VILLAGE GROVE EAST HOMEOWNERS ASSOCIATION, INC. Board of Directors Meeting March 2, 2010

MINUTES

The regular meeting of the Board of Directors of the Village Grove East Homeowners Association was held on Tuesday, March 2, 2010 at Fairmont Jr. High School. The meeting was called to order at 6:34 pm. A quorum was established by the presence of Joe Tremont, Randy Barnes, Brooke Sabo and Dana Ladd with Houston Community Management Services.

MINUTES A motion was made by Brooke Sabo to approve the Minutes from the February 2, 2010 Board of Directors meeting. The motion was seconded by Randy Barnes, and the existing Board of Directors unanimously approved the decision.

FINANCIALS The financials were reviewed and discussed.

COMMITTEE REPORTS Pool Committee – Joe Tremont presented the signed pool contract for Gulf Coast Aquatics. Still would like to meet with pool manager when available. Discussed pool furniture and would like to add to order to replace current furniture instead of having it re-furbished. Architectural Committee – No report. Block Captains/Crime Watch – Bianca Gracia confirmed Crime Watch meeting on April 29th with Pasadena Police Department and homeowners at pool area. Landscape Committee – Seasonal flowers need to be installed soon. Newsletter/Website – Bianca Gracia reported that new website has been transferred to new company. She will need the documents to add to website. Social/Garage Sale – Next Garage Sale will be on April 22-24.

OLD BUSINESS Detention Pond – Discussed contacting Sylvia Garcia and informing her that the association does not have additional funds to make repairs required by HCFCD.

NEW BUSINESS Discussed asking the city for an alert siren closer to neighborhood. Current alarm cannot be heard.

ADJOURNMENT There being no further business to come before the board of Directors, the general meeting was adjourned at 7:55 pm.

MINUTES

The regular meeting of the Board of Directors of the Village Grove East Homeowners Association was held on Tuesday, April 6, 2010 at Fairmont Jr. High School. The meeting was called to order at 6:38 pm. A quorum was established by the presence of Joe Tremont, Randy Barnes, Terry Hoppe and Dana Ladd with Houston Community Management Services.

MINUTES A motion was made by Terry Hoppe to approve the Minutes from the March 2, 2010 Board of Directors meeting. The motion was seconded by Randy Barnes, and the existing Board of Directors unanimously approved the decision.

HOMEOWNER FORUM Discussed issues with brick fence columns.

FINANCIALS The financials were reviewed and discussed.

COMMITTEE REPORTS Pool Committee – Joe Tremont reported that the committee met with Gulf Coast Aquatics. They offered to do a pool movie night. Committee will meet with guards and supervisor before Splash day. Architectural Committee – Homeowners seem to be making improvements without submitting an application. Advised to watch for this during deed restriction inspections. Block Captains/Crime Watch – Meeting in scheduled for April 29th at the pool. Landscape Committee – Ready for landscaper to install new items in esplanade on Arcadia. Newsletter/Website – Working on newsletter to go out. Social/Garage Sale – Next Garage Sale will be on April 22-24.

OLD BUSINESS Detention Pond – Discussed contacting Sylvia Garcia and informing her that the association does not have additional funds to make repairs required by HCFCD.

NEW BUSINESS Discussed getting bids for new storage building at pool area, 20ft x 20ft with brick, electric, shingled roof on a slab.

Reviewed and approved Association Insurance renewal.

MINUTES

The regular meeting of the Board of Directors of the Village Grove East Homeowners Association was held on Tuesday, May 4 2010 at Fairmont Jr. High School. The meeting was called to order at 6:50 pm. A quorum was established by the presence of Joe Tremont, Randy Barnes, Brooke Sabo and Karen Langhart with Houston Community Management Services.

MINUTES A motion was made by Joe Tremont to approve the Minutes from the April 6, 2010 Board of Directors meeting. The motion was seconded by Randy Barnes, and the existing Board of Directors unanimously approved the decision.

HOMEOWNER FORUM No items were on the agenda and no Homeowners were in attendance.

FINANCIALS The financials were reviewed and discussed.

