BEVERLEY CHRISTMAS LIGHTS

2nd July 2013

351 - To receive apologies for absence

No apologies were received.

352 - To note the minutes of the meeting of the 4th June 2013

The minutes of the last meeting which took place on 4th June 2013 were noted and signed as a correct record.

353 - Matters arising not on the Agenda

There were no matters arising from the minutes not on the agenda.

354 – An update on the arrangements for the Lighting up event on 29th November 2013.

Discussion took place on the light up event with school choirs; this is to be confirmed in September. Choirs are to be in various places in the town, with activity also in Wednesday Market. Cllr Gray noted that specific entertainment needed to be child focused and festive. Members noted that they were unsure about the festive activities which would be taking place at the Beverley Arms Hotel on the evening. Cllr Gray informed members that Viking FM had been in contact regarding the Light up event and wished to take part in the festivities. KCFM have also been in touch requesting to attend the Light up event.

Mr Jacobson suggested the use of a radio microphone from Viking FM would cut down on hire costs. Mr Scaife questioned the charity of cash for kids, supported by Viking FM, instead of Beverley Christmas Lights Charity fund. Mrs Blake commented that the charity collections had been raised in previous years for Christmas Lights Appeal. Cllr Gray agreed that funds raised at the event needed to be for Christmas Lights but would confirm this. Mrs Blake made suggestions on possible people to open the Lighting up event; however this is to be to be confirmed at a later date.

Mr Scaife put forward the Chamber of Trade views on a possible ice rink on Friday 29th, Saturday 30th, Sunday 31st to be positioned in front of Fawcett & Abraham. This is due to be discussed at the next market traders meeting to ensure there are no objections. Also suggested was the possibility of sponsorship possibilities, which would need further confirmation. All upfront costs will be paid for by the Chamber of Trade. Discussion took place on the possibility of Market stalls to be sited in Saturday Market at the Lighting up event. Members discussed the possibility of local organisations holding a winter fair, with the aim of which is to have fun and raise money.

The Chamber of Trade are intending on replacing the fireworks display with an outdoor movie, with a 8m x 6 m inflatable screen, possibly showing ‘The Snowman’. This would be free use, therefore of no cost to the council, with £3500.00 from the Chamber of Trade. A suggested viewing time of 8pm with the possibility of using Register Square. This would all need confirming at a future meeting. It was suggested that the film shows could be repeated three times to coordinate with the Ice rink at 20 minute intervals.

Members agreed that this would be a good idea as it would be a breath of Christmas for Beverley.

Cllr Gray suggested the following draft schedule for the school choirs.

Members decided to have an additional lights meeting on 23rd July 2013, at 1:30pm, Cllr Gray will invite Viking FM to the meeting to outline their proposed plans for the event.

355 - To review the present financial situation with the prospect of ordering new lighting arrangements in the town.

A discussion took place on new lighting for the Saturday Market. The new pendants are to cost £2320.00

To order Cool White Choice 1: 3097 x 8 £290 x 8 = £2320 Choice 2: 3076 x 8 cool = £2320.

Members also wanted to order 4 snowflakes to match the existing snowflakes on the lamp columns.

Town Council officers will get quotes on the lighting discussed.

356 - To ascertain the date for orders for the small trees and the supplier of the trees.

Members selected to order trees by 1st October 2013. Members agreed that more publicity is needed for the trees. It was also decided to order the 24foot Christmas tree from Woodland Nurseries.

357 - Position of BTC to the testing of brackets.

The Town Clerk reported that this will be carried out in mid-August, for stress and PAT testing by the handyman. Cllr Whitfield offered assistance to the handyman.
