ASA Travel Team Registrars,

Hello to returning ASA Travel Registrars and Welcome to our new travel Registrars! For those that are new registrars I am the ASA Travel Administrator and I’ll be passing on information from Virginia Youth Soccer Association (VYSA), our state organization, on how to create your team rosters for 2015-2016.

The first thing I like to share with Team Registrars is all the resource information available to them. The club has compiled this information on the club website HERE just scroll down to the Team Registrar section. You will want to bookmark this link as you will be visiting it often for reference materials.

Here is the To Do List for Team registrars . . .

1st: Complete KidSafe Background Check

All team registrars and team managers must complete VYSA’s KidSafe (background check) in order to be listed on your team’s roster (remind your team manager).

2nd: Register your Team with Virginia Youth Soccer Association (VYSA). (Registrars to do this, not team managers)

All Arlington travel teams come under the governing body of VYSA (our state youth soccer association).

Each year teams must register themselves in the VYSA database. The VYSA database is where rosters, player passes and game reports are created by each team.

Once your team is registered in the VYSA database you will receive a USER ID and PASSWORD. You can then log into the VYSA database and begin the rostering process for your team.

Attached are directions on how to complete the VYSA club application. These directions will answer most all your questions. Please CAREFULLY enter your team name as instructed as changing a team name once entered is extremely difficult. PLEASE DO NOT TRY and REGISTER YOUR TEAM without reading the directions. Please also check the attached team/league list to confirm which league your team will play in during 2015-2016. There have been several changes to which league some teams will play in – this list is the most current. If you have questions please ask me.

3rd: Collect information to Roster your Players, Coaches, Team Official and Team Aides

Begin by sending the Guide for Parents: Rostering of Travel Soccer Players 2015-2016 to all of your team families. This document explains all the paperwork needed to roster a travel player this year.

To assist you the club has put together the below checklists to keep all the rostering and beginning of the year soccer paperwork organized. You can work with your team manager to determine who is collecting what paperwork.

So go ahead and . . .

. . Start collecting digital head shots of players on your team. Players’ photos are good for two years so travel players whose NEW photo was not uploaded last year will not need to submit a new photo this year.

. . Start collecting scanned proof of birth documents for any NEW travel player.

. . Start collecting information that is needed for each player in order to add them to the roster. I’ve attached a screen shot showing what information was needed this past year to add a player to your roster. Please note Section IV: International Clearance Information is very, very important. Our travel teams come under VYSA, US Youth Soccer, US Soccer and FIFA. US Soccer and FIFA have paperwork requirements for those players born or have lived outside the US.

For further information about US Soccer’s required International paperwork you can read the information on the VYSA Website on their International Section page.

New as of March 2015 - FIFA/US Soccer has changed the age and some of the paperwork for players born outside the US. Players 10 and older (no longer 12 and older) must complete paperwork and have it approved before they may be rostered. Paperwork and approvals for players born outside the US take time. Please start on these as soon as possible so there is no panic later.

Note: If a travel player, in a previous year, has submitted international paperwork and it was approved the player/team does not need to resubmit documentation.

With so many families in and out of town all summer it is never too early to start collecting rostering information from your families.

So, when do I have to have my team’s roster complete to turn in for VYSA approval? The VYSA League Registrar is finalizing the summer rostering deadlines. Once the deadlines are completed I will pass then on to you.

In the past the deadlines to submit rosters to VYSA for approval have been  Teams playing tournaments in early August will need to submit roster material by the end of July.  Teams playing tournaments towards the end of August will need to submit by early August. Coming up Once VYSA announces their database roster training session I will pass this information on to you. There is step by step rostering instructions posted on our club website but they have not been updated as VYSA has not announced what changes they have made to their database for 2015-2016.

As always – ask questions! Just remember to ask me first and do not contact our VYSA league registrar or the VYSA office. I can answers most questions. If not I then go to the VYSA league registrar assigned to our club for guidance. If they need assistance they contact the VYSA staff. How to Register your Team in the 2015-2016 VYSA Database:

To register your team go to the 2015-2016 TRAVEL DATABASE LINK: https://www.youthleaguesusa.com/vysa/2015/cgi-bin/travelwelcome.cgi

Select Club Name from the pull down menu: Select “ARLINGTON SOCCER ASSOCIATON” as the club Hit the “ONLINE TRAVEL TEAM REGISTRATION FORM” button

I. GENERAL INFORMATION:

Enter Team Name: NAME OF TEAM & COLOR i.e. Samba Blue or Eagles Black. Do NOT enter age or birth year or club.

Enter the League your team plays in: CCL, NCSL, ODSL or WAGS. Teams playing Region 1 or other leagues should enter their primary (fall) league (CCL, NCSL, ODSL or WAGS). DO NOT GUESS AS ONCE YOU SUBMIT YOUR APPLICATION THIS CANNOT BE CHANGED and you will have to re-register and re-do your roster if answered incorrectly.

Enter Age & Gender of Team

Enter District Affiliation: Enter either GIRLS North (if a girl’s team) or BOYS North (if a boy’s team)

Enter your earliest August/Pre-Season Tournament Date. VERY IMPORTANT this is accurate. If unsure please consult your coach and explain you need to provide VYSA with this information when you register your team. DO NOT GUESS AS ONCE YOU SUBMIT YOUR APPLICATION THIS CANNOT BE CHANGED. VYSA approves rosters based on tournament dates so you need to be accurate with this answer.

II. PRIMARY TEAM CONTACT INFORMATION:

Enter the team registrar as the primary team contact! DO NOT enter the team manager or coach as the primary contact or you, the team registrar, will not receive any correspondence from the club and VYSA about your roster and roster status.

All Team Officials and/or Primary Team Contacts must have registered in the online 2015-2016 VYSA Risk Management System at www.vysa.com in order to be recognized or selected. If name is not listed please complete KIDSAFE: https://www.youthleaguesusa.com/vysa/2015/RiskManagement.html

III. TEAM OFFICIAL INFORMATION: COACH, ASSISTANT COACH(ES) AND/OR TEAM MANAGERS INFORMATION Only one (1) coach and only (1) team manager is permitted on the VYSA team registration form. You have the option of entering zero, one, or two assistant coaches. If the team manager is the primary team contact (is also the team registrar), you do not need to re-enter their name All Team Managers and Coaches must have registered in the online 2015-2016 VYSA Risk Management System at www.vysa.com in order to be recognized or selected. If name is not listed please ask the team manager or coach to complete KIDSAFE: https://www.youthleaguesusa.com/vysa/2015/RiskManagement.html

Reminders:

 You may enter additional coaches, team managers, Team Officials/Team Aides once you have registered your team and have begun rostering the team. So don’t worry.

 U9-U11 Age groups: you have two head coaches but VYSA only allows One Head coach. List one head coach as the head coach and the other head coach as an “Additional Contact” on the form.
