Exhibit Space Guidelines

Ashfield Fall Festival was established to celebrate Ashfield and its citizen and to encourage and support, through the Ashfield Citizens & Community Scholarship, the academic pursuits of Ashfield citizens. Therefore, Ashfield citizens are given priority to booth spaces.

1. All exhibitors must obtain a written permit from the Fall Festival committee, based on their official application. 2. Outside spaces are limited to: (a) Ashfield residents who hold a Special Permit from the town Planning Board to conduct a "commercial and business enterprise" and who personally produce what they sell (b) Ashfield residents whose businesses do not require such a permit, such as agricultural enterprises (c) Ashfield individuals and Ashfield affiliated organizations in such balance and variety as shall be worked out by the outside exhibit space coordinator. (d) Ashfield youth, under the age of 18 years (e) Craft exhibitors inside the Craft Tent. (requires a separate application) 3. Booth permits for prepared foods will be granted only to Ashfield affiliated organizations. (a) New food booth permits will not be granted for booths that substantially duplicate food items already being sold; (exempt are: coffee, tea, hot chocolate and sodas). In determining whether an item is substantially duplicative, the committee shall consider the views of existing permit holders. The Fall Festival Executive Committee shall have the final decision. (b) Current individual food booth participants are grandfathered; however these individuals will forfeit their space if they do not actively participate for two consecutive years. 4. This being a non-political event, no exhibit space shall be assigned to any candidate or party or representative thereof 5. No generators, internal combustion engines, or open fires of any kind are permitted. 6. No vehicle parking is permitted on the Town Common except for short term parking for entertainers at the stage area. 7. Fall Festival hours are 10 AM to 5 PM. You must be set up by 9 AM and you must keep your booth open until 5 PM. 8. Two exhibitors may share the same space, but each must pay their own required registration fee 9. Registration fees are as follows: (Make checks to: "Ashfield Fall Festival") (a) Outside spaces, on the Town Common field: Children age 18 and under: $20.00 (children only, not children's organizations) Child's double space: $40.00 All others: $50.00 All others, double space: $100.00 (b) All other spaces, at any location $50.00 (individuals and organizations)

Note: Town Common spaces are limited 10’' x 15' (single), or 10’ x 30' (double), or the equivalent square foot size, including all stakes and guylines, No Exceptions. Since space is very limited, please request only the exact size that you need.. Contributions (based on a per exhibitor, per space basis) to the Ashfield Citizens Scholarship and Community Fund (Box 120, Ashfield, MA) should be made according to the following schedule: (a) Businesses & Organizations: 10% of gross sales (per exhibitor, per space) from $100 to $1300 (b) Children spaces: 5% of gross sales (per exhibitor, per space) from $100 to $1300 10. Your space must be left in good condition, and totally vacated by noon on Monday. Please pick up litter & HAY!! 11. Specific space requests will be considered but not guaranteed. 12. All applications must be received no later than September 1, 2017. If any space is available after that date a $10.00 late application fee will be required. Application fees are non-refundable. 13 Space assignments and guidelines will be mailed late September.
