Pace Band Boosters General Meeting Minutes Tuesday, October 3, 2017
Nineteen members were present. Signatures are recorded on the attached sign in sheet. President Lynn Garrett was helping with props for the Show, so the meeting was called to order by 1st VP Denise Hudson at 6:06 pm. Minutes from the previous Executive meeting on 9/5/17 were available at the meeting. 1. Director’s Report – Mr. Tony Denaro – not present, no report given. 2. An order for “Show” Shirts for parents needs a minimum order of 75 shirts. So far there have only been 25 shirt orders requested, so the order is on hold.
Denise reported on the Middle School dance scheduled for Friday Oct. 6, from 7-10 pm, for both Sims and Avalon schools at PHS in Freedom Hall. Nine adult chaperones have signed up to help, however we still need 6 parents to volunteer to have enough eyes available at the dance. Students who need volunteer hours will also be helping with the dance. Bathroom monitors are also needed. WPHS will provide music for $100. An officer will provide security and will charge $30/hr. Boosters will provide limited concessions including bottled drinks, candy, chips and nachos. Flyers announcing the dance will be sent to both schools. Admission will be $10 and will be paid at the door.
Additionally, on Friday Oct. 6, the Para Homecoming will be on Pace High campus and Boosters will be serving concessions for this event from 5-8 pm. Any leftover cooked food will be transferred to Freedom Hall to sell at the Middle school dance which runs from 7-10 pm.
The Community Fall Festival during Homecoming week is scheduled for Thurs. Oct. 19. Boosters will be serving drinks, hot dogs and funnel cakes.
The Sponsorship Portfolio has been approved and are ready to be distributed. Sponsors will receive a decal annually, plus other benefits listed below for each sponsorship level. A proposal for Sponsorship levels and benefits are as follows:
o $100 donation – sponsor receives shout-out at football game, decal, sponsor listed in all concert programs (spring, Christmas, WGI), invitation to band preview (free admission)
o $250 donation – sponsor receives all benefits listed above, plus sponsor listed on Band Boosters website, listed on Band Banner (carried at parades and other events)
o $500 donation – sponsor receives all benefits above, plus sponsor gets link to their business included on the Band Boosters website o $1000 donation – sponsor receives all benefits above, plus yard sign at performance, and other benefits still being discussed.
Another fundraiser includes the Belk’s Charity Sales. So far we have no sales, but we can sell books until the date of sale on Nov. 4. Oct. 22 we can set up outside of Belk’s in the mall to sell book for 4 hours. If students attend on day of sale, they will receive proceeds of ticket sales to go into their account. Various members committed to taking books to try to sell at their places of employment.
A Sneaker Fundraiser, “Got Sneakers”, is scheduled Nov. 27 – Dec. 13 to collect used shoes to go to Third World countries. Each good/useable pair of shoes will generate $1, un-useable shoes will generate $0.10 per pair.
An additional fundraiser is the sale of Patriot hats with various background colors. Hats will cost $25, Visors - $20 and the cost of the Beanie will cost $15. Hats will be pre-ordered, and will be ordered from a local company that requires no minimum order.
On-going fundraisers include: Flip-Give, Amazon Smile and Ink Recycling.
The Citrus sale is upcoming and will be supervised by Mr. Denaro with proceeds going to student accounts. 4. 2nd VP – Marcus Quinones.
The Parent Show Preview is scheduled for Monday Oct. 30 at 6 pm. To have this event advertised community-wide, we must contact the Chamber of Commerce the Wednesday before the event. Admission to the event will be a donation. To allow parents to fully attend and appreciate the preview, we will not sell concessions, but instead have Sonny’s BBQ attend for sales.
JV games are finished. Thank you to all the volunteers who helped out. 5. Treasurer’s report – Kelly Bowen
Current balance in the Band Boosters account is $25,854.65 in Checking, and $2676.23 in Savings.
Concessions is going well and remains the big fundraiser. Other recent fundraisers included:
o $700 from Porche Ride
o Sponsorship of $250 from Helping Hand Ministry
Expenses include: Equipment/repair for props for show; Staff expenses of $3125/month. Travel may be offset by what school board will pick up. Board district will pay for charters to Jacksonville and possibly Tampa trips.
A motion to accept the budget as presented was made by Mary Stankard and seconded by Kim Browning. Budget approved unanimously. 6. Secretary’s report – Brenda Wood
Minutes from the previous General Meeting on 9/5/17 were available at the meeting. A motion was made by Greg Carroll to approve the Minutes, and was seconded by Jan Morris. Minutes were passed by membership. A second Boosters shirt/polo order was placed with Paradise Printing with a minimum order of 36 shirts. Several extra shirts and polos were ordered in various sizes for those parents who missed the order deadline. However, these shirts will not have the sleeves personalized. The shirt order was delayed on Paradise’s side because of Hurricane Irma.
The Secretary continues to check Sign-Up to make sure all volunteers have a Volunteer form on file. 7. Member-At-Large – Mary Stankard/Jan Morris

Email for chaperones for the Jacksonville trip will be sent out soon.
Help with props are needed for the next three events, including the game against Tate, Navarre Exhibition, and Jacksonville MPA.
Rehearse-a-thon needs more chaperones. We will be serving sweet/savory items during the event, feeding the students pizza, donuts, and popcorn as snacks throughout the night.

Seventy cases of water were donated by Winn Dixie. 9. Freshman Member-At-Large – Brandon Baker
Judges who participated in the All-State Auditions held at Pace High on Sept. 23 were fed meals through donations from Ryan’s, Zaxby’s, Bagelheads, Chick-Fil-A and Publix. 10. Member-At-Large - Kim Browning – Photography/Memory Book
The Memory book has a job # for publication. We are fine-tuning a price point with Jostens.
Pictures taken at football games have been uploaded to Shutterfly and the Pace Band Boosters Facebook page. Pictures on Shutterfly can be accessed through the Pace Band Boosters website. Old Business:

Next General Membership meeting will be on Tuesday November 7 at 6:00 pm. A motion was made to adjourn the meeting first by Mary Stankard and seconded by Jan Morris. All members voted in favor to adjourn. Meeting adjourned at 6:40 pm.
