Strategic Planning: What goals were set that relate to the Rho Chi mission?

Several of the key parts of the Rho Chi Society’s mission are to encourage and recognize intellectual achievement, stimulate critical inquiry to advance pharmacy, and continue to the development of intellectual leaders. We believe that our two main initiatives, the Rho Chi Shadow Program and Project PEERS, embody these goals; therefore, our main goal of the year was to foster and improve these programs to correlate them toward student needs and opportunities, utilizing feedback and new ideas. We wanted to make these two programs more relevant to student needs and encourage expansion and involvement.

We also sought to further the mission of Rho Chi by fostering collaboration with other student organizations to offer events to students utilizing a larger resource pool. In order to do this, we responded to requests for collaboration from other student organizations and reached out to these organizations on specific events as well.

Activities: see also Appendix 1

During this past year, our organization sought to continue and transform our two biggest initiatives, the Rho Chi Shadow Program and Project PEERS. These programs were developed during the 2012-2013 academic year and form the crux of our Rho Chi chapter’s involvement at the University of Michigan College of Pharmacy. The Rho Chi Shadow Program offers students a twice-yearly opportunity to be matched with a volunteer preceptor pharmacist in the student’s area of interest. Project PEERS is a student-run peer tutoring service aimed at targeted classes in the P1, P2 and P3 curricula. We expect that these programs will be continued into the next academic year.

One of our main programs of focus is the Rho Chi Shadow Program. This program matches students with volunteer preceptors in a variety of areas of pharmacy. The list of preceptors has been developed in collaboration with the college and through various outreach events. This year, Rho Chi advertised this program at the Preceptor Development Symposium with a flyer and announcement in order to recruit more participants. We also sought PGY1 and PGY2 residents at the University of Michigan Health System to serve as preceptors in this program. The program was altered this year to encourage paired students and preceptors to pick a date that fit both of their schedules; in the past, there had been dedicated dates set aside for this shadow experience. We made this change to encourage more preceptors to participate and to have more flexible scheduling options for both students and preceptors. The Rho Chi Shadow Program matched students with preceptors twice throughout the year, once each in the fall and winter semesters. We were able to match 48 students in the fall semester and 38 students during Winter 2015. Our preceptor list has expanded to include 39 pharmacists. Feedback from Fall 2014 was overwhelmingly positive; with a 35% response rate, students rated their experience as excellent (64.7%), very good (17.6%), good (11.8%) or fair (6%). 88% of respondents indicated that they would participate in the shadow program again, and students valued the informal and one-on-

Revised 9-12-14 The Rho Chi Society Annual Chapter Report one interactions as key strengths of the program. In response to feedback we received after Fall 2014, we implemented a few changes, including making sure to pair students from the same year to make scheduling a date easier. We also sent preceptors a basic description of expectations for the experience, and we formulated and sent students a list of sample questions to ask during the shadowing experience. We are awaiting results and feedback from our winter pairings. We believe that our Rho Chi Shadow Program has showed continued success and will continue to expand and grow to include more preceptors and encourage more students to take part.

Our second major focus has been our PEERS tutoring program. This program was developed two years ago in order to encourage discussion and sharing of knowledge between upper and lowerclassmen. Members of Rho Chi volunteer for tutoring sessions that take place before major exams in each of the offered classes. This year, we decided to offer these study review sessions for P1 Medicinal Chemistry and Self-Care; P2 Medicinal Chemistry, Therapeutics and Research Methods; and P3 therapeutics. Tutoring sessions were scheduled based on the classes’ exam schedules, and a reminder was sent out to the applicable classes the night before the review session.

Rho Chi also participated at the University Of Michigan College Of Pharmacy Alumni Golf Outing and during P1 Orientation at the Student Organization Tent. Rho Chi collaborated with APhA to sponsor a game at the Alumni Golf Outing. We assisted with the logistical planning prior to the event, although we could not have any participants at the event itself because this event occurred prior to initiation and fourth-year students were on APPE rotations. Rho Chi was also present at the Student Organization Tent during the P1 orientation activities. Our booth described how to obtain membership and also focused on the services that we offer as an organization, namely Project PEERS and the Rho Chi Shadow Program. We developed and gave students a handout describing these activities. We expect that Rho Chi will participate in these events annually.

