NUM Board Meeting Minutes // 4.09.15

YCC

TC between Jake, Robby, Tobey, & Will: YCC seeking women’s coach (particularly to attend tourney in Minnesota 4/7-4/9; getting email addresses for parents from YCC signups to reach out for parents to volunteer at MB (Will will follow up on 4/18); YCC interest in integrating further with NUM for field rental, insurance, etc.

NUM Support of YCC: NUM will decide how much it can financially contribute to YCC in July/Aug (after SL & MB); treating YCC team similar to club team for things like MB volunteer hours.

Nike Youth Camps

NUM’s involvement : NUM will email out to youth league contacts and post on website

Spring Leagues

Goalty: Captain’s draft meeting needs to be planned ahead better in the future; vote to reimburse food for draft meeting (9-0-2 in favor); 21 less people with field costs remaining the same for league than last year therefore goalty is losing $180 this year; Likely lack of advertising?; End of season party possibly at Pizza Perfect – Emily following up.

Mens: Captains will meet one week before week 5 to redraft teams.

Womens: Board members all need to be recruiting women; only thing left to do is make teams – Robin has everything done and will take care of teams Tuesday of next week.

Monkey Bowl

Logo/artwork: Finishing touches. Doesn’t need to be submitted until a few weeks before MB.

Spin Contract: Michelle has sent us the contract. NUM proposing two changes – one year not three year contract. NUM does its own disc sales at MB. Robin will talk to Dan and Michelle about changes before we sign.

Losers for party: Everything is lined up.

SOTN: Board voted (10-0-1) in favoring of having the SOTN showcase game during the Nightwatch halftime if possible, otherwise the game would be held as a bye in the middle of the day on Saturday. Emily will be in touch with Nightwatch owners about this and follow up shortly. Players that integrate with SO players will be hand chosen by the Board.

Teams: We are on track, but board members should reach out to contacts ASAP( particularly Jake, Ryan, Kayla)

Food trucks: Didn’t make much money in the past. Questioning whether we should at all. Spirit games: Available at the tent all day.

Volunteers: Tasks for club teams and tasks for volunteers and or paid folks are separate. Club teams do cones, set up and clean up both days, and a round of water on their byes if possible. Others will only do water. Reaching out to YCC parents first to “make money” for the YCC team by volunteering for shifts (since they will be there watching their kids anyway).

Summer League

Registration: is up! First day of SL is May 27. Jake will send out an email early next week announcing such; league numbers and draft info will be to Robin on May 20th right after the draft meeting. We will order 300 discs and sell leftovers at MB.

Leadership: Sam and Hayslip are reaching out to Keith about brackets, etc.

Captains—Sam and Hayslip bring compiled list of responses; Robin, Emily, & Kayla will reach out to women at Women’s League about captaining; STILL LOOKING FOR CAPTAINS!

Pre-draft: Sam and Hayslip will reach out to a few people in Nashville Ultimate to review self- rankings.

Draft meeting: May 20th. Possibly at Emily’s house. Vote about draft details was (5-2-4) in favor of a named/not-blind draft and (10-0-1) in favor of doing the full draft traditionally (not auto).

Cones: Sam and Hayslip to track down cones.

July 4 Hat Tourney: We will ask for free registration on the website, but we will not place any names into hats until participants arrive to the fields.

End of the year party/Pizza Perfect partnership: Emily talking to Amanda at PP this week. Will update on any news. Likely NUM will pay for full pies that are pre-ordered and SL players will pay for their own drinks. (Will coincide with PP’s 2-4-1 special).

Sponsors: Carter and Jake will meet to create a sponsorship benefits tier (Ryan will also look at). We will begin implementing sponsorships this summer if possible. All board members need to submit to Jake and Carter lists of local businesses or businesses with which they have contacts to be reached out to.

Nightwatch advertising

Sign purchase: Do we want to purchase the banner (~$130 for 3x5) was answered with a, can we get a bigger sign? General consensus was the board was willing to spend $200 on a sign. Emily is to follow up and get a quote on a 3x7 sign.

Club Sponsorship guidelines (attached)

Percentage of teams being Nashville based: The board anonymously voted: 75% of a team is Nashville based = 100% of NUM Club Sponsorship funding

<50% of a team is Nashville based = 0% of NUM Club Sponsorship funding

51-74% of a team is Nashville based = a pro-rated amount of funding based on the actual percent. (% of team x 75% -- Kayla and Ryan will draft a grid of percentages based on player numbers for an easy to read version)

With aforementioned changes, the board unanimously votes to send the document out to club teams as is and will do so as soon as changes are made.

Savage Tournament

Overview & Numbers: One team dropped last minute so 5 teams total. Tourney not losing $.

Level II Clinic

October dates to give to Sarah Powers at USA Ultimate for Level II Clinic. Will is reaching out to coaches to find out when students’ fall breaks are. We will get back to Sarah with that info when we know.

For Next Meeting’s Agenda:

Donations – Creating a tier system for donations from NUM. (ie. YCC, local colleges, etc.)

Draft meetings -- $ limit set.

Reply to Spin about a new 3 year contract before the end of the summer (trying to keep SL jersey pricing from this year)
