Executive Summary

This report was developed from the concerns of your Information Technology Department (ITD) in that many of your employees are either not using and or do not know how to use Mail Merge within Microsoft Word 2000.

The use of the facility, Mail Merge could be of great benefit to our organisation, in that having all your clients details stored in 1 central database will save staff time in preparing;

1. Monthly reports 2. News letters 3. Accounts, and 4. Special product information

At the completion of the course I would expect your staff to use the mail merge facility to greatly assist in the preparation of the above reports.

Therefore I have been engaged to develop a User Document, geared at the intermediate user level. The Course Objectives are;

1. Learning Word 2000 Merge Features is designed to introduce you to the basic merge features included in Word 2000. The lessons include practice exercises to work through as well as examples for creating documents in your work. 2. Lesson 1 begins with a discussion of why you would want to use the merge feature in Word 2000, and then explains the processes involved in creating and editing the data file. 3. Lesson 2 focuses on form files. You will create different types of forms and then merge them with a data file. 4. Lesson 3 explains other options of the Word 2000 merge feature, including special merge codes, printing postal barcodes, and using external databases.

It is expected that staff will have to attend 3 lessons of 1 hour duration in achieving competency in the use of Mail Merge.

It must be made clear this document is no means a Technical Document and does not have information that describes the construction of the computer (that is, the hardware) or the software that runs the computer. This User document is printed information that assists your staff (the users) to use the computer system, in this case Microsoft Word 2000, Mail Merge.