Due to the small size of our organization, we focused this year on collaborating with other student organizations to organize events suited to Rho Chi’s goals and initiatives for the year. One of these events was preparing a Top 150 Drugs Trivia handout in collaboration with Phi Delta Chi (PDC). Rho Chi members were involved in developing questions, with the purpose of helping students review common drug information prior to their semester Top 150 Drugs Quiz. The questions that were developed were sent out to all students in order to help them prepare for their quiz. Rho Chi also collaborated with PDC to help students practice prior to their final exam Objective Structured Clinical Examination (OSCE) sessions. Rho Chi members volunteered to serve as standardized patients and provide students with constructive feedback in order to help students target their strengths and weaknesses. Finally, Rho Chi collaborated with PLS (Phi Lambda Sigma Pharmacy Leadership Society) to put on an event for underclassmen titled “Finding a Balance: Prepping for a Successful Career.” This event targeted to P1 and P2 students sought to give students advice and examples of how to prepare a career in pharmacy through job shadowing, employment, volunteering and leadership while still balancing a strenuous academic workload. Rho Chi specifically focused on how to

Revised 9-12-14 The Rho Chi Society Annual Chapter Report maintain extracurricular involvement while maintaining coursework and professional development activities; PLS then focused on obtaining leadership experience and opportunities. We expect that these collaborative events will be continued annually, and we also expect to develop and collaborate on new events with partner student organizations as opportunities present themselves.

Financial/ Budgeting:

The Rho Chi Society began the year with a balance of $400.00. Through initiation fees, we added $150.00 (15 initiates x $10.00 each). No expenses were occurred over the 2014-2015 academic year. The largest event planned by Rho Chi this year was the joint Rho Chi/PLS Initiation Ceremony; this did not incur any financial burden as it was sponsored by the College of Pharmacy. Other events such as the “Finding a Balance: Prepping for a Successful Career” were financially supported by the College of Pharmacy as well. Our Executive Board looked into buying a table banner to be used for initiation and other various events, but did not definitively decide on this purchase. Therefore, we decided to pass this decision and the full balance of our account onto the next academic year.

Initiation Function:

This year’s Rho Chi Induction Ceremony took place on Thursday, October 16th from 6:30PM-8:30 PM. This event was in held in collaboration with Phi Lambda Sigma (PLS), the pharmacy leadership honor society, for the second year in a row. Plans for the induction ceremony were shared between Rho Chi and PLS, in collaboration with the University of Michigan College of Pharmacy, who sponsored the ceremony. Current members, new initiates, certificate awardees, past members, chapter advisors, and College of Pharmacy deans were invited, as well as friends and family of new inductees. The ceremony took place in the Great Lakes South Central Room of Palmer Commons on the University of Michigan Campus. The keynote speaker was College of Pharmacy Dean James Dalton, who was invited to speak on his pharmacy career and creating your own path to success. Following the keynote speaker address, induction ceremonies for the respective organizations were held, led by Dr. Karen Farris and Dr. John Clark, the faculty advisors of Rho Chi and PLS, respectively. A celebratory reception with light refreshments was held after the ceremony. Fifteen third-year students were inducted into the Rho Chi Society, and twenty-one second-year students were honored with Rho Chi Certificates.

Evaluation/Reflection:

This year was very successful for the Rho Chi Alpha chapter at the University of Michigan. Our chapter continued to improve and develop past programs, including Project PEERS and the Rho Chi Shadow Program, and we were also able to foster new collaborations with other student organizations. We made changes that we believe will benefit our programs, including restructuring our Rho Chi Shadow Program so that preceptors and students were matched and encouraged to set up a day that worked for both parties, rather than designate a specific day for the shadow experience. We expanded our preceptor pool to include pharmacy residents, which we believe will add an additional benefit for students seeking out residency training.

There are a few areas that offer opportunities for growth and improvement. Our Project PEERS program was not utilized as often as we would like. We tried to alter the timing of the tutoring sessions to be of maximum benefit for students, but we did not get the turnout that we expected at most of our sessions. We want to improve on our advertising approach in the future in order to maximize student participation. We also want to examine the structure of our tutoring sessions so that both students and tutors know what to expect. This may involve encouraging tutors to bring specific materials to review, or asking students to bring in specific questions or subject areas to discuss. In addition to looking at these changes, we want to continue to grow and recruit more preceptor participants for our Rho Chi Shadow Program. Although we were able to match all but one student with a preceptor, as students continue to utilize this service we need to have additional preceptors to offer so that students with interest in a specific area of pharmacy practice do not have to shadow the same preceptor more than once. We included pharmacy residents as preceptors in the shadow program this year, and we want to look at including residents from other surrounding health systems next year.

All in all, we have continued to build on previous years’ successes and have worked to collaborate with other student organizations. We hope to continue building on our established programs, and to develop new programs and events to help meet pharmacy students’ needs. We also hope to improve our fundraising efforts in order to buy a Rho Chi table banner, and we hope to reach further and start to plan community outreach events in addition to our programs at the College of Pharmacy.

Other information:

Our chapter has developed a Rho Chi Webpage included on the University of Michigan College of Pharmacy Student Organizations website. This website includes information on how to become a member, current officers, and an events calendar. It also contains links to current news articles describing our events and initiatives. We hope to improve this webpage and add additional content, including sign up forms, links to feedback surveys, and other resources.
