My Volunteer Time Event Publish Request
If you’re leading a volunteer opportunity in your local market and you want to recruit other Wells Fargo team members to be a part of it, follow these steps: Complete this form to request that your volunteer event be published to the My Volunteer Time event calendar. Then contact your market designated volunteer leader(s) or your local Volunteer Chapter. All volunteer opportunities listed in My Volunteer Time are managed by Wells Fargo team members, and must support a specific nonprofit organization, NGO or school. To identify a volunteer leader in your local market who can assist you in having an event published on My Volunteer Time, contact the Community Development Officer or Community Affairs Manager (PDF) in your market. * = System required field

Event Management Tips
Communicating about your event Communications are a key part of being an event manager! It’s important to ensure a good volunteer experience for team members so they’ll want to volunteer for your future events.
Please make sure you acknowledge team members who have signed up for your event. If they do not have email addresses listed on the roster, call them on the phone. Keep in mind that some team members may have opted out to receiving emails. Keep volunteers informed of any new event-related details that surface. Remind volunteers of the date, time and address, you may even want to send them a link for the address. Print the roster from the My Volunteer Time website to take with you on event day. Check off those that attend so that you can make sure everyone attending submits their hours in the tool. Provide volunteers with your cell number so if they are unable to attend for some reason, they can call you. At the event, thank volunteers for participating and making a difference! Send volunteers a follow up email to thank them and remind them to return to MVT to submit their hours.
Would you like your volunteers to wear a Wells Fargo Volunteers shirt at your event? Before promising shirts, you will want to determine what department/AU is going to pay for them. T-shirts may be ordered from WellsWare at the Wells Fargo Volunteers link under the Special Programs section.
Online Event Management You will be able to see your event on the “My Events” page in My Volunteer Time.
Log in to My Volunteer Time Scroll over the Volunteer tab Click on My Events
On the attached page are the steps to edit the event, manage the event roster, and communicate with participants.
Edit an Upcoming Event To edit your event, follow these steps:
Navigate to the My Events page Search under Upcoming Volunteering for the event you wish to edit Revised 06-2013 Click on the name of the event you wish to edit On the right side of the event page, click Edit This Event Perform your edits on the Event Summary page Click one of the following under Manage More Details to edit subsections of the event:
o Description & Details (Description, Photo(s), Document(s), Contact Name & Email) o Time & Location (Location Details) o Add-Ons (Event Capacity & Waitlist activation, Activate Shifts & Activities, Activate T-Shirts) o People & Participation (manage event Participants, Shifts & Activities, or Waitlists) Click Done when finished
Managing the Event Roster To communicate to your team roster, follow these steps:
From the My Events page, click on the name of the event whose roster you wish to communicate with Under “Quick Links” on the right side of the event page, click Send Event Message Select the participants you wish to send a message to Enter the message you wish to send in the Add Personal Message box Click Send Message. Once you are notified that the message has been sent, click cancel to exit and return to your event page Event participants will receive an email letting them know they have a message to read in My Volunteer Time, and a direct link to their My Volunteer Time Inbox.
To add individual participants to the roster, follow these steps:
From the My Events page, click the edit link next to the event you wish to adjust the roster for Click on People & Participation Click Add a Person Search for the individual you wish to add to the roster, then click Add to Event
To add groups of team members to the roster, follow these steps:
From the My Events page, click the name of the event you wish to adjust the roster for Click on Invite Coworkers Click Upload Mass People Click Download a formatted Excel file and save it to your computer Complete the formatted Excel file with the correct Wells Fargo email addresses for those team members you wish to add Back on the website, click Browse and find the completed Excel spreadsheet, then click Add
To remove participants from the roster, follow these steps:
From the My Events page, click the edit link next to the event you wish to adjust the roster for Click on People & Participation Click the red minus symbol next to the name of the participant you wish to remove from the event
