The meeting was called to order at 5:40 pm. President Lynn Flowers thanked everyone for coming and participating and then asked for introductions to go around the room.

The motion was made to dispense with the reading of the minutes and to accept the minutes as presented. The motion was seconded and carried. The minutes were approved.

TREASURER’S REPORT: Nancy Black Add $1,350 to the balance on the Project Graduation report for donations that have come in but have not yet been deposited.

Front Desk

Angie Shannon: We have had some openings on the front desk volunteer list due to illnesses, death’s in families etc. Does anyone know of somebody who might be able to take a desk shift on, at the very least, a part time basis?

Susie Sigler suggested calling some 8th grade parents. This might fill space as well as give some of next years volunteers a head start.

Project Graduation:

Lynn Flowers – 1,100 letters have been sent out so far. Ouida Mundy typed labels, the school board staff helped fold and students helped seal so it has been a group effort so far.

Graduation is scheduled for Friday, May 27, 2011. It should begin around 7:30 or 8:00 pm. Project Graduation should start registration around 11:00 pm. (Times are tentative and will be confirmed at a later date.)

Project Graduation has food, games and prizes. The various committees are:

The Food Committee probably needs a non-senior parent to be the chair. There are approximately 146 PTHS seniors. Each is allowed to invite 1 guest so there will be approximately 300 kids participating at project graduation. The Food Committee is in charge of the food for the evening but will also help get contributions of coupons to go in the goody bags.

The Bowling Alley is already booked. Best Buy will be bringing a giant game system. The DJ is already booked.

Angie Shannon is trying to confirm the inflatables. Many many parents are needed to help with Project Graduation. Although several committees have chairmen, still other, important ones, do not.

Lynn Flowers: She has called several different restaurants already. She is asking for donations or for deals on food for the function. She suggests volunteers just pick up the phone and ask establishments and businesses that they have a relationship with, what the business can or will do for the event. For instance, McDonalds will donate a coupon for each student that can be included in their goody bag.

Stephanie Carter has the list of donors from last year. She is calling each of those businesses and individuals to do a personal follow up to the letters that Lynn Flowers sent out.

In the Project Graduation packet that was handed out at the January Project Graduation meeting, there is a list of people who are willing to help with Project Graduation.

Tracy Guthrie will design an e-mail that can be used to ask PTSO members to volunteer to help.

**Lynn Flowers said to touch parents and grandparents who no longer have students at PTHS. For instance, she wants to be on the volunteer list for next year.

Angie Shannon: The easiest way to organize the casino room is to request help from the dads. They enjoy the gambling games. The Giant Gerbil Balls and Sumo Suits are usually rented from Murray State University. Corn Dog has and obstacle course and some games.

Lynn Flowers: Iris Horice will get arm bands from Western Baptist. This will allow for a bit more control of who is coming in.

Wilma Grubbs will donate 10 cases of water.

The Bank Committee has, in the past, kept track of the “money” each kid collected. The bank committee was in charge of keeping the goody bags secure and adding each kids prizes to their bags. This year the Games Committee will work to develop a way to make participation the way to earn more prizes. This will do away with the play money and the majority of the functions of the Bank Committee. The Games Committee will be in charge of the new participation rules and the Security Committee can be in charge of the staffing of the room with the goody bags. ***There will need to be new game rules published BEFORE the evening of graduation so each student is aware of the changes.

TEAM Requests

1. Melissa Dietrich, Reading – Requests $119.85 for 15 copies of The Skin I’m In by Sharon Flake. The motion was moved and seconded and approved. 2. Ms. Slankard, English – Requested $316.00 for books. However, she is not a member of the PTSO. The request was tabled for the moment.
