Minutes Swimming NB President’s Council Wednesday Oct 08 2014 7:00pm by conference call

1. Welcome and Call to order Meeting is called to order at 7:00pm.

2. Review and Approval of Agenda There are three additions to the Agenda under new business a) Swimathon b) Special need swimmers c) Nomination of Chair of the President’s Council for the 2014-2015 season as per the terms of reference

3. Review of previous Meeting minutes Minutes of the July 22 Presidents Council meeting are approved as presented

4. Swim NB President comments David Frise welcomes the Presidents and thanks them for their attendance at the PC meeting. At first quarterly meeting after the start of the season the Presidents elect a chair for a one year term. President’s may want to consider having the role of Chair designated on a rotation basis by club.

5. Swim NB Executive Director’s Comments The ED comments were distributed prior to the meeting and are attached.

6. Unfinished Business a. Recruitment and retention survey was forwarded to the Council members. Any clubs who still wish to send in their comments are encouraged to do so. b. The strategic plan document was forwarded to the Presidents Council members. Presidents are encouraged to forward their comments to David Frise. c. Designate Coach. Four clubs responded to the question of a designate coach. The possibility of a designate coach will be decided on a meet by meet basis. Action: Pat will forward inquiries regarding the need for a designate coach at the same time as inquiries regarding participation at the SNC designate meets for funding purposes. Clubs who may be sending swimmers can identify their interest in a designate coach for that meet. This may be a role that a provincial coach could fill should SNB create a provincial coach position in the future.

7. New Business a. Swimathon. Review of the update from SNC regarding the CRA swimathon rules. All funds raised with swimathon must go into the clubs general account and be used for general club operations. No funds can be directed to a swimmer family account. Questions regarding what general club operations include. Action:Pat will confirm with SNC what is included in general operations. New for the 2014-2015 swimathon is that no mandatory fee can be associated with swimathon and no registered swimmer family will be eligible for a tax receipt. Also for 2014-2015 the website build fee from Raiseathon will be shared 50/50 with the club. The club will be invoiced by SNB for their portion of the fee. b. Special needs swimmers. Discussion regarding the challenges of accommodating special needs swimmers and successful integration of these swimmers into a club program, especially given the pool time crunch and limited coach resources. Funding to subsidize the extra cost for these swimmers may be available from the Provincial government - Family and community Services. Action: Pat will check with BFL insurance on the status of parents of special needs swimmers helping out on deck at the request of the coach. SNC is developing a document that will help clubs understand the requirements for different level of Para swimmer. Clubs must also be clear with families on what they can provide as a club. c. Nomination of President council Chair. Gary Losier is elected as chair of the Presidents Council for the 2014-2015 season. 8. Club updates AQUA - starting the season with all new coaches. BLAST - 54 registrants, same as last year. New executive this year. Having sufficient officials will be a challenge this year. CNBO - 130 Registered swimmers, 3-4 new young coaches this year. This will be Dave Anderson’s first year as club president. CNBO will be co-hosting an official clinic with CVAC CNS - 26 registered swimmers. 8 fewer than last year. CNS will be looking for officials for their Premier meet CVAC - Is very happy with their new Head Coach. Looking for someone to fill the treasurer role on the club board. GOT - 40 registered swimmers, 4 new coaches. Looking to fill the President and VP positions on their club board SSC - Have an experience board this year. SSC is expecting a big turn over in their board next year so filling all the board positions will be a challenge next year. SWRD - SWRD is very excited to begin their second season the swimming New Brunswick . SWRD has 10 new registered swimmers. TIDE - 100 registered swimmers. 2 New executive board members this year. TIDE is currently working on the meet package for the co hosted invitational meet. WVST - WVST has had a good start with 23 registered swimmers 2 new coaches and a new manager in training. Masters- Juanita passed along the note that UNB will be hosting a Masters competition January 24 2015

9. Next meeting date and Adjournment Next meeting is tentatively set for January 7 at 7:00pm by conference call Meeting adjourned at 8:20pm
