PROMOTIONS & MARKETING TIMELINE

Phase 1 (WEEKS 1-4)  Send out Press Releases . Your town and towns up to an hour and a half away . Send to TV Stations, Radio Stations, Newspapers, Magazines, Blogs, Chamber of Commerce, Parks & Rec, and Visitor’s Bureau.  Hang Posters & Flyers Up Around Town . Don’t Forget! If applicable, you should have a flyer at the event venue as well as the charity establishment.  Get On The Charity Website . You should be on the homepage with event info, link to registration, and an attention-grabbing image.  Get on Community Event Calendars  Put together Sponsorship Letter and send to potential sponsors. . Example of Sponsorship Letter available upon request . Reference “Sponsorships: 2017” for tips and guidance.  Put together Vendor/Entertainment Advertisement . You will want at least 10 vendors at your event, 2 of which should be food trucks. . Example of Vendor/Entertainment Ad available on request . Reference “Vendors & Entertainment: 2017” Packet for tips and guidance.

Phase 2 (Weeks 5-8)

 Secure Radio, TV, and Newspaper Promotions . Ads, interviews, preview stories, airtime, etc… . CD5K has pre-cut and edited video footage available on request that you can give to media outlets that wish to run a commercial or promotional clip for you.  Get Creative Promoting Within The Community---Tons of ideas can be found in the “Promotions: 2017” Packet.  Follow Up With Sponsors, Entertainment, and Vendor to confirm their involvement.

Phase 3 (Weeks 9-11)  Radio, TV, and Newspaper Promotions should be in full swing.  Facebook Blast Your Town & Surrounding Communities up to 1.5 Hours Away o Post on Timelines for Businesses & Organizations inviting them to the event. . Private Message Businesses & Organizations . Provide details of event and ask them if they can help promote the event: “Can you share the event with people on your timeline?” “Can you post a flyer in your establishment?” “Can you email blast your employees?” “Would you like to be a vendor?”

Things You Should CONSTANTLY Be Doing  Social Media Posts, Shares, & Invites . Post on the Facebook Event Page we created for your event, as well as any other pages your charity organization might have. Don’t forget to post, share, and invite on you personal timeline as well! . Our team will be posting fun graphics and promos that you are more than welcome to copy and share on your own timelines as well.

. On average there’s a 10% Registration turn over from Facebook Invites. This means if you have 1,000 people invited to the Facebook Event Page, you can expect 100 people to register. The more people you have invited the better!  Email Blast Through Your Network o We have an Email Blast schedule that we use beginning 10 weeks before each one of our Color Dash events. o An Email Blast is a series of emails containing fun Color Dash graphics, event information, details, promos, and updates. We have a large network of previous participants in each market we’ve been to, so we send our blasts to them. . Option 1: We can email you our Email Blast schedule and content. Then you email blast everyone in your networks yourself. . Option 2: You send us all of your email lists, we add them to our email campaign for your event, and we send the emails for you.
