Deputy Manager – Sponsorship Communications and Data Quality
TEAM/PROGRAMME : Sponsorship Operations Team/ Shishuder LOCATION : Dhaka Jonno
GRADE : C POST TYPE : Regular
Child Safeguarding: Level 2: either the role holder will have access to personal data about children and/or young people as part of their work; or they will be working in a ‘regulated’ position (accountant, barrister, solicitor, legal executive); therefore a police check will be required (at ‘standard’ level in the UK or as applicable).
ROLE PURPOSE : The Deputy Manager - Sponsorship Communications and Data Quality will closely work with Senior Manager- Sponsorship Operations to meet all sponsorship-related objectives related to quality, authentic, accurate and timely sponsorship communications materials and data in SCiBD. This position gathers/to be updated Sponsorship program information for developing creative and quality communication materials to share within and outside of CO.
Also this person is responsible and accountable for developing, quality and authentic sponsorship retention and marketing communication materials as per SC US HQ guidelines with the focus on retaining sponsors and providing them with a meaningful and robust sponsorship experience, always keeping the viewpoint of the sponsor in mind when reviewing outbound country office sponsorship materials.
Specific responsibilities include: Develop child and country office communication materials in a way to promote sponsor-child engagement Identify and communicate program and child success stories for Sponsorship Retention and Marketing Collect child and program data, photos for communication materials and marketing assets Coordinate/Provide training of field staff in sponsorship marketing asset management Ensure quality of child data which are collected and stored in Sponsorship Database (ASISt) and will provide technical support to the team. Communicate with HO/GSO.
SCOPE OF ROLE:
Reports to : Sr. Manager – Sponsorship Operations
Dimensions: Dhaka based with at least 10 % field visit. (Undertake field visits to collect data and information for developing creative and quality marketing assets and to provide particular assistance to Sponsorship IA staff when needed). Staff reporting to this post : None
Budget Responsibilities: No budget ownership, but he/she will be required to work with Sr. Manager_Sponsorship Operations on Education & Retention portion of budget to ensure resources needed to sufficiently fund quality data and communications are accurately reflected in budget planning. KEY AREAS OF ACCOUNTABILITY:
A. Data Quality Maintenance: 1. Set expectations for quality data/Photo collection by field staff in collaboration with Sr. Manager Sponsorship Operations and Save the Children US (SCUS) Manager of Sponsorship Child Information. 2. Work with Sr. Officer_Sponsorship Data Management and Sr. Officer_Sponsorship Data Maintenance to tracking and escalating any issues that might interfere with quality data collection. 3. Ensure quality of ASISt data transfer with HO (processing upstream and downstream). 4. Conduct and manage the quality review of all child information and photos for children enrolled in sponsorship. 5. Work with Sr. Manager Sponsorship Operations in SCiBD and Manager_Global Sponsorship Operations (GSO) backstop on ways to increase operational efficiencies for quality data collection and submission. 6. Serve as the contact person for data quality issues r e p o r t e d by SCUS and c o o r d i n a t e resolution with country office staff.
B. Sponsor Servicing and Retention: 1. Work with Sr. Manager Sponsorship Operations for annual refresh of sponsorship routine correspondence templates as per guideline, ensuring they are high quality, appropriate, and easy to understand. 2. Support Sr. Sponsorship Retention Officers to do quality checks on emails and letters being sent to sponsors from the country office and ensure each communication checked meets standard quality authentic, timely, engaging and of acceptable quality to mail to sponsors. 3. Support to complete all steps of processing Proactive Child Letters (PAL) and send to the sponsors on time.
C. Marketing Assets and Material Gathering: 1. Field visit as required to gather information related to annual communication streams. 2. Works with field staff/Project Office Staff to collect materials (written pieces, video, photos) that bring alive Sponsorship programs and the realities facing children and communities in our impact area(s) according to the Annual Management Plan for Member retention communications 3. Provide field staff/Project Office staff with tools and guidance to take quality child photos, identify compelling child stories and provide impactful information about the program to share with sponsors. 4. Ensure all marketing assets collected and gathered from field staff (program teams and partners) meet or exceed guidelines and accurately and emotionally depict the impact of sponsorship programs. 5. Submit all required marketing assets to SCUS Marketing Retention by required deadlines. 6. Participate in online meetings with SCUS Marketing Retention and Sponsor Services to improve operational efficiency on communications.
D. Liaison: 1. Keep continuous liaison with Impact Area staff/Project Office staff on getting sponsorship retention assets. 2. Maintain routine and frequent liaison with HO
E. General: 1. Works with Sr. Manager- Sponsorship Operations and field staff to identify Lifeline and other representative children who will best fit the required criteria. 2. Ensure collection of assets during any emergency response. 3. Participate in any relevant ad hoc projects.
4. Participate in meetings, training, seminars, and workshops within and outside Bangladesh according to the interest of the agency.
5. Ensure efficient filing system to reduce paper work.
6. Any other tasks assigned by the Supervisor.

Additional job responsibilities The job duties and responsibilities as set out above are not exhaustive and the post holder may be required to carry out additional duties within reasonableness of their level of skills and experience. QUALIFICATIONS AND EXPERIENCE:
ESSENTIAL
Working Experience: At least 5 years’ relevant work experience, preferably in development organization including 3-years at management level.
Skills: Previous experience of working in quality management and marketing communications (creating creative and marketing communication material) in the humanitarian sector. Demonstrated ability to set and achieve objectives and deadlines. Proven ability in writing and editing of creative pieces. Excellent interpersonal and verbal / written communication skills in order to deal tactfully and sensitively with a wide range of people in a large organisation, very often at a distance Good project management skills. Proven attention for detail and ability to effectively manage a high volume of data and information. Excellent computer skills including word processing, presentation, video editing and use of spreadsheets combined with the ability to maintain office and management information systems. Fluency in English, both written and verbal, a must. Also written and verbal communication skills over Bangla is required Strong customer servicing skills. Experience of problem solving. Willingness and ability to travel regionally and nationally as needed.
A flexible and initiative-taking attitude with the ability to manage an unpredictable workload.
Ability and willingness to change work practices and hours during major Sponsorship campaigns.

Desirable
Academic: Master’s Degree, preferably in Social Science or relevant discipline.
Additional professional certificates: (Additional relevant certificate courses or diploma): Certificate or diploma in creating creative and marketing communication material.
Knowledge of Save the Children’s key sectors. Strong presentation skills. Commitment to Save the Children values. Knowledge of international humanitarian systems, institutions and donors.
