The Unicorn Record Merge

THE UNICORN RECORD MERGE 10/28/00/jjb

As you may know, many cataloging agencies who have separate records in our NOTIS system will have their records merged in our Unicorn system. The agencies that will continue to have separate records are:

LTBH (IUB Halls of Residence Libraries) LTBT (IUB Archives of Traditional Music) LTBW IUB (Law Library) LTBY (Lilly Library) LTKI (Kinsey Library--currently a separate database in NOTIS)

LTIM (IUPUI Medical Library) and LTID (Dentistry Library) will share a record when both libraries have a title. For the conversion, the IUPUI Medical Library will be the record retained when both that library and the IUPUI Dentistry Library have a title. The Dentistry Library record will be kept only when the Medical Library does not have a matching record in our current database.

All other cataloging agencies will share a single bib record for a given title, including:

 LTBB (IUB Main and most campus libraries)  LTBM (IUB Music Library )  LTFW (Fort Wayne Campus Libraries)  LTIL (Indianapolis Campus Law Library)  LTKO (Kokomo Campus Libraries)  LTNW (Gary Campus Libraries)  LTRI (Richmond Campus Libraries)  LTSB (South Bend Campus Libraries)  LTSE (New Albany Campus Libraries)

The following NOTIS Processing Units will not be extracted: BG, IP, CO, and all X's (XA, XB, etc.)

The two Horizon Libraries, IUPUI University Library and IUPUI Columbus, will also merge records with this large group of libraries. The records for these two libraries are already merged in Horizon.

1 As our current database is converted and these records are merged:  A record from the IUB Music Library will be retained in all cases, and all other libraries in this group will have their holdings attached to this record  If there is no Music Library record, the LTBB record will be retained, and all other libraries in this group will have their holdings attached to this record  If there is neither a Music Library nor a LTBB record, then the record retained will be the latest updated record from a group consisting of LTFW, LTIL, LTKO, LTNW, LTRI, LTSB, and LTSE. IUPUI's Horizon record will have its holdings attached to this record.  If none of these Libraries have a record, then the record retained will be IUPUI's Horizon record.

In all cases the merging of records will be based on a matching OCLC record number. Records for the same item that lack an OCLC record number will not be merged.

Music Format Only: For data conversion, all cataloging agencies who had separate records in NOTIS or HORIZON will have separate records in Unicorn. Prospectively, i.e. after the Unicorn production database comes up in late December or early January, music format cataloging will follow the record sharing outlined above. (E.g., IUB's Music Library's records on the music format will not merge during data conversion. However, after the Unicorn production database is available, the Music Library will share music format records with LTBB, LTKO, LTRI, etc.)
