EXHIBITOR SCHEDULE

The exhibition area is located in Zilker Ballroom 3, between the main conference rooms and lunch room. There will be three coffee break stations located directly outside the exhibitor room. Additionally, bistro tables will be located in two rows between the four rows of exhibitor tables (please see floor plan and booth layout below for more information).

You will receive an electronic invoice within five business days which you can securely pay by credit card, check or wire transfer.

*All exhibitor registration/booth selection forms must be received by Friday, 20 October 2017. **NEW: It is required that you send both your 50-word company profile AND 300-dpi company logo for the 2017 CDISC International Interchange. We will no longer use the previous year’s information for the Final Program, as we desire to have the most updated information for your benefit.

EXHIBITOR BINGO

Exhibitor Bingo: CDISC will organize the popular Exhibitor Bingo game to drive more traffic to the exhibitors. The goal is to encourage our attendees to visit each exhibitor table to increase the amount of contacts you make at our event.

How it works: Each conference attendee will receive a bingo card at registration. Attendees must visit all exhibitors listed on the Bingo Card. Exhibitors will be given a self-inking CDISC stamp OR stickers which must be put on your company’s square on the Bingo Card. Once registrants have a stamp on every square they can then submit their cards to the CDISC registration desk (by lunch time on the second day of the conference) to be entered into a drawing for three gift cards.

After the Drawing: Exhibitors, please return the stamps to the Registration Desk so we can play the Bingo game again next year. Thank you.

SHIPPING INFORMATION

If you are sending more than one package within a single shipment, please be sure to number in sequence (i.e. 1 of 3, 2 of 3, etc.) Due to storage, please do not send packages more than (3) days prior to the event. Deliveries that arrive prior to this will be sujec to a $50.00 storage fee per day. Should assistance in moving deliveries to and from receiving to the exhibit/meeting area be required, the following charges shall apply:

Box Delivery Price Breakdown(inclusive of ingress and egress): Boxes 50 lbs. or less $5.00 each Boxes 50 lbs. or more $15.00 each Pallets/similar size $100.00 each Pallets over 500 lbs. $125.00 each

Outgoing Shipments: Your organization is responsible for properly sealing and labeling outgoing packages with a return address, deliver address and a contact phone number for the sender. An account number for the delivery service of choice or the sender’s credit card number and expiration date must be included to ensure proper charges by the shipping company.

CANCELLATION & GENERAL INFORMATION

Refund Policy : . More than 40 days in advance: 75% refund, . 25-40 days in advance: 50% refund, . Less than 25 days notice: no refund.

CDISC reserves the right to deny access to any individual or organization it deems to be inconsistent with the goals of the organization and its members.

Security: Exhibitors are responsible for security of their exhibit and its content. Protection, both security and insurance coverage, of exhibitors’ property is the sole responsibility of the exhibitor.

Indemnity: The Exhibitor agrees to indemnify and hold harmless CDISC, its employees and members from any and all liability for losses, damages, and claims arising out of injury or damage to Exhibitor’s displays, equipment and other property brought on the premises of the hotel by Exhibitor and for losses, damages and claims caused by Exhibitor to the hotel. Exhibitor further agrees to indemnify and hold harmless CDISC, its employees and members from any and all liability to any person or persons for or by reason of any act or omission of said Exhibitor or any of its employees, agents or servants. Exhibitor, by signing the Application, expressly releases the foregoing named association and individuals from any and all liability for losses, claims, damages and injury.
