Title: MEDICAL RECORDS TECHNICIAN

Salary: $12.00/HOUR

Status: REGULAR FULL-TIME – NON-EXEMPT

Probationary Period: SIXTY (60) CALENDAR DAYS FROM INITIAL APPOINTMENT

MAJOR DUTIES:  Interviews new encounter patients, updates revisit encounters, obtains necessary social information on charts; Prepares PCC encounter forms and places in the patients charts; Assigns unit number to new charts and types index cards; Verifies social security numbers and dates of births when possible.  Verifies Medicaid/Medicare, private insurance, signatures are witnessed on Release of Information forms.  Obtains tribal or descendency documentation for services;  Pull charts, generates health summaries and places in charts before being seen by medical doctor.  Pulls charts in advance for all clinics, puts in special file until needed.  Pulls charts for quality assurance and nursing audits.  Acts as Information Receptionist.  Makes doctor’s appointments and answers telephone when receptionist is absent.  Files laboratory reports, consultation reports, x-ray reports, and other pertinent data in charts daily.  Charts are maintained in a specified format. Charts are reviewed daily. Annotates deaths and other changes.  Collects charts from clinic area and files appropriate data.  In absence of supervisor, collects reviews for accuracy and routes PCC forms to the computer operator for data entry. Incomplete forms are returned to the provider for completion.  Types patient histories.  Prints registration forms for charts, checks for proper patient release of information forms.  When necessary, gets forms signed and mailed to providers.  Types and sets up appointments for clinical staff.  Prepares charts for archives, hold patient flow meetings upon request.  Faxes medical information when necessary and routes accordingly.  Performs other duties as assigned by the supervisor/Clinical Director/CEO.

Minimum Qualifications:  Knowledge of Medical Terminology.  Knowledge of ICD-9 Coding Procedures and terms..  Knowledge of recordkeeping and data processing procedures.  General knowledge of medical records practices and procedures in order to check all errors and omissions from medical records.  Skills of a qualified typist and familiarity with complex medical terminology is required for transcription duties and performance of other medically related duties.

Desired Qualifications:  A.A. Degree in Secretarial Science/Computer or Business or 3 years in the Medical Records field  CPR and First Aide card must be obtained within 3 months of employment.

Other Selection Criteria:  Qualified Chippewa Cree members who are honorably discharged veterans will be given preference. DD214 Required.  Chippewa Cree Tribal Preference  Will be subject to pre- employment and random drug testing  If terminated from any positions within the Tribe for violations of the Drug Ordinance I-99, must comply with the requirement.  Only those applications properly completed and received on or before the closing date will be considered for the position advertised.  Applicants who meet the required qualifications described above will be further evaluated to determine the extent they possess or have the potential to acquire knowledge, skills, and abilities (KSA’s) required to perform the duties and responsibilities described above. Knowledge, Skills and Abilities (KSA’S): 1. Ability to communicate orally or in writing. 2. Knowledge of Medical Terminology 3. Knowledge of recordkeeping and data processing procedures. 4. Knowledge of ICD-9 Coding Procedures and terms. 5. Knowledge of confidentiality of medical information and the Privacy Act/HIPAA.
