Basic Information for lost item management via Circulation
1. In the Circulation module, go to the Task Manager in the Administrative Tab, then retrieve and open the file that contains lost bills (cir-51).
2. Take note of the items in the generated lost bills that do not have prices. Other costs and Processing fees are table-driven. If you need alterations to these amounts, please contact the ODIN office.
3. In the Cataloging module, retrieve the item by its barcode number.
4. With the appropriate barcode highlighted, go to tab 3. General Information, and enter the desired replacement cost of the item. Click Update to save the record.
5. Rerun the Lost notices (cir-51) or if they are set up to automatically run, wait for the next run time.
6. When you open the notice, you will now see the replacement cost of the item.
7. When the item is returned, it is possible for the system to automatically refund all or a portion of the replacement cost, handling fee, or notice costs. Currently, the system is set to refund 100% of the replacement price, 100% of the handling fee, and no notice costs.
8. If the patron pays for an item, go to the cash node of their patron record, and either click ‘Pay Sum’ (if they are paying all outstanding charges) or highlight the appropriate item and click ‘Pay Selected’ (if they are only paying select charges).
9. The system will prompt you with a cash transaction box. Click OK. Depending on system set-up, you may be presented with a receipt that can be printed for the patron if you wish to do so.
10. Report the barcode of the paid item to the State Library so it can be removed from the system.
