March 2nd Meeting – Lacombe Minor Baseball

Meeting called to order at 7:04 PM In attendance: Shawn Rice, Gary Sinclair, Nicole Michalski, Ed Bast, Sonja Dykslag, Al Wyndham, Robin Fischer, Dean Otto, Linda Masko

Approval of Last Meeting’s Minutes (see attached) Motion to Approve the Minutes – Ed, seconded and passed.

I. President’s Report We are still having problems getting access to CHASE, the problem is that a previous president signed up. Gary is working to get those kinks figured out. Heather provided Gary the last three years costs for diamonds, this will provide him with some information for his meeting with the City. II. Treasurer’s Report Budget 2013 – Heather is strongly encouraging us to continue looking for a new Treasurer. We reviewed the AGM submitted budget and determined that most budget lines were appropriately assigned and that we would make the same allocations for the 2013 year. The one budget line that may need additional money attached will be the equipment budget, teams ran sort on balls last year and the new bat rule may create additional costs.

III. Registrar’s Report – current numbers Rally Cap – 17 Midget AA – 3 Bantam AA – 5 Bantam A - 6 Pee Wee AA – 7 Pee Wee A – 5 Mosquito AA – 5 Mosquito A – 4 Rookie – 5 At this time last year we had only 30 registered, so no need to panic. IV. Equipment Manager Report Did some shopping around to see if we are getting the best prices and United Cycle is the best deal in town. Ump shirts for the young Umps - $26.00 (light weight shirts). New lock needed on main front door. Motion: Ed Bast moved to put a new lock on the front door, seconded by Al, passed. Shawn will look into getting the lock changed. Robin looked into the costs of jerseys and what we thought we had and want we paid. We should have 67 jerseys in stock. 43 are twilled and 24 still need to be twilled. Kevin and Shawn will double check these numbers with the stock they have. We will have all competitive teams ready to go with new jerseys. T-shirts for Rookie and Rally Cap – Linda is doing some cost comparisons on prices. Linda will talk to Heritage about sponsoring them. V. Old Business Open Executive Positions – We really need a treasurer for the 2013 season. Town Diamond Scheduling Meeting – Gary will schedule this meeting now that he has the costs we have paid for the previous years for diamonds. Baseball Field Fence Signage – Robin will look into this. Robin will look into signs that might be less wind resistant. Insurance – Robin checked to see what we pay for insurance on the content. $47,100 on uniforms and equipment, $9500 on batting machines. Once we do our inventory we should look at if we are over or under insured. The deductible is $1000. Reminder about the Diamond Maintenance Work Bee April 18th at 6:30. Registration Night – Tuesday, March 5th We need as many people as we can get to registration night. Dean, Gary, Al, Heather, Sonja, Lyle Lorenz, possibly Ed, Matt will be at the registration night. Need a couple of computers set up for registration, a desk for taking cheques, etc.

Rally Cap – Goal Area for 2013 1. Rally Cap Evaluation Dates – April 14th. We will run two groups through from 1:00 to 2:00 and 2:00 to 3:00, at Lacombe Upper Elementary School. 2. Rally Cap Clinic – Matt to attend a clinic as director. 3. Rally Cap Letter to Parents – Sonja will compose the letter and then send it to Matt to add, delete, modify the letter to provide parents at April 14th meeting. 4. Follow Up – 2nd Evaluation will be May 27th with back up being May 29th. At the Rally Cap diamonds. 5. Rally Cap Bags – we need to get enough for each field of teams and we will need a rally cap bag 6. Rally Cap will run Monday Wednesday and Rookie on Tuesday and Thursday. 7. We will run a coaching clinic for the rally cap coaches some time during the week of April 22nd to the 25th. 8. Coaching Mentor will go out a couple nights the first few times to get them organized and help the coaches.

VI. New Business

Umpire Clinic – March 23 and 24th The clinic needs 12 people to make it run. Level 1 costs $65.00, Level 2 costs $75.00. Both levels are run at the same clinic time. We need a link to register for the baseball ump clinic on our website. Age 13 to adult will be allowed to sign up. We will pay for their training and $20.00 per game for our community league games. Sonja will look into getting a room for the ump training (the LMC or the above the Arena) Gary will tell Sonja the times. Baseball Camp – Information was provided – Gary will contact them to see if they have a date available in late May or early June for a camp. Import Rules – We accept imports. Imports are to register with their home association, they can then tryout and then they have to fill out the Alberta Baseball Alberta rules for the transfer to the new association. Coaching Applications Mosquito competitive head coach Lyle Lorenz head coach. (Assistant Shawn Rice) Pee Wee Competitive – Head Coach is Vacant (Al is willing to be the assistant coach) Bantam Competitive – Sheldon Klessens (he is qualified for Tier Two but if they go Tier One the will need to do some more work to get that level.) (Assistant Ed Bast) Community Bantam – Head Coach Greg Pecharsky (He has some upgrading to do on his coaching certifications) Midget Competitive – Stacy Bell (he has a number of courses to complete to be qualified) Criminal Record Checks – Sonja and Dean will work on this. Raffle Tickets – Linda reports that all is going well. We may make our own tickets, Sonja and Linda will get together to create these. Linda will get a fund raising letter ready to go and signed by Gary. Then she will drop off them off at the businesses. We will also include the fence signage information in the letters for sponsorship. Evaluations – Motion: Dean moves that 75% of the team be based on the evaluation results with up to 25% of the team being selected by the coaching staff and the director. Seconded, passed. Motion: Heather Fischer moved our new Lacombe Baseball Association President, Gary Sinclair, be given signing authority with our bank immediately. The outgoing president, Crystal Zens, is to be removed from having signing authority with Lacombe Minor Baseball. Motion Seconded by Sonja Dykslag. Motion Passed. To Do: 1. We need to evaluate the value of our equipment and supplies and see if we are carrying enough insurance. 2. Heather do we need paper copies of the registration forms? 3. We need to update the webpage to indicate the right nights for Rally Cap and Rookie. Rally Cap will be Monday/Wednesday and Rookie on Tuesday/Thursday. It looks like the registration page and website are opposite nights. 4. Put the Rally Cap letter on the website once it is finalized. 5. Book gym for Rally Cap evaluations. 6. Ump Clinic registration needs to be put online. 7. Sonja will book a location for the Ump training camp. 8. Kevin will notify Linda if United Cycle is donating anything for our raffle. 9. Robin will look in to the signage options to help us to make sure the signs will stay up and not be so susceptible to the wind. 10. Gary will contact the city to ask for a pile of extra shale to be available on the night of our Diamond Maintenance Work Bee. 11. Add to agenda next meeting – Community Coaches Meeting/Clinic 12.
