courses that will facilitate the students’ transfer  Assisting students in understanding and navigating the program and institutional requirements at ACC  Referring students to ACC resources that will help students achieve success in academics and in their chosen career.

2 Counselors’ Roles and Responsibilities

Counselors will advise students who meet any of the following criteria:

 An academic status of warning, probation, suspension  Not completed the Texas Success Initiative (TSI)  Not declared an academic major  Have declared General Studies as their major.

Academic Advisor and Counselor Roles and Responsibilities

Advisors and Counselors will assist students in:

 Defining and planning career and life goals  Developing an educational plan consistent with their career and life goals  Selecting courses and instructors  Understanding ACC’s program and institutional requirements  Referring students to college resources that will assist in their academic success.

Student Roles and Responsibilities

Students will prepare for their meetings with an academic advisor by knowing their interests, skills, values, and goals. Students are ultimately responsible for ensuring that their academic choices are consistent with their academic, career, and life goals

3 SUGGESTIONS FOR ADVISING STUDENTS

For the first session with Faculty Advisor 1. Determine student’s specific major. 2. Determine student’s academic standing. If student is not in good standing or early alert status, refer to counselor; if student is not TSI complete, refer to counselor or advisor. 3. If student is uncertain of his or her major, discuss career options in your field and/or refer them to Student Services for Career Counseling (various tests, computerized or paper and pencil are available to test students aptitude, interests and values; counselor will review results with student and help them research options) 4. Determine if student wants to complete a certificate or an associate degree at ACC or plans to transfer. 5. If student plans to complete ACC certificate/degree, retrieve students academic record on Student Advising Information (see Web Advising to access student records) and document what classes student has remaining to complete the degree (Degree Audit) 6. If student plans to transfer to a four-year institution, determine to which institution the student plans to transfer. Assist the student in accessing transfer guides for specific major via the Articulation and Transfer Resources Web site for Faculty and Staff: http://www.austincc.edu/transfer/facstaff.htm 7. Document recommended courses and give a copy to the student. 8. In advising students who have transfer credit, be aware that although courses may not transfer as exact equivalents to ACC courses, they may sometimes be substituted; for example, a four semester hour College Algebra won’t transfer as an exact equivalent to ACC’s MATH 1314; however it will likely satisfy the math requirement. On the other hand, courses that have fewer hours will not satisfy requirements. For example St. Edwards University’s three hour Spanish I and II, will not satisfy ACC’s Spanish I & II which are five hour courses, nor will they serve as pre-requisites to the higher level foreign language courses. 9. Obtain waivers or substitutions from Department Chairs and/ or Deans, if needed. 10.Refer students when appropriate to other services. Complete campus Routing Slip as needed.

For session with 75% completion of degree: 1. Follow the same suggestions as for the student’s first session with Faculty Advisor that are appropriate. 2. Determine when the student plans to graduate or transfer. 3. Complete online or manual degree audit to determine what courses the student needs to complete his or her degree and/or if additional courses or requirements are needed before the student transfers. 4. Document recommended courses and give a copy to the student. Use degree worksheet until website is available. 5. Refer students when appropriate to other services. Complete campus Routing Slip.

4 USING WEBADVISOR TO ACCESS STUDENT RECORDS

Steps to Logging in on Student Advising Information page (to view students academic record online) 1. From the ACC home page, click on “Faculty and Staff Login” in lower portion of right frame under “Online Services”. 2. Enter user ID and password. 3. Click on “Faculty Online Services”. 4. Click on “Student Advising”. 5. Enter Student ID or Social Security Number.

VERIFYING INFORMATION ON STUDENT ADVISING INFORMATION PAGE OF WEBADVISOR

1. Academic Standing (Determine if good standing with no holds) 2. Grade Point Average (Refer to counseling if below 2.0 GPA) 3. TSI Status (Refer if not TSI Complete) 4. Degree Worksheets 5. Degree audit link* (Due to programming limitations, some requirements may show as not being complete. Be sure to check "Other Courses" at the end of the evaluation for possible substitutions or equivalent courses). 6. Active Academic Programs listed 7. Holds name and description listed 6. Click on “Colleges Attended” to view transfer courses. 7. “Advising Sessions” indicates date and advisor name for students previously entered into Datatel advising screen. 8. “Courses” lists only those courses taken at ACC.

DEGREE AUDIT INSTRUCTIONS *

From Faculty Online Services page, click “Student Degree Audit”

1. To select a program on student’s record, click the appropriate box under Active Programs.

2. Click on “ Submit”.

3. When the evaluation is displayed on screen, use the scroll bar to move through the audit.

4. Evaluation prints easily by using the print icon.

5 5. To select a new program, click on the drop down box What if I change?

6. Scroll down the list until the desired program appears.

7. Click on the program and then “Submit”.

8. Click on the catalog year the student wishes to use.

9. Use the scroll bar to navigate through the audit.

Remember:

If a TSI note at the beginning of the audit appears, refer the student to a counselor or advisor.

The GPA displayed includes only ACC course work. Grades for courses transferred into ACC are included on the degree audit.

Students must complete at least 25% of the required courses in residence.

If the audit shows a requirement missing, look under “other courses” for possible substitutions or equivalents.

Substitutions on degree plans require department chair and/or dean approval.

Students may use any catalog for years in which they were enrolled. Graduation rules require that the catalog be no older than 5 years.

Some departments may not use the grade of D to satisfy program requirements. Check with the Department Chair or Dean for verification.

DOCUMENTING THE ADVISING SESSION

Keep a record of Student Advising Session by completing online advising documentation (In the process of development). Until that is available, complete the paper version of Student Advising Form. Keep a copy for yourself. Give a copy to the student and send a copy to your department chair. You may also print out a degree worksheet checklist with course recommendations.
