CWS/CMS 7.1 CODE DROP SUMMARY
This is to advise staff that the CWS/CMS Code Drop 7.1 will take place on May 17, 2014. There will be several changes to CWS/CMS the specifics of which are outlined below. It is important to note that Windows XP workstations will no longer be able to access CWS/CMS effective 05/17/14. Links to Training Materials are provided in relevant sections below. Marking Referrals or Cases as Sensitive or Sealed Training Materials Staff will now be required to enter additional information when marking a referral or case as either Sensitive or Sealed. Staff will now have to enter the date and reason the referral or case is being designated as either Sensitive or Sealed. Please refer to Policy 0050-503.85, Sensitive Referrals/Cases to see when staff should mark a case or referral as either Sensitive or Sealed. Staff will also be able to more easily identify throughout CWS/CMS if a particular case, referral or client has been marked as either Sealed or Sensitive. Client Merge Privilege A new Client Merge privilege has been added to CWS/CMS. Only staff with this new Client Merge privilege will be able to merge clients. The Client Merge privilege will be granted to designated Search, Attach, Assign and Merge Specialist (SAAMS) staff beginning 05/17/14. Submit an IT Service Request to get the new client merge privilege added for qualified staff after 05/17/14 and request that the Service Request be assigned to the “DCFS CWS/CMS” team. End-Date Non-Licensed Placement Homes Training Materials It will now be possible to end date certain placement home types in the Resource Management application within CWS/CMS. The End Date field will be available for the following Facility Types: . Court Specified Home . Foster Family Agency Certified Home . Guardian Home . Relative/NREFM Home . Tribe Specified Home Designated Revenue Enhancement staff with the Resource Management Placement Facility Maintenance Privilege will be able to end date placement homes. When a placement home is end- dated, it will be necessary to indicate the reason why it is being end dated. It will also be possible to remove an end date for a placement home when necessary. Staff will also be able to easily identify throughout CWS/CMS whether or not a particular placement has been end-dated. Changes Pertaining to Non Minor Dependents (NMD) Training Materials The Placement Notebook has been modified to allow Education Transportation Reimbursement payments on a Supervised Independent Living Placement (SILP) home. Additional choices have been added for the following dropdown menus in the Placement Notebook: Placement Change Reason and Placement Episode Termination Reason. The TA 280 form has been modified to include the new choices. NMD Participation Criteria can now be entered for any Service Component if the client is 17 years and 5 months or older. Participation Criteria is optional for Service Components other than Supportive Transition. Three (3) new case-only Hearing Types have been added and three (3) new case-only Hearing Subtypes have been added. History of Legal Authorities for Placement Training Materials A new section "Legal Auth for Placement History" has been added on the ID page of the Placement Notebook. The grid displays a history of each Legal Authority and its associated Effective Date for the Placement Episode. A new row cannot be added to the grid when there is a ‘Legal Authority Not Yet Determined’ row or when there is a row with a blank Effective Date. You will get an error message. As the Legal Authority for Placement type changes over the life of a Placement Episode, designated Revenue Enhancement staff should add a new row reflecting the new Legal Authority for Placement and its Start Date. The Effective Date is mandatory when the Legal Authority For Placement type is not "Legal Authority Not Yet Determined". Two rows cannot have the same Effective Date. You will get an error message. The grid will sort by Effective Date in descending order.