COMMITTEE REPORTS Pool Committee – Joe Tremont made motion for a $350.00 budget for Splash Day, $45.00 for new pressure washer tip for cleaning pool deck and propane tank for grill seconded by Randy Barnes. Installation of replacement drinking fountain Pool furniture to be delivered on Friday, 5/7/10. Architectural Committee – Reviewed one application and requested more information from homeowner. Block Captains/Crime Watch – Discussed the new patrol schedule and process for letters. Landscape Committee – Center St. esplanade ready for flagpole(s) bids to be obtained Newsletter/Website – Future letters to remain simple with less color. Social/Garage Sale – Splash Day will have regular scheduled items and use new grill.

OLD BUSINESS Detention Pond – Discussed contacting Sylvia Garcia and informing her that the association does not have additional funds to make repairs required by HCFCD. Brick Restoration – Reviewed the current bid for repair/rebuild work on nine (9) columns at Red Bluff entrance with motion to approve by Randy Barnes and seconded by Joe Tremont.

NEW BUSINESS Discussed getting additional bids for storage building at pool area, 20ft x 20ft with brick, electric, shingled roof on a slab due to price of Lincoln.

MINUTES

The regular meeting of the Board of Directors of the Village Grove East Homeowners Association was held on Tuesday, June 1 2010 at the VGE Recreation Center. The meeting was called to order at 6:55 pm. A quorum was established by the presence of Joe Tremont, Terry Hoppe, Brooke Sabo, Bianca Gracia and Karen Langhart with Houston Community Management Services.

MINUTES A motion was made by Joe Tremont to approve the Minutes from the May 4, 2010 Board of Directors meeting. The motion was seconded by Terry Hoppe, and the existing Board of Directors unanimously approved the decision.

HOMEOWNER FORUM No items were on the agenda and resident Betty Lohman was in attendance.

FINANCIALS The financials were reviewed and discussed.

COMMITTEE REPORTS Pool Committee – Joe Tremont confirmed that the Splash Day events were a success and they were able to stay under the $350.00 budget for Splash Day. Joe Tremont made a motion for a $25.00 cleaning deposit to be charged for use of grill at pool area and it was unanimously agreed to by board members. Architectural Committee – Reviewed one application and it was approved. Block Captains/Crime Watch – Tentative meeting date discussed for October 2010. Landscape Committee – Mulch bid needed. Brooke Sabo made the motion for approval of single Flagpole bid and the board unanimously approved. Newsletter/Website – July newsletter must be submitted by June 18th for timely distribution. Subjects to include are: Speeding on streets and intersection safety, Pool committee updates, Basketball area status, Pasadena Crime Watch information and Police Academy dates and Movie Night dates at pool area if available. Social/Garage Sale – Summer Movie nights at pool area and October date for garage sale pending.

OLD BUSINESS Flagpole – Bids reviewed and members voted unanimously to approve the single pole with 2 flags. Trash Can relocation – Bids reviewed and members voted unanimously to approve the HCMS proposal. Storage Building at Pool area – Additional contractors contacted for bids on 20ft x 20ft with brick, electric, shingled roof on a slab due to price of Lincoln.

NEW BUSINESS Detention Pond – Need to arrange meeting with Village Grove East Townhomes to review future mowing schedule and cost.

MINUTES

The regular meeting of the Board of Directors of the Village Grove East Homeowners Association was held on Tuesday, July 13 2010 at the VGE Recreation Center. The meeting was called to order at 6:45 pm. A quorum was established by the presence of Joe Tremont, Terry Hoppe, Brooke Sabo, Bianca Gracia and Karen Langhart with Houston Community Management Services.

MINUTES A motion was made by Joe Tremont to approve the Minutes from the June 1, 2010 Board of Directors meeting. The motion was seconded by Terry Hoppe, and the existing Board of Directors unanimously approved the decision.

HOMEOWNER FORUM No items or homeowners were in attendance.

FINANCIALS The financials were reviewed and discussed.

