Job Title: Admin/Clerical Assistant (1)

Important Functional Relationships: Internal: School Administrator, Bursar, School Finance/Admin Team, School Secretary, Headteacher, school staff, Governors, pupils.
External: LEA representatives, Suppliers of goods and services, contractors, parents, visitors to the school.
Main Purpose of Job To provide clerical support to the school administrator, bursar, school secretary and School Management Team.
Duties and Responsibilities
1) To undertake typing/word processing of correspondence, standard letters, reports, publications and other documents as required by the Administrative Officer/School Administrator and/or School Management Team.
2) To undertake photocopying and document collation as requested
3) To undertake filing in accordance with the established systems as requested. To work within and maintain all school established administrative systems and procedures.
4) To input new and updated information on the school’s computerised system for pupils records, and ensuring all records are maintained and up to date. To assist in the production of reports, lists and other information relating to pupils records as requested. JOB EVALUATION CODE: CYSH041
5) To manage the receipt, recording and holding of lost property.
6) To welcome visitors to the school, ensuring signing in procedures are followed, receiving and prioritising incoming telephone calls, dealing with them appropriately including accurately recording messages as required. To liaise with staff, Governors, pupils, parents and outside agencies as and when required.
7) To open, sort and distribute incoming mail to the school in a timely manner. To send, receive and distribute faxes in a timely manner. To check the Information Exchange and school emails on a daily basis and distribute information as appropriate.
8) To be aware of and adhere to applicable rules, regulations, legislation and procedures including the Schools Equal Opportunities Policy and Code of Conduct, national legislation (including Health and Safety, Data Protection).
9) To maintain confidentiality of information acquired in the course of undertaking duties for the department.
10) To be responsible for your own continuing self-development, underttaking training as appropriate.
11) To undertake other duties appropriate to the grading of the post as required.

Creativity and innovation
This section considers the extent to which the job requires innovative and imagination responses to issues and the resolution of problems.
Please give examples of creativity and innovation which the job requires and for each example indicate frequency. The fullest range of potentially creative work should be taken into account. This can be exercised in a number of ways including, for example: caring and counselling; design and application of information technology systems; creation and planning of menus; repair and maintenance of landscapes, buildings, plant and machinery; cleanliness and well being of the environment; preparation of plans and drawings, development of policy, practice and procedures and in the use of the written and spoken word.

Creativity is extremely limited due to the close guidelines within which the post holder works.

Decisions – Consequences
Consequences of decisions and recommendations
Please identify the major consequences of any decisions the post holder makes for clients, the public, other staff or the service: Successful and efficient administration for the school, information is readily available to the school management team, files are organised, successful school audits, messages and mail are taken and passed on ensuring good communications.
What are the implications if the post holder gets something wrong? In relation to the decisions which may be made by the post holder, this could effect the effectiveness of the communication systems in operation in the school. However, quality of work undertaken is monitored and checked by the School Administrator/School Secretary/Bursar and therefore the majority of errors would be detected and rectified without consequences.
How quickly would any error be rectified and how? Who would the post holder inform? In such circumstances, the School Secretary/School Administrator/ Headteacher/Bursar would detect the error at an early stage due to work being checked/decisions authorised by the School Secretary/School Administrator/Headteacher/Bursar. Errors would therefore be quickly corrected with minimal implications.
