3. Monday Meeting’s Report

Stephen: As acting proxy for Liz, I’ll outline the basic timetable we have for Monday Meetings this year.

Stephen: Since Liz will still be away in the first week back, she intends for me and Bec to run a screening of a debate from Australs. A BBQ will then follow in the second week, with Fiona Patten in Week 3 and the Socialist Alternative in Week 5. Left-Right Think Tank have agreed to a debate, but they don’t want to work out the details under next semester. She’s still waiting for responses from the Liberals, Labor and the Greens. A BBQ is scheduled for the last week of the semester.

Kiran: Isn’t it worth having something on the first week? Even if its just a BBQ.

Bec: Stephen and I will run a BBQ in first week, even if Liz can’t.

Gemma: Liz has gone to a lot of effort to make this semester filled with actual events, so we should all make an effort to turn up and schedule our timetables around it.

Beavis: Sam will have to do the posters for Fiona Patten, etc.

Ash: There will also not be any finals at Monday Meetings; they’ll all be at night.

b. Member Communication

Bec: We should get the minutes out faster, to avoid issues with miscommunication. I know that I and a number of other members of this executive ran on a platform of greater communication with the membership, and that’s something we haven’t been living up to as of late.

5. Co-opting Assistant Treasurer

Stephen: Should we do it?

Luke: Yes.

Stephen: I’ll send out an advertisement in the next Tastebud.

6. MAD 50th Anniversary

Bec: Since its about a year away, I just wanted to bring it up to start planning now. I’d like to make a sub-committee to start planning the event.

Luke: Kiran and I have talked about it, and we’ll start drawing up plans for how we want the event to run.

Gemma: I would also like to be involved in it. This could be a way for new people to get involved.

Luke: We’ll sit down and see what we want people to do.

Kiran: We can also meet with old Alumni to work out how they did it in the past.

Gemma: We should appoint people separately to their positions on the executive, since the people on the executive this year wont be the same people actually running the event next year.

Luke: Kiran, Bec and I will have a sit down to work out a general structure for the organising sub-committee.

7. Alumni Trivia Night

We’ve settled on a tentative date on about August 12. Rhys has a venue booked, which is the top floor of the Imperial. There’s no minimum spend for the venue, but we have to put in a small deposit.

Kiran: The general idea of the event is that we’ll charge people a certain amount on entry and put it straight on the tab. People can buy food if they want.

Bec: Would we want to make money off the tickets?

Kiran: No. The idea would just be that people get to feel like they get something out of the ticket cost with free drinks.

Gemma: A more general question; are we going to appoint a president of the Alumni association? Should we allow them to elect their own president? It might help them get more involved.

Kiran: Yes, we’ll talk with Rhys and work out the best strategy.

8. First Aid & Alcohols

Selling Alcohol

Blacky: In terms of alcohol, we’re on very shaking ground. If we supply alcohol as a club, then we have to comply to the same liquor licensing laws as if we sell alcohol.

Blacky: The options that we have are twofold; either we let the people who buy the alcohol with club money provide the alcohol as their own, or we provide the alcohol as a club and bear the burden of ensuring that people don’t get drunk as per RSA restrictions.

Luke: What is the process or cost of getting a liquor licence?

Gemma: I remember for MAD Mini it wasn’t that much.

First Aid

Blacky: The more we hold ourselves out to provide assistance, the more liability that we will have if things go bad.

Gemma: All I’m asking for is for someone to be nominated in a pseudo-responsible capacity prior to each event. We don’t have to write it down or officiate it to any extent, its just exactly what happens under the status quo but with some more authority behind it, and the potential for the same people, such as myself and Lynton, not having to shoulder the responsibility at every event.

Luke: Let’s nominate some people to be sober at each event for any purpose, and those will be the people who have to drive, etc.

______monash association of debaters ph & fax: +61 3 9905 1509 ● e: [email protected] ● web: www.monashdebaters.com post: PO Box 10, Monash University, Vic 3800 Australia ● abn: 43 793 942 244 Stephen: It isn’t that we’re specifically extending these members’ responsibilities to take care of everybody that gets drunk; we’re just nominating a group of people on the executive to not get drunk at particular events to ensure their smooth running. If there’s a spill on the floor, the these people will be the ones who have to clean it up. More on point, however, if there’s someone in need of an ambulance, then these people will be the ones who have to call it.

Lynton: Your club should also consider investing in some First Aid Courses for its executive.

Stephen: The overall issue is that if we provide alcohol ourselves, then we have to ensure that nobody gets too drunk. Each event, however, has different requirements; when we’re in a bar, like the next few events, there are no issues with nominating individuals, since it’s the club’s responsibility to make sure we don’t die. But we should decide whether or not we’re going to have a booze-up like post-Easters where everybody can just help themselves, and where we have no requirements to regulate behaviour, or whether we have a different situation where we serve alcohol ourselves and make sure that nobody gets too drunk.

Stephen: In either case, we should nominate people on the executive to take care of people at each event. But we can nominate those people at the relevant planning stages.

It was generally decided that the exact system of serving alcohol prior to each event.

9. Australs Equity

Luke: Neither of the equity officers will be there.

Gemma: We think it should be Luke and I.

It was agreed that Luke and Gemma would act as equity officers for Australs 2011, in the absence of the delegated equity officers.

10. Next Meeting

Gemma: We should have a wrap-up from the semester, and we should also have an updated treasury meeting, if we’ve had, for instance, more sponsorship than we budgeted for.

Bec: We had a calendar meeting before first semester which was very brief; let’s do that again.