COMMITTEE REPORTS Pool Committee – Coping stones repaired and surface seems to be cleaner. The storm related closure is not specifically addressed in current contract. The 2011 season contract will have that issue addressed as to per diem adjustments and storm/hurricane policies detailed. Architectural Committee – Reviewed one application and it was approved. Block Captains/Crime Watch – Tentative meeting date discussed for October 2010. Residents will receive details at NNO. Landscape Committee – Entrances, esplanades and park area are looking good. Pool area palm trees need to be trimmed and utility/irrigation covers need to be correctly positioned. Lighting needs to be installed and/or repaired immediately at the flagpole and entrances. Newsletter/Website – The July/August news letter looked great and went out in a timely manner. Social/Garage Sale – Summer Movie night is scheduled for July 16th and banner being hung on Wednesday. October garage sale date needs to be coordinated with Village Grove and Village Grove East Townhomes.

OLD BUSINESS Flagpole – Installation completed with the single pole with 2 flags. HCMS proposal unanimously approved to repair and/or install light fixtures immediately. Storage Building at Pool area – Additional contractors contacted for bids on 20ft x 20ft with brick, electric, shingled roof on a slab and proposal reviewed. Meeting to be coordinated with RASA Construction to review details of proposal.

The regular meeting of the Board of Directors of the Village Grove East Homeowners Association was held on Tuesday, August 3 2010 at the VGE Recreation Center. The meeting was called to order at 6:40 pm. A quorum was established by the presence of Terry Hoppe, Brooke Sabo, Randy Barnes and Karen Langhart with Houston Community Management Services.

MINUTES A motion was made by Brooke Sabo to approve the Minutes from the July 13, 2010 Board of Directors meeting. The motion was seconded by Randy Barnes, and the existing Board of Directors unanimously approved the decision.

HOMEOWNER FORUM No items or homeowners were in attendance.

FINANCIALS The financials were reviewed and discussed.

COMMITTEE REPORTS Pool Committee – New umbrella installed at guard chair and one resident’s passes revoked. Architectural Committee – Reviewed one application and it was approved. Block Captains/Crime Watch – No issues were discussed. Landscape Committee – Pool area palm trees need to be trimmed and utility/irrigation covers need to be correctly positioned second request needed. Lighting fixtures have been installed at the flagpole and Red Bluff entrance. Newsletter/Website – The Sept/Oct newsletter will need to be submitted to HCMS by August 27th. Social/Garage Sale – Summer Movie night on July 16th was successful. October garage sale date is Oct. 22-24 coordinated with Village Grove and Village Grove East Townhomes. NNO banner to be ordered.

OLD BUSINESS Storage Building at Pool area – RASA Construction contract reviewed with Section 3 details of proposal needing clarification prior to signing.

The meeting was called to order at 6:38 pm. A quorum was established by the presence of Terry Hoppe, Joe Tremont, Randy Barnes and Karen Langhart with Houston Community Management Services.

MINUTES A motion was made by Joe Tremont to approve the Minutes from the August 3, 2010 Board of Directors meeting. The motion was seconded by Randy Barnes, and the existing Board of Directors unanimously approved the decision.

HOMEOWNER FORUM No items or homeowners were in attendance.

FINANCIALS The financials were reviewed and discussed.

COMMITTEE REPORTS Pool Committee – Good season with bids needed for repairs and maintenance items Architectural Committee – Reviewed two current applications and approved Block Captains/Crime Watch – Meeting to be scheduled in October after NNO event Landscape Committee – Floodlight at Flagpole vandalized with repairs needed and Red Bluff entrance light fixture to be lowered Newsletter/Website – The Sept/Oct newsletter will need to be submitted to HCMS as soon as possible Social/Garage Sale – NNO banner delivered and check ready for BBQ vendor. December event scheduled for Friday 17th or Saturday 18th.

OLD BUSINESS Storage Building at Pool area – RASA Construction contract reviewed with Section 3 details of proposal needs to be omitted prior to signing.

NEW BUSINESS *Pool repairs addressed Gulf Coast submitted bid for repairs and maintenance. Additional bids needed *2011 Proposed Budget reviewed with Assessments to be raised by $50.00 annually, research new *CPA/Audit firm, additional bids for Insurance coverage, add GL account for Playground Maintenance and increase fees in contracts for pool and management.
